Atom Hardware and Software Specifications - Introduction

Welcome to the Atom Dictation System Hardware Software Requirements document. This document outlines the hardware and software requirements for all Atom software. Making sure your hardware and software meets at least the minimum requirements will help prevent any unforeseen issues. Please be sure to review this document before every quote. This document is subject to change without notification; the most up to date version will always be available on the Dolbey Systems FTP site. If you have any questions at all or need further clarification do not hesitate to contact us. The appropriate contact information can be found in the “Contacting Dolbey Systems” section at the end of this document. The information below defines option and functionality of a Base Atom System and what each of the option tiers adds to that functionality:

Atom Manager – Client Application

Atom Manager provides the central administration of the Atom® System. It is used to set system configurations, manage users, assign transcription work schemes, and output reports and dictation job data statistics.

Please be sure your PC meets or exceeds the below requirements prior to installing the Atom Manager. Use of the application requires a license, by concurrent (simultaneous) user – also referred to as an Atom Manager CAL (Concurrent Access License).

Minimum Hardware and Software Specification:

1GB of System RAM Intel® Pentium® Based PC Processor 1.0GHz or above. 200 MB Free Disk Space at any given time. A color monitor capable of displaying a screen resolution of 800x600 or greater. Note that the Atom® Manager Software will not operate correctly at resolutions below 800x600. The recommended screen resolution is 1024x768 or greater. Microsoft® Windows® 2000 Professional, XP Professional, 2003 Server Operating Systems Appropriate Patches, Updates, and Security Packs for the above Operating Systems installed. A mouse or some other type of pointing device designed for use with the Operating System. Microsoft 6® or above with 128 bit Encryption Microsoft .Net Framework version 2.0. 100MB Network Connection or DSL (or greater) Internet Connection Appropriate System and Network Security to access the Atom® Data Server. Appropriate Internet Security Access to utilize the Internet Based Portions of the Program.

Notes: It is optional but also recommended that a suitable anti-virus package be installed on the system.

Atom Player – Client Application

Atom Player provides transcription playback of Atom dictation jobs (audio recordings) on a PC workstation. It is used to request jobs from the Atom system and to playback the jobs for the purpose of transcription.

Please be sure your PC meets or exceeds the below requirements prior to installing Atom Player. Use of the application requires a license, by concurrent (simultaneous) user – also known as an Atom Player CAL (Concurrent Access License).

Minimum Hardware Specifications:

Multimedia Internet Ready PC: Intel® Pentium® Class 850 MHz or faster. 512 MB RAM Sound card that passes the Atom Player audio test (No onboard sound cards). Available USB connection for foot pedal External speakers with headset jack and volume/bass/treble controls Operating Systems: Windows® 98 SE, Windows 2000, Windows ME, Windows XP. 300 MB Free Hard Disk Space Internet Explorer 6.0® with 128 bit encryption. Microsoft® .Net Framework 2.0. USB or Foot Pedal Headset

Notes: Atom Player PC workstations must have a stable network connection to the Atom System or addressable IP connection over an Internet connection. An internet connection speed of 56K or greater is highly recommended for efficient utilization of the program. Higher quality sound cards will produce a noticeably better sound quality. On-board and integrated sound cards are generally not sufficient.

Atom Access – Client Application

Atom Access provides “listen” access of Atom dictation jobs on a PC workstation. It is used to request jobs from the Atom system and to playback the jobs for QA, Review, and monitoring purposes.

Please be sure your PC meets or exceeds the below requirements prior to installing Atom Access. Use of the application requires a license, by concurrent (simultaneous) user – also known as a Atom Access CAL (Concurrent Access License).

Minimum Hardware Specifications:

Multimedia Internet Ready PC: Intel® Pentium® Class 850 MHz or faster. 512 MB RAM. Sound Blaster® 16 compatible sound card. External speakers with headset jack and volume/bass/treble controls PC Compatible Headset (Optional for private playback) Operating Systems: Windows® 98 SE, Windows 2000, Windows ME, Windows XP. 300 MB free hard disk space. Internet Explorer 6.0® with 128 bit encryption. Microsoft® .Net Framework 2.0.

