Celebrating its 12th year as a leading event, DIMDEX is not just an exhibition, but ‘A World-Class Platform for Technology, Maritime & Defence Industry Capabilities.’ In addition to the exhibition, as an exhibitor you will have access to the highly-anticipated international Middle East Naval Commanders Conference (MENC), the Visiting Warship Displays from international naval forces, and VIP delegations from all over the region and the globe.

The DIMDEX 2020 Exhibitor Manual provides all the necessary information that would facilitate your planning and participation at the Exhibition, including various operational services that you may require during the event.

In order to avoid any inconveniences, please ensure that all order forms are submitted before the submission deadline which is clearly stated on each form. The timely return of the various order forms is imperative and will enable the Organisers and Service Providers to assist you effectively. A checklist of both compulsory and additional forms is included in this manual for your reference.

3 General Information: Qatar

Qatar The State of Qatar is a sovereign and independent state in the Middle East. Qatar occupies a peninsula that is approximately 100 kilometers wide and extends 200 kilometers along the western coast of the Arabian Gulf and includes several islands off its coast.

Capital City Qatar’s capital city is Doha.

Language is the official language of the country, but English is also widely used.

Religion Islam is the official religion of the State of Qatar, and the Islamic Law (Sharia) is a major source of legislation in the country.

Climate Qatar has a desert climate with hot summers, warm winters and scarce rainfall. DIMDEX 2020 is happening in March with average maximum temperatures around 30 degrees Celsius, with a very low chance of rain.

Currency Qatari Riyal (One Riyal = 100 Dirhams), and one US Dollar = QAR 3.65 (as a fixed rate).

5 GENERAL INFORMATION: DIMDEX 2020 DIMDEX 2020 Held under the patronage of His Highness Sheikh Tamim bin Hamad Al-Thani, Emir of the State of Qatar, DIMDEX 2020 is hosted and organised by Qatar Armed Forces from 16 -18 March 2020 at the Qatar National Convention Centre (QNCC). A premier event on the global maritime defence and security industry calendar, DIMDEX 2020 highlights Qatar’s firmly established position within the sector as it brings together key decision makers under this edition’s theme of ‘Connecting the World’s Maritime Defence and Security Community’. Event activities include the exhibition, the Middle East Naval Commanders Conference (MENC), the Visiting Warship displays from international naval forces, and the visits of VIP delegations from around the world.

Admission Attendance to the exhibition and conference is restricted to those engaged in legitimate areas of the maritime defence and security industry; the armed forces, the government, equipment procurement organisations, maritime defence and security contractors, operators/end-users, educational and research establishments.

All persons attending the exhibition should carry and produce on request a personal photographic identity document: passport, photo-ID driving license, national identity card or similar.

Visitors may be asked to show proof of identity. For security reasons, the Organisers reserve the right to refuse entry or to request any person to leave the venue without stating a reason.

Visitors enter the Exhibition and Conference at their own risk. The Organisers accept no liability for accidents occurring through negligence of their staff, contractors or those of the exhibitors.

No person under the age of 16 years, including children of exhibitors, will be admitted during tenancy period.

Banking Facilities Major credit cards are widely accepted in Qatar. All international banks are represented. Banks are open from 07:30hrs to 13:00hrs, although a few branches, particularly in shopping malls open in the evening. Money and travellers cheques can be exchanged at banks, the airport and exchange dealers. ATM’s are available on the main streets of Doha, at banks and in shopping malls. ATM facilities are available at QNCC.

QNCC Service Desk For any information related to facilities available at the venue, please visit the service desk at Hall 6.

Censorship Guidelines All visitors should be sensitive to the local culture and customs of Qatar.

First Aid In case of injury or sickness, please visit service counter number 6 for further information on medical assistance.

Lost/Suspicious Articles Do not leave any baggage unattended. Any such article found will be removed. Please visit the Organisers Office or Registration Counter in the event of any lost property. If any unattended article is discovered and looks suspicious, please alert Security Staff on duty. Do not remove it if you are unsure.

