Thank you for participating in Earth Science for Society!

The ESfS Exhibits Committee strives to ensure that you have a successful experience exhibiting. This manual will enable you to find the information and services that you need. Please contact us if you have questions or need something extra that is not included here. There is a lot of information, so we urge you to read from start to finish and familiarize yourself with this Exhibitor Kit. There are a few points that need to be noted. You will also receive an updated information package when you arrive on site.

Earth Science for Society (ESfS) is a free, three-day event that showcases the importance and impact of Earth Science in our everyday lives. Visitors will enjoy a wide variety of stimulating, interactive activities offered by you – our enthusiastic exhibitors!

Sunday afternoon and Monday evening are designated for youth groups and the public, with many families attending. We expect up to 1,000 visitors on the Sunday and 300 on Monday evening. 14 Sparks, Brownies, Girl Guide, Pathfinders, Cubs, and Scouts groups have signed up for guided visits on Sunday and on Monday evening, bringing 256 young people.

Also on Sunday March 15th, the Geo-Theatre will showcase two geoscience presentations. Dale Leckie will be presenting “Rocks, Ridges, and Rivers: Geological Wonders of Banff, Yoho, and Jasper National Parks on Sunday at 1pm and 3pm. Roots 2 STEM will be presenting on “Search for Life in Space” and will have a demonstration with a Mars Rover on Sunday at 2pm.

On Monday and Tuesday, 1,464 grade school students in 20 school groups have signed up to attend ESfS.

Student and youth groups will be accompanied by a volunteer guide and teachers/parents and will spend about two hours at the exhibits with scheduled visits to all of the Pavilions. Students will be given a Scavenger Hunt booklet and answer questions to ensure that they engage in learning and interacting at the booths. The Geo- Theatre is used to brief groups before their guides escort them to the exhibit floor.

Each Exhibit Space INCLUDES the following unless otherwise arranged with ESfS Exhibits: • One 8-foot draped table and two chairs (additional tables and chairs will be invoiced) • One electrical plug-in of 120 volts/1500 watts (only if requested on your Exhibitor Requirements form) • 24-hour general security in exhibition hall

Exhibit Space does NOT include the following: • Shipping and transportation of booth materials • Pre and/or post exhibition storage for booth materials • Drayage and materials handling • Tarps • Extension cords • Poster boards (unless requested) • Easels (unless requested) • WiFi (unless requested) • Parking (unless requested)

Your on-site services were ordered based on your Exhibitor Requirements Form. Any additional items required that were not indicated on the form will be the exhibitor’s responsibility to bring to the exhibition.

EXHIBIT DISPLAY SPECIFICATIONS AND RESTRICTIONS

10 x 10 ft. (3m x 3m) booth – displays must not exceed 8 feet in height on the back wall. This particular exhibition aims for an open line of sight between exhibitors. No exhibit or display fixture may extend beyond 5 feet from the booth back wall if that exhibit or fixture is more than 3 feet in height. Exceptions to these height restrictions may be allowed in specific areas of the exhibition hall, provided the Exhibitor makes a request in writing to the Exhibit Committee. Please note that nothing may be attached to the walls of the exhibit hall or to the pipe-and-drape back walls. Display items, including backdrops and fixtures must be made of non-flammable material or shall be made from certified flame-resistant material (proof of certification required). This does not apply to handouts and posters. There will be no carpeting for the Pavilions at ESfS 2020. Please ensure your boothies are wearing adequate footwear for comfort when standing on the concrete floor.

Display vehicles – motorized vehicles are permitted in the Big Four building for display purposes, provided they meet height (<8ft height) and weight requirements (<10 000lbs). Some exceptions may be made, please contact your ESfS coordinator for more info. Inside the exhibit space, the vehicle must contain no more than 20L or ¼ tank of fuel, whichever is less and the fuel tank must be locked or sealed. There must be no propane on or in the unit.

Please submit engineered rigging plans and a safety plan to the ESfS Venue & Logistics coordinator a minimum of 1 month in advance to the event date. Labour and rigging costs are the responsibility of the exhibitor.

Booth handouts – balloons, gum, and stickers are NOT permitted. Temporary tattoos are a good substitute.

ARRIVAL AND PARKING

When you arrive at Stampede Park you can drive into the Big Four Exhibit Hall A via the vehicle access loading ramp on the SOUTH ramp of the Big Four Building (see floor plan on page 15). Once you are done unloading, you will need to find parking (paid). Please park in the designated exhibitor parking area on the south end of the Big Four Building in Lot 6 (see Parking Map in Appendix B). If you ordered parking passes on the Exhibitor Requirements form, they will be available for pickup from ESfS organizers upon arrival. Please note that if you don’t have a parking pass, charges $15 upon entry to the Park with no in and out privileges. For drop off and pick up, visits less than 30 minutes may be eligible for a refund.

If you are arriving on foot or via public transport, there is a C-Train Station (Victoria Park Stampede Station) that is conveniently close to the Big Four Building (also on Parking Map).

Exhibit Hall A will be open for setting up booths and equipment on Saturday, March 14th from 12:00 pm (noon) to 5:00 pm and on Sunday, March 15th from 9:00am to 10:30am. The floor plan on page 15 will give you an idea of where you can find your booth space. We will have tables labelled with your organization name on them and a floor map sign will be posted at the entrance. Volunteers will be available to direct you to your booth.

ORIENTATION MEETING

An orientation meeting for exhibitors will be held in the Geo-Theatre on Sunday, March 15 at 10:45 am. All exhibitors are strongly encouraged to attend the orientation meeting for important safety messages and show information.