Notes: Atom Access PC workstations must have a stable network connection to the Atom System or addressable IP connection over an Internet connection. Atom Dictate – Client Application

Atom Dictate provides for dictation of voice jobs on a PC workstation for transmission to the Atom Server.

Please be sure your PC meets or exceeds the below requirements prior to installing Atom Dictate. Use of the application requires a license, by concurrent (simultaneous) user – also known as an Atom Dictate CAL (Concurrent Access License).

Minimum Hardware Specifications:

Multimedia Internet Ready PC: Intel® Pentium® Based PC Processor 450 MHz or above. 512 MB of system RAM. 500 MB free disk space. MS/Windows® 2000, XP Operating Systems. Microsoft Internet Explorer 6® or above with 128 bit encryption. Sound Blaster 16 compatible sound card. External speakers with headset jack and volume/bass/treble controls PC Compatible Headset (Optional for private playback with hands-free applications) PC Microphone, Philips SpeechMike™ is recommended. Available 9-pin Serial or USB port for foot pedal if support is desired. Network or Internet connection. Microsoft .NET Framework 2.0.

Notes:

Atom Dictate PC workstations must have a network connection to the Atom System or addressable IP connection over an Internet connection. An internet connection speed of 56K or greater is highly recommended for efficient utilization of the program. Higher quality sound cards will produce a noticeably better sound quality. On-board and integrated sound cards are generally not sufficient unless used with a Philips USB Speech Mike’s.

Atom Download and Download Interactive – Client Application

Atom Download converts, encrypts and transmits audio recorded on digital portable devices to the Atom Server.

Please be sure your PC meets or exceeds the below requirements prior to installing Atom Download. Use of the application requires a license, by active (logged in) download workstation – also known as a Atom Download CAL (Concurrent Access License). Due to the nature of the application usage, every PC workstation installed with Atom Download will require a CAL.

Minimum Hardware Specifications:

Intel® Pentium® Based PC Processor 350 MHz or above. 128 Megabytes of System RAM. 500 Megabytes of free hard disk space. Sound Card. Microsoft® 2000, XP or 2003. Microsoft Internet Explorer 6.1® or above with 128 bit encryption. Microsoft® .NET Framework 2.0. Access or share to Atom Server: An Internet connection and associated hardware (recommend DSL or better); or Access to an FTP server or account; or A network connection and associated hardware

Notes:

Atom Download works in conjunction with a digital hand held recorder or other digital recording devices. The manufacturer of the device may require cables and additional software installation.

Atom System – Server Applications

Atom System server components are designed to install on a single server. However, if the size of your application falls outside of the Configuration Tables or if you require distribution of the applications for fault tolerant implementations, please call for custom specifications. The applications that make-up the Atom System are: Application Description Task Manager Central workflow component. Provides between database, Voice Recorder and all Atom desktop applications. Voice Recorder Manages all analog and digital port and channel activity. Required only for systems in support of ports and channels. Note: Atom limits a single server to 96 ports in any combination of cards. Database Server Either MSDE®/SQL Express® or Microsoft SQL Server® will be required for every Atom System. Please refer to the Configuration Tables for database requirements. Voice Manager Client application that provides user management monitoring of all system functions. Atom Web Server Server application used in conjunction with Microsoft Internet Information Services to provide Web base management of a Atom System. **Requires IIS to be installed.

Hardware requirements for the server components of Atom will vary depending upon whether ports and channels will be supported.

Without Ports - Minimum Hardware Specifications:

For systems without ports, the Voice Recorder does not get installed. No brand of server is mandated.

Intel® Pentium® Based PC Processor 2.0GHz or above. System RAM * See configuration table A. Microsoft Windows® 2000 Server, 2003 Server, 2003 Advanced Server Operating Systems. Appropriate patches, updates, & security packs for above Operating Systems installed. A mouse or other type of pointing device designed for use with the Operating System. Microsoft Internet Explorer 6® or above with 128 bit encryption. Microsoft® .Net Framework version 2.0 or greater. 100MB network connection or greater (Dual NIC if using FTM configuration). Database * See configuration table B. Available USB port for HASP license key.