Media Centre DIMDEX 2020 will host a dedicated press room during the opening hours of the show. Multiple laptops and printers will be available for media to use.

Note: The media centre will be hosted by both English and Arabic speaking staff.

Middle East Naval Commanders Conference (MENC) The MENC Conference will take place on Tuesday 17th March 2020 from 13:30hrs to 17:00hrs at the QNCC Theatre. All DIMDEX badge holders (Exhibitors, Visitors, Media, VIPs and Delegations) can attend the MENC Conference and entry is free of charge.

Official Opening Ceremony (By invitation only) The Official 2020 Opening Ceremony will be held at QNCC at Al Mayassa Theatre on Monday, 16th March 2020 under the patronage of His Highness Sheikh Tamim Bin Hamad Al-Thani. Guests attending the Opening Ceremony must be seated by 09:30hrs.

Organisers Information Point The DIMDEX 2020 Organisers Information Point is located at the service counter at Hall 5. This office aims to provide assistance to all participants.

Parking Free parking is available at QNCC. Car Park passes will be distributed to entitled parties by Organisers prior to the Event.

Prayer Rooms The male and female prayer rooms are located on Level 1 of QNCC.

Restaurant Facilities A café serving light refreshments and snacks is located in the central foyer on Level 1 and another at Hall 6 (inside the Exhibition Hall).

Smoking The Qatar National Convention Centre is a non-smoking venue. Dedicated outside smoking areas are located around the building.

Show Daily Three issues of the Show Daily will be produced and distributed around the show. Each issue will include event and industry news and highlights.

Getting Around

Shuttle Buses Shuttle buses will run between QNCC and Hamad Port. Those wishing to visit the Warship Display must first register at the Warship Display registration desk in the main foyer.

Shuttle buses schedule will be available within the Official Show Guide distributed at the service counter of Hall 5.

Taxi and Limousine Information ‘Karwa’ taxis are readily available and generally offer the lowest fares. Fares are charged and fixed by the Government of Qatar and cars are all fitted with automatic tamper proof meters. Fares are charged on a “Point to Point” basis. The minimum fare at the airport starts at Qr.25/- and Qr.1.20/km. Within Doha, the rate falls to Qr.4/- and Qr.1.20 per km, while outside Doha Qr.1.8/per km, which is also applicable to night time fares. There are special taxis equipped with elevator mechanisms for passengers with special needs which can be taken at the airport, if required.

Karwa’s can also booked in advance through the Call Center 800-TAXI (8294), or alternatively through the Mowasalat app, that can be downloaded free via ‘Karwa Taxi App’.

Please note, many drivers navigate by landmarks rather than street addresses, so describe your address and your destination in as much detail as possible.

Alternatively, many hotels also offer a limousine service and there is also Uber for those who have accounts in their home countries.

Metro Doha Metro is operating 1 out of 3 lines including the free metro link shuttles. For more information visit Qatar Rail website at www.qr.com.qa

Toilets Toilets are conveniently located in the foyers and inside the exhibition halls.

Unauthorised Canvassing Canvassing for orders by any unauthorised person is strictly prohibited and the display or distribution of printed materials, except by the exhibitors at their own stands, is prohibited.

Important Notes: • All Stand Contractors other than the official show contractor Circle Qatar are required to provide the organisers with a cheque for a refundable Performance Bond in order to be allowed to build up, which will be returned if no damage was incurred to the occupied exhibition space. The Performance Bond Cheque must be submitted at Circle Qatar Service Counter. • All pre-registered Exhibitors are to collect their Exhibitor Badges at the Registration Counter Hall No. 4. All exhibitors who have not registered online can register onsite starting from Monday 9th till Sunday 15th March 2020 from 09:00 – 17:00hrs. • All stands MUST be fully ready for Organiser and venue H&S inspection by midday on Sunday 15th March 2020. 21 22 Section 1: Exhibition, Venue & HSSE Information 1.1 Exhibition Overview DIMDEX 2020 is set to deliver a dynamic platform for key decision makers and industry leaders in the maritime defence and security industry. It provides an opportunity for exhibitors to showcase their latest, state-of-the-art technologies and products to renowned industry experts. Through an exclusive Delegate Management System (DMS), exhibitors can request appointments and coordinate meetings with key decision makers reflecting an unparalleled opportunity for global outreach in the defence industry. Attendees from around the world will have the opportunity to discuss with thoughtful leaders the latest naval, maritime and security innovations. Exhibitors please note: • DIMDEX 2020 is not open to the public and admission is restricted to professional and industry visitors. • Those visiting must provide valid trade accreditation and identity documentation to enter the exhibition. 1.2 Venue Overview QNCC is located on Qatar Foundation’s 2,500-acre campus, which hosts faculties from world-renowned universities such as Weill Cornell, Texas A&M, and Georgetown, as well as home-grown centers such as Sidra Medical and Research Center, Qatar Science & Technology Park, and Al Jazeera Children’s Channel.

