Texas Rangers / Stars Use UltiPro to Manage Multi- Jurisdictional Taxation, Complex Payroll, and Scaling Workforce

Weston, FL, June 9, 2004--Ultimate Software (Nasdaq: ULTI), a leading provider of Web-based payroll and workforce management solutions, reports that its customer Southwest Sports Group, LLC, is using UltiPro to efficiently manage the complicated payroll processes required for its 11 sports-related organizations, including the Rangers baseball team and Dallas Stars hockey team. The company started using UltiPro in 1997 to manage its intricate payroll process. The areas where UltiPro provides the most business value to Southwest Sports are its:

Management for sports teams must calculate the taxes for team members who work in many different locations throughout the season. For example, a ballplayer might pitch in Kansas City for three nights, play in Boston the next few days, and follow that with a series in New York. Not only could each state, county, or municipality where the player works have its own tax rate, but each rate could be calculated differently. With UltiPro, companies in that situation simply input the employees’ work location and duration of employment in that locale, and UltiPro calculates the taxes automatically. This is important to an organization like Southwest Sports that manages hundreds of players representing two professional sporting teams, eight baseball teams, and one minor league hockey team.

“UltiPro dramatically reduces the amount of time my department spends processing payroll,” said Melissa Embry, controller for Southwest Sports. “I have only 1.5 full-time employees for a workforce of between 1,000 and 2,000, and I believe UltiPro has played an important role in keeping that administrative expense low.”

Not only can the solution handle complicated taxes, but it can also adapt to fit other specific business needs. For instance, the company establishes a daily pay rate for players by dividing the days in the playing season by their annual salary. After any bonuses are added or fines deducted, players are paid “as they go” with checks issued semimonthly during their season. In the event that a game gets rained out or rescheduled, Southwest Sports has the control it needs to make appropriate payroll adjustments to taxes so that employees are paid accurately and manage its business efficiently.

“Our payroll is very different from and more complicated than most companies, and I can’t imagine managing it without UltiPro,” said Embry. “The solution allows us to monitor wages and watch those expenses carefully. For example, bringing up a player from the minor leagues to replace an injured player results in an increase in salaries paid out, so that’s something we really need to keep an eye on.”

Adding another prickle to Southwest Sports’ thorny payroll is its seasonal workforce. During peak season, the company employs almost 2,000 people, a that drops to approximately 1,000 in off-season. About half of those employees are rehired every year.