Note: The size of the hard disk configuration will result in the amount of available dictation voice job storage. A minimum of 5 GB will be required for installation of the operating system, database and cache for the RAM. Beyond the minimum, every 64 MB will yield 1 hour of voice storage. This value may vary depending on your recording format; see the Audio File Size and Bandwidth section of this document for exact calculations. Hard disk RAID redundancy is highly recommended.

With Ports - Minimum Hardware Specifications: Note: Atom limits a single server to 8 ports in any combination of cards. For systems with ports, the Voice Recorder does get installed. Refer to the Configuration Table below for the required platform. Your Atom Server hardware with ports will require Platform A, Platform B or Platform C.

Server Configuration Table: In determining the hardware platform required, use the table below. This is a guideline only. If your application requires ports, you must be certain that you can accommodate the combination of Voice Recorder in the available PCI/PCI-x slots of the server you are selecting. For more information about server specifications, refer to further documentation or call for assistance.

Atom Platform A: Intel Pentium Based PC Processor 2.0GHz or above. System RAM * See configuration table A. Microsoft Windows® XP Professional, Windows 2000 Server, 2003 Server, 2003 Advanced Server Operating Systems. Appropriate patches, updates, and security packs for the above Operating Systems installed. A mouse or some other type of pointing device designed for use with the Operating System. Microsoft Internet Explorer 6® or above with 128 bit encryption. Microsoft® .Net Framework version 2.0 or greater. 100MB Network Connection or greater (dual NIC if using FTM configuration). Database * See configuration table B. Available USB port for HASP license key.

Note: The current generation of supported Dialogic card models does not support PCI-e (PCI Express) type of slots. Note: The size of the hard disk configuration will result in the amount of available dictation voice job storage. A minimum of 5 GB will be required for installation of the operating system, database and cache for the RAM. Beyond the minimum, every 64 MB will yield 1 hour of voice storage. User configurable setting allows for the selection of voice file formats that are higher than 64 MB per 1 hour and will diminish this formula (See audio file size and bandwidth

With Ports - Minimum Hardware Specifications continued:

Atom Platform B: CPU Intel Xeon® 3.06 GHz or greater. System RAM * See Configuration Table A. Microsoft® 2003 Server, 2003 Advanced Server Operating Systems. Appropriate patches, updates, and security packs for the above Operating Systems installed. A mouse or some other type of pointing device designed for use with the Operating System. Microsoft Internet Explorer 6® or above with 128 bit Encryption. Microsoft® .Net Framework version 2.0 or greater. 100MB Network Connection or greater (Dual NIC if using FTM configuration). Database * See Configuration Table B. Available USB port for HASP license key.

Note: The current generation of supported Dialogic card models does not support PCI-e (PCI Express) type of slots. A minimum of 7 GB will be required for installation of the operating system, database and cache for the RAM. Beyond the minimum, every 64 MB will yield 1 hour of voice storage. User configurable setting allows for the selection of voice file formats that are higher than 64 MB per 1 hour and will diminish this formula (See audio file size and bandwidth white paper). Hard disk RAID redundancy is required and a hot spare disk drive is recommended.

Atom Server Third Party Recommendations:

UPS Power Supply with Surge Protection: All servers should be protected by adequate battery back-up and power surge protection. Anti-Virus Software. Tape Back up: Not required, but recommended.

CyberSynch© File Moving Utility (Client Application):

If a CyberSynch File Moving Utility will be deployed to move audio files to or from a Atom Server, a separate PC will be required to the following specification:

Database Formula:

In determining the required database management system for an Atom Server, complete the formula below. Your choice will be between MSDE®/SQL Express® or SQL Server 2000/2005 Standard Editions®. TOTAL: If the TOTAL is 5 or less, your Atom Server can function with MSDE or MSSQL Express**. If the TOTAL is more than 5, your Atom Server requires MS/SQL Server. To determine the number of MS/SQL CALs required, round-up your TOTAL number to the nearest MS/SQL license available.

** Microsoft limits the performance of MSDE® and MSSQL Express® in applications regardless of the number of users. You can always derive faster performance by licensing the minimum MS/SQL Server® for Atom.