QNCC was conceived with a focus on sustainability. The Centre was built according to US Green Building Council's Leadership in Energy and Environment Design (LEED) gold-certification standards. 1.3 HSSE GUIDELINES i) Security As an Exhibitor, you have a legal duty to care for the safety of anyone who may be affected by your activities. You are ultimately responsible for all aspects of safety of your stand during the build-up, open period of the exhibition and breakdown. Please read the guidelines carefully and keep it for your reference, as they affect you, your staff, contractors and visitors during your participation.

All Exhibitors must abide by security procedures as designated by Qatar National Convention Centre (QNCC) and the Organiser. Security services will be available onsite during the whole period of the Exhibition. Exhibitors are required to follow site security procedures and cooperate on any requests or concerns raised by the organisers and security staff.

Exhibitors must report accidents immediately to the Organiser and security onsite.

24 Exhibitors should never leave their belongings, stands and exhibits unattended during the whole period of the exhibition, build-up and breakdown period.

Inform security or the Organiser immediately if your stock or exhibiting materials are found to be missing. If any safety & security procedure is violated by an exhibitor or their staff, the Organiser and venue reserves the right to close down the stand. ii) Contractor Safety Guidelines All Exhibitors must cooperate with the Organiser to identify any potential hazards and maintain a safe environment for their staff, contractors and visitors.

All Contractors, Sub-Contractors, Suppliers and their designated Employees who will be working at the Qatar National Convention Centre (QNCC) are required to comply with the Centre’s safety, health and environmental procedures and guidelines, conducting work in a safe manner and not placing themselves or others at risk.

The following procedures and requirements are to be adhered to by Contractors, Sub-Contractors, Suppliers and their employees at all times during the move-in and move-out: • Familiarisation with the fire and emergency procedures established at the Centre. • Only designated service entrances, lifts and loading dock are to be used for the transportation of staff and materials. • All attire worn by contractors, sub-contractors and their employees must have visible company identification. These can be in the form of high visibility vests or uniforms. • All persons must wear covered footwear. • No thongs, sandals or open-toed shoes are allowed. • Alcohol is not permitted in the work areas and no one is allowed to work while under the influence of drugs or alcohol. • No persons under 18 years of age are permitted to enter or work on the premises. • All contractors, sub-contractors and their employees must provide their own tools and equipment and these must be in a serviceable condition and appropriate for the task for which they are to be used. The Centre’s equipment cannot be used unless prior approval has been obtained. • Proper scaffolding, including ladders and work platforms, must be used for any construction activities within the venue hall and must comply with the relevant health and safety regulations. • All contractors, sub-contractors and their employees are strictly prohibited from using the guest toilet facilities or loitering in the guest areas. • Smoking is not allowed at any time in the Halls and associated work areas. • No consumption of food items is allowed either at the “back-of-house” service areas and/or in the public spaces. • Contractors and sub-contractors must not damage the Centre’s building or any part thereof and cannot make any alterations to the structure of the building. • No attachment, fitting or detachment is to be made to the interior or exterior walls, floors, ceiling, or pillars of the building. This includes any equipment or device whatsoever which would be affixed to, or suspended from, any structure of the building, and includes attachments that would damage any surface or structure in any part of the building. A pre and post site inspection to identify possible damages or cleaning requirements will be conducted and any identified damages caused will be subject to additional charge. • Contractors and sub-contractors will ensure the removal of all debris, rubbish and packing materials from the premises. • It is the responsibility of contractors and sub-contractors to apply for all the necessary permits with the local authorities before commencing work in QNCC. • All work performed by contractors and sub-contractors in QNCC must be carried out in a manner which minimises the risk of harm to their employees and those of other contractors. • All contractors and sub-contractors must register with the Security Department and wear the pass that will be supplied at all times when entering QNCC.

