Summary of Duties: Reports directly to the Physician-in-chief of the Department of Medicine and works as member of a team with the Education Administrative Assistant and the Business Manager. Responsible for overall day-to-day management and administrative functions of the PIC office and confidential activities in support of the Chief. This includes organizing the office, coordinating and prioritizing daily activities, providing briefings, preparing correspondence, screening and evaluating correspondence, receiving visitors, developing and maintaining administration procedures and processes, processing expense accounts, and coordinating meetings.
Perform administrative duties for the Department of Medicine, organize and attend business meetings/retreats, transcribe and disseminate minutes. Assist committees with the preparation of policy documents, organize search committees and prepare annual reports. Interview, recruit and supervise secretarial staff. Oversee the OHIP billing programs and liaise with MOH and billing vendors to ensure timely and accurate completion of changes and troubleshoot billing issues. Liaise with all levels of hospital staff, department heads, physicians and secretaries, Board Offices, CEO, VP’s offices etc. as well as various University offices. Other projects as needed.
Qualifications/Skills:
  • Community College diploma
  • Minimum of 5 years experience in a Healthcare / University setting required
  • Strong organization and administrative skills; capable of operating independently with minimal direction.
  • Experience with budget preparation an asset.
  • Strong communication and interpersonal skills to interact with a wide range of individuals in a wide range of situations, which usually requires tact, diplomacy, and discretion.
  • Strong initiative and self-managing skills.
  • Advanced skills in software packages such as Microsoft Word, Power Point, Excel, Outlook, etc., as well as various types of office equipment. – Must be able to type 50-60 wpm.
  • Proven ability to prioritize, multi-task and work in a fast paced environment.