Supported Dialogic® Cards:

The following model Dialogic® cards are supported by the Atom Recorder. You will need one PCI or PCIX slot available for each board. PCI Express will not work with the dialogic cards.

Note: The current generation of supported Dialogic card models does not support PCI-e (PCI Express) type of slots, please ensure your server has enough available non-PCI Express slots to cover the amount of cards you wish to install.

Microsoft SQL Server® and Windows Licensing

Microsoft Windows® Client Access Licensing:

By default each Atom Client communicates with the Atom Server via TCP/IP. No Windows CALs are used for the clients to connect if you use this configuration. Some of the clients such as Atom Dictate and Atom Download can be configured to transfer files via network share however this is not the preferred method. If you use this method you will be using one Windows CAL for each Atom Dictate or Download connecting to the share on the server. If you are using the Fault Tolerance Module this will also require 1(2 for a 3 way FTM) additional Windows CAL per server so the two servers can transfer voice files between each other. In a standard configuration (FTM and non FTM) you should be fine with the default Windows Licensing. Just keep in mind every PC that connects to the server via network share, will use 1 Windows CAL.

Microsoft Licensing Options The license policy for Windows Server and SQL Server offers two distinct license provisions: "per seat" or "per server." Customers may select the alternative that best suits their organization.

Per Seat Licensing: A per-seat license associates a Client Access License with a specific computer or "seat." Client computers are allowed access to any server on the network.

Per Server Licensing: A per-server license associates a Client Access License with a particular server. This alternative allows concurrent-use licensing: In this mode it is necessary to have at least as many Client Access Licenses dedicated to that server to accommodate the maximum number of clients that will connect to that server at any one point in time.

Microsoft SQL Server® Client Access Licensing License:

Each Atom Manager will require network access to the Atom server and will use 1 SQL Server CAL per work station connected. Each Atom Web Manager that connects to the server will use 1 SQL Server CAL. Each Atom HL7 or Custom Interface will require 1 SQL Server CAL. All other Atom Clients communicate directly with the Atom Task Manager which acts as a proxy to the database, the Task Manager will communicate with the database and use as many CALs as needed, use the Database Calculation formula above to find out how many SQL Server CALs your configuration will need. Once you have reached a certain number of SQL CALs it will be less expensive to purchase a processor license for the server which will allow unlimited connections (per processor) to your server for one price.

Audio Formats and Bandwidth – Disk Space

Overview This section is provided to give you and your customer a rough estimate of how much bandwidth/disk space will be used with the Atom Software. When calculating the bandwidth for dictation, you will need to know how much dictation they do per hour/day/week or the specific interval you are looking for. The same thing applies with calculating bandwidth used by transcription. There are several variables that can cause you to use more bandwidth than listed below, such as Transcriptionists downloading and returning jobs several times a day, Atom Manager traffic (Mini Player), interfaces, edit mode, client to server messaging (very limited bandwidth usage). Be sure to pad your results, with the above in mind. Keep in mind, the below is just a tool to give you a rough estimate, it does not guarantee how much bandwidth will be used at any given time, as there are too many variables to give an exact quantity.

Dictation Atom offers 3 different ways to create your dictations; Atom Dictate (PC Based dictation), Atom Download (offloads from hand-held’s or other dictation systems) or Atom Recorder (Telephony based). You only need to calculate the Atom Recorder into your total bandwidth if it is running on a different server than your Atom Task Manager and is not using a private network link to the Task Manager. Dictation will all be upstream bandwidth to your server that the Task Manager is running on.

Transcription Atom offers 2 different ways to listen to your dictations for transcription; Atom Player (PC Based Transcription software) and Atom Recorder (Telephony based transcription with dedicated phone transcription device). You only need to calculate the Atom Recorder into your total bandwidth if it is running on a different server than your Atom Task Manager and is not using a private network link to the Task Manager. Transcription will all be downstream from your Task Manager server. To calculate Transcription, find out what format you are recording in above, and then find out how many minutes/seconds of dictation they transcribe per day. Depending on how much returning goes on from the Atom Player will also have an effect on the down stream from your server since if a job is returned un-transcribed, it will be downloaded again to be transcribed. Also if your site does heavy QA, you may want to double your results.