EXHIBITOR LOUNGE – BREAK ROOM

Exhibitors are welcome to use the Exhibitor Lounge as a break room. Coffee, tea, and water will be provided periodically in the Exhibitor Lounge. We cannot guarantee delivery time of the coffee and hot water. Feel free to bring your own in a travel mug if you need that morning cup of coffee before the students arrive! Lunch will be ordered for Exhibitors as indicated by the number of boothies on your Exhibitor Requirements form. If you have not ordered lunches, your volunteers are encouraged to pack food and drinks along with them as there are no restaurants or lunch spots inside Stampede Park.

These times include the 10 minutes before and after the Pavilion visits for arrival and departure activities. The school schedule allows for a brief break from student groups between 11:20 and 11:45 am.

Volunteers will guide schools and youth groups through the Pavilions. Each time slot will have approximately 200 children, with 50 in each rotation. The school schedule is included as Appendix D.

EDUCATOR PACKAGES

We will be providing teachers and youth group leaders with packages of educational resources to take back to the classroom. If there is any material that your organization would like to include in these 50 packages, then please bring it along the day you set up. Advertising and promotional material will not be accepted; content must be educational and useful for teachers in meeting curriculum requirements.

EMERGENCY RESPONSE PLAN (ERP)

The Emergency Response Plan is attached in Appendix A. Please ensure you and your exhibitors are familiar with it, particularly the emergency exits and muster point.

In the event of a medical emergency, the facility’s Security Department personnel are the first responders in a coordinated procedure with the City’s fire and emergency agencies. There will be a medic on site during event hours.

FOOD AND BEVERAGE

The Calgary Stampede is the exclusive caterer to the Big Four building. No outside food and/or beverage may be brought in the facility by exhibitors without prior permission. For information, please contact the ESfS Venue coordinator. Please note that this applies to food that would be distributed from your booth (food, beverages, and bottled water). This does not apply to bringing your own lunch, snacks, beverages, or bottled water. A light breakfast will be provided at ESfS 2020.

• Please note that we will provide lunch (basic sandwiches) for your booth staff on Sunday, Monday and Tuesday as indicated by the number of boothies on your Exhibitor Requirements form. Please contact Alyssa Middleton (see Key Contacts on page 11) if you need to revise the number of required lunches needed. • In addition, please note that dinner will not be provided by ESfS for the Monday evening session. A pizza night is planned at $10 per person from 5:00 to 5:30 pm. We will finalize pizza orders on Sunday should you wish to add your order at that time.

DELIVERY OF EXHIBIT MATERIALS TO BOOTH

Exhibitors are responsible for arranging to have all equipment and/or display material delivered to and removed from the exhibit booth(s) and for all booth set-up/dismantling and furnishings. Please note that tables, chairs, electricity, and other services will be provided for you as requested on your Exhibitor Requirements form and do not need to be ordered.

LOADING DOCK

During exhibitor move-in/ out hours, exhibitor vehicles may be driven into the Hall for the purposes of loading and unloading of exhibit materials. Please see the map of the loading ramp on the ESfS floor plan.

All items and materials that must be brought into the facility may be subject to Material Handling Charges and are the responsibility of the Exhibitor. This also applies to items not ordered through the ESfS Exhibits committee.

Calgary Stampede staff can accept deliveries on the Friday before the event (March 13, 2020) between the hours of 9:00 am and 4:00 pm ONLY.

• All shipments should be sent to Door #6 at the BMO Centre, please do not send to any other venue address or you risk losing the package (do not send to Stampede Headquarters). • Shipments will not be accepted more than 1 business day prior to the event move in day, unless special arrangements have been made through the Event Manager with advanced notice. • Packages will be accepted Friday for events taking place the following Monday. • Packages are counted to verify number of pieces, discrepancies and damages will be recorded. • C.O.D. (cash on delivery) shipments will not be accepted or paid for by the venue under any circumstance. • If sending more than 10 packages together, please wrap together on a skid to ensure packages do not get misplaced during transit or delivery. Wrapped skids will not be opened. • Items will be placed in the event room on requested date.

DISMANTLE AND MOVE OUT INFORMATION

As tear down before exhibit hours end is unsafe and very disruptive to other exhibitors, tear down must not commence until close of show, unless explicitly approved by organizers. Exhibitors dismantling their exhibit material before close of show risk not being allowed to return to ESfS in the future. All exhibitor materials must be removed from the exhibit facility by Tuesday, March 17th at 5:00 pm.

POST SHOW COURIERS

Be sure your courier knows the company name and booth number when making arrangements for shipping your exhibit at the close of the show. Exhibitors are responsible for their exhibit materials at all times, including from the time the exhibit is taken down to the time the courier arrives for pick up. All couriers MUST arrive to pick up exhibit materials no later than 5:00 pm on Tuesday, March 17th.

For all emergencies contact Dispatch at 403.261.0595 (local 3595) or 9-1-1

ALARM SYSTEM

In the event that the alarm bells are activated, please;

1. Stay calm

2. Continue normal operations unless instructed otherwise by a Stampede employee

Big 4 building use a 2-stage Alarm System.

Stage 1: Bells will ring in short bursts with a long pause between each ring

Stage 2: Continuous ring and automatic evacuation

The bells will gradually progress through the different stages if:

1. The alarm warning has not been acknowledged by a Stampede employee (at the enunciator panel), and/or

2. More than one sensor on the grid has been tripped

EVACUATION

If an evacuation is required, please understand the following;

1. For safety reasons, Stampede employees and/or Authorities with Jurisdiction are the only ones authorized to make the call to evacuate a facility

2. In the event that an evacuation of the facility is required, you will receive instructions from Stampede Security staff

3. Stampede Park employees will be responsible for initiating and overseeing the evacuation of the facility

4. Your only responsibility in the event of an evacuation is to follow instructions of Stampede employees
