Stock identification & traceability traceability

Traceability = food safety for local and domestic consumers = market access = maximises animal welfare in disease outbreaks = evidence of ownership Where do we start? BAM (IMSA) regulations 2013

• PICs - Who owns stock and where are they?

• Earmarks/brands - Assist owners/neighbours. - Assists to deter theft. - Doesn’t guarantee security. • Waybills - Provide a paper trail - Proof in transit

• NLIS - Tracing animals; disease, residues, food safety Stock Owners must be registered. They will be allocated three Registered Identifiers: 1. Brand 2. Earmark Code 3. Pig tattoo plus Property Identification Code/s (PIC) for every property where you run stock. Exercise: record some PICs for later use

Registered Identifier - Brand: • 2 letters & a number, • Any order • First letter may be ‘lazy’ • Code describes brand

7BT 7 T T7 7BT0 7BT2 BT71 7BT 7lazyBT lazyBT7 Registered Identifier - Earmark:

• Two notches (shapes) taken out of one ear • Code e.g. 016B.063E • One earmark only • in nominated ear • Male sheep/ – ‘Right’ • Female – Other • By 6 months / leave property Registered Identifiers – Earmarks - Positions: • Must be applied to the correct ear positions • Check yours against what you think it is Farming PIC: Linked to brand (owner) & property (location/s) WEBU0073

• ‘W’ is for WA • ‘BU’ indicates Bunbury Shire • 0073rd PIC allocated in shire •‘E’ is a check character allocated by algorithm Farming PIC: ALL properties where stock are run need to be added against registration (free): • Owned

• Leased (Can be same PIC if in same/next door shire, and within 100km) • Agisted (Will be different PIC) • Look yours up – are all properties listed? WA stock brands and PIC register:

https://spatial.agric.wa.gov.au/brands

Allows you to search •a brand • check if your properties have a PIC • double check your earmark…

Exercise: - look up own registration details; - check all properties correct - draw own earmark. Every location where are kept or congregated requires a PIC

Handy contacts – commonly used PICs Sample complete NVD waybills

WAYBILLS • Required for all movements of animals from property • Alive or dead • Must accompany consignment • Provide on demand of inspector or police • Three copies: 1. Consignor (sender). 2. Transporter 3. Manager at destination 4. Keep 7 years 5. Upload image in NLIS database What is not useful… Sheep Identification Identify sheep correctly: visual NLIS tags • year of birth colour tag on breeder property • additional pink NLIS tag for any sheep brought onto the property Brought in sheep – ADDITIONAL pink tag

- Buy the tags when you buy the sheep

- into earmark ear - before sheep go… but better soon after arrival Identify sheep correctly: NLIS electronic devices (RFID) • Year of birth colour NLIS electronic device on breeder property

• If incoming sheep have lost their NLIS device or have a visual tag, you can fit a pink NLIS electronic device

• If incoming sheep have an NLIS electronic device, scan and transfer to new PIC within 48 hours of arrival. No extra tagging.

ONLY EVER ONE NLIS electronic device per animal Record all sheep coming onto your property / PIC on the NLIS database, within 48 hours of arrival. • www.nlis.com.au

• Mob-based: any number (1+) of head onto your PIC with visual tags

• Individual: any number of sheep onto your PIC with electronic NLIS devices

• All data needed for input apart from electronic NLIS numbers is on the NVD waybill Are you doing your mob based movements recording on the NLIS database?

• Recently sheep theft victim was unable to provide sheep I.D details (earmark and brand) because the mob-based movement was not completed on the NLIS database so could not trace to property of birth.

• For private purchases, even if using an agent, the onus is on the purchaser to make sure the mob-based movement is uploaded to the NLIS database. NLIS database: www.nlis.com.au

Step 1.

Add as many PICs as you have registered against your trading name

Individual – if you use electronic ID

Mobs – 1 or more sheep/ with visual tags

NLIS database: www.nlis.com.au

Step 3.

What do you want to do today?

Notify the database of: Step 4.

Click on ‘type in the details’ Step 5.

Complete the form with information off the NVD waybill the sheep arrived with.

You must use the date off the waybill, even if you are a bit late doing the upload. In WA, the waybill should have the brand of the last applied NLIS recorded on it, which should be that of the vendor.

**If there is a ‘lazy’ letter, simply write the word where needed: e.g. TlazyS3; lazyTS3 Or the code: e.g. TS32; TS31 Step 6.

Check the details are correct. Go ‘Back’ to correct or press ‘Continue’ to carry on. Step 7. Record / always ask for the Upload ID as proof when someone says they will do the upload for you. Write it on the waybill to help with your next LPA audit…

Step 8. Click ‘Transaction history’ to see if all went to plan - This information will be provided immediately, so put the date in that you are doing the upload. - Checking at the time saves you having to log back in when you get an email to say something didn’t work. Step 9.

• Check Transaction history to see it went through (COMPLETE) or to correct errors.

• If there was an “ERROR”, click on the word and it will explain what is wrong.

• You can call the NLIS Helpdesk for assistance: T: 1800 654 743 or email [email protected] Individual electronic ID movement onto PIC

Cut and paste electronic device numbers from a scan file to avoid transcription errors Run reports of movements onto and off your PIC

• To do a stocktake for your records / accountant ie: number head sold / purchased in 12 months

• To see if a movement has been recorded by someone else for you as you expected

• To check if you have uploaded the movement of a particular NVD waybill Step 1: Reports

What do you want to do today?

View / generate all reports: Note: if only selected ‘mobs’ and ‘sheep’ in account set up, Step 2: Reports there will not be all the choices as here. Only Reports: “mob-based movement onto / off PIC”

Mob-based (Sheep, Goats and Pigs) Stock agents: • If doing a transfer for your client, select “mob-based movement (non-written authority)” • Make sure you have documentation to prove you are doing it on their behalf – a confirmation email or notification on the invoice • You need to indicate who gave you authority – First name, second name; are they the ‘vendor, buyer or other’ • Good service – you have staff who have the skills • Remind producers of ID / waybill / database when facilitating a sale or taking a saleyard booking.
