Employee Handbook Section Y805.4

CANCELLATION/DELAY OF COLLEGE ACTIVITIES

Policy Objective Provide consistent, yet flexible, policy for cancellation or postponement of college activities in unusual or emergency circumstances.

Policy Considerations Although the main goal for the college is to adhere to the academic calendar and other scheduling commitments, there are circumstances under which it is impractical or unsafe to do so. Common sense dictates that in extreme weather conditions the college must be closed to normal operations.

The President and senior administrators will judge whether local conditions are sufficiently severe to threaten the safety and well-being of faculty, staff and students. In the event of inclement weather, there are several regional resources to assist in making a decision to cancel or delay normal operations: • FAA Airport Control Tower • State Police • DOT Highway Maintenance • York County Sheriff Students and YCCC staff should listen to the following radio or television stations before 6:30 am for morning classes and before 3 p.m. for evening classes: Radio Stations - WRED (95.9FM); WOKQ (97.5FM); WPKO ((103.7), SHARK (102.1), 101.9FM or 1490 AM); WTSN (1270 AM), WBYY (98.7), WGAN (560 AM), WMGX (93.1FM), WPOR (101.9 FM), WYNZ (100.9), WLOB (1310 AM 96.3 FM), WJAE (900 AM), WJJB (1440 AM & 95.5 FM) Television Stations - NECN (4), NBC – WCSH (6), CBS – WGME (13), ABC – WMTW (8)

1. Classes Delayed - On occasion, weather conditions may make travel difficult and slow. In such cases, delaying the start of on-campus activities will allow faculty, staff, and students’ time to arrive safely. 2. College Closed - The college is closed in its entirety and all classes are canceled; no staff or faculty are permitted to work unless the employee has been asked by their Division Head and has agreed to work on the closed day. 3. Evening Classes Canceled - Cancellation will be announced by radio prior to 3 p.m.

Policy Statement

The President, in consultation with the senior administrators, will determine if adverse local conditions warrant delaying or cancelling normal activities and operations. The line of authority to make decisions regarding adverse conditions will be:

One of the above administrators will contact the Facilities Manager to get the conditions of the buildings and grounds. The Facilities Manager will also make calls to determine road conditions and a weather forecast for the day. The Facilities Manager will relay the information back the administrators. Based on the information they will make a decision either to have a cancellation or delay, informing all media outlets, posting a RAVE alert(s). Technology Support Services will be notified as well so that the automated phone message at YCCC may be changed. The Director of Marketing and Public Relations will update the YCCC website.
