QUICK SEARCH BOX The quick search box is best used with a digital negative number provided by DEA Photography. The digital negative number is used as part of the name of each photo assignment folder, as well as every photo associated with that photo assign- ment. A quick search using the digital negative number reveals all images for that assignment. For example: Folder Name: 27534D-OpeningConvocation(HSJ)8.23.15 Photos in the folder are named: 27534D_001, 27534D_002, 27534D_003, 27534D_004, etc. Search results appear in a new window. ADVANCED SEARCHING To create more refined search queries inside the DEA Repository, use the “Search” feature located on the tool bar at the top of your screen, and select “Asset Search” from the drop down menu. Use the drop down menus that appear in the gray box, make these selections: Image / Keyword / contains / in the next field add a name or keyword such as [homecoming]. Narrow down the search by adding more keywords by clicking on the green plus sign. Repeat the same selections in the drop down fields, adding a new descriptive keyword such as [parade] to the last field. Refine the search even further by adding a date, or date range. Again, click on the green plus sign and select: Image / Date.exact / is / This year Hint: To easily get to the search field you would like to use, type the first letter of the word, such as “k” to get to “Keyword.” Be sure you are searching within the SMU Account and the DEA Repository. You will likely want to select the option of “Match All” and checkmark “Include Subtypes.” Click the “Search” button. Results appear in a new window. 1 Searching by Using the Web Browser FIRST STEP To see the full range of DEA Public Affairs photos, first open an OIT Help Desk ticket and ask for permission to access the “Media Archive DEA Repository.” To view and download images via the Media Archive web browser, go to: MediaArchive.smu.edu Login ID: Your SMU ID number Password: Your My.SMU access password Note: Firefox is the preferred browser. TO SEARCH FOR IMAGES To easily find an assignment SMU Photography did for you, use the quick search box with the negative number pro- vided. For example: 12345D To search for campus stock or student activities: Use the quick search box for a general search using the word AND in between search terms. For example: Dallas Hall AND Students AND Fountain For a more specific search, click the arrow and use the drop down menu to refine your search using a single specific name, date or other term. TO ENLARGE AN IMAGE Hover your mouse over the thumbnail and then click on the eye icon (Preview & Metadata). Adjust the size of the thumbnails by clicking on the Thumbnail View button (under the Sign Out button). TO DOWNLOAD ALL OF THE IMAGES Click on the Menu button in the upper-right corner and select Download. Uncheck the Create .zip file box and then click on the Download All button. All photos will be put in your computer’s downloads folder, or the default location set for your browser. TO DOWNLOAD ONE OR MORE IMAGES Hover your mouse over the thumbnail and then click on the downward arrow icon (Download File). You also can download images using the Add to Basket feature. Add images to the basket by hovering your mouse over the thumbnail and then clicking on the basket icon (Add to Basket). Repeat this step until you have selected all of the images you want to download. Then click on the three dots to the right of the basket icon in the upper-left corner and select Download Basket. Uncheck the Create .zip file box at the bottom of the screen and then click on the Download All button. Selected photos will be put in your computer’s downloads folder, or the default location set for your browser. To view the original set of photos, simply refresh your browser. 2 abc Collection List In order for a photo to appear in these collection categories, images must include a 5-star rating, the word HERO and a collection name from the list below.