25 • Overnight accommodations are prohibited on the venue.

Non-compliance on the above will result in the offender being prohibited from working in the Centre. The Centre reserves the right to add and change any of the procedures and requirements at any time. iii) Personal Protective Equipment (PPE) Personal protective equipment (PPE) must be worn at all times whilst at the venue during build up periods. PPE will include:

• Fully closed shoes – open shoes, sandals, thongs etc… are unacceptable. QNCC strongly recommends the use of safety footwear with steel toecap. Any persons found to be wearing inappropriate footwear will be immediately asked to vacate the venue. • Hi-visibility clothing must be worn at all times during the venue build up, break-down and when in the loading dock areas. • Hard hats must be worn when below work being undertaken at height. • Eye protection such as safety glasses, goggles or face shields must be worn when operating equipment where there is risk of injury to a person’s eyes or face. • Gloves must be worn where there is risk of injury to a person’s hands or fingers.

PPE required must be indicated on the risk assessment completed prior to starting any work. iv) Emergency & Evacuation Procedures Qatar National Convention Centre (QNCC) has emergency and evacuation procedures to enable the successful evacuation of staff, exhibitors and visitors in case of a fire or other emergencies. All Qatar National Convention Centre (QNCC) staff will assist in the evacuation of large numbers of people if the need arises.

Evacuation procedures will be announced on a dedicated fire/evacuation PA system and will be coordinated by the venue’s HSSE Manager and the Head of Security.

• All emergency exits must be accessible and unobstructed at all times. • Familiarise yourself with all emergency exits at the venue and follow emergency exit signs in case of evacuation. A floor plan indicating all emergency exits at Qatar National Convention Centre (QNCC) venue will be provided later. • In case of emergency stay calm and avoid spreading panic, inform the Organiser or security personnel onsite immediately, head to the emergency exits and follow the evacuation instructions given through the PA system. Do not use elevators or lifts. • Fire Exits: Designated fire exits and clearways have been identified with marked green and white exit signs over the doors in the exhibition halls. • Fire, sparks, welding and inflammable/explosive gas/materials are prohibited at the venue. • Fire Extinguishers: All exhibits must not restrict access to firefighting equipment and must be designed in accordance with British Standards Specification and conform to the Qatar National Convention Centre’s (QNCC) safety and fire regulations. Where the location of a fire extinguisher is obstructed by an exhibit, booth or structure, an additional fire extinguisher will be required. • All aisles, corridors, access and fire exits are to be kept clear at all times. • All two storey and enclosed stands must be fitted with wireless smoke detectors which will be provided at the venue at the prevailing rate. v) Special Hazards No hazardous substances or dangerous goods are to be brought into the venue without formal approval.

Prior to approval for the use of any hazardous substances or dangerous goods, Qatar National Convention Centre (QNCC) will require documentation justifying their use and a risk management plan showing how the risks associated with handling, storage, use and disposal, where necessary, are to be managed. The risk management plan is to include a copy of the relevant Material Safety Data Sheet (MSDS).

26 27 The venue’s HSSE Officer reserves the right to inspect individual booths for such items and totake appropriate action if the items found are undeclared and have not been approved by the venue. vi) First Aid Services In the case of an emergency, a First Aid professional will be available at the exhibition at all times. Medical Services will be located at the Exhibition Service Counter Hall No. 6

1.4 Insurance Exhibitors are required to arrange all risk insurance coverage for the full duration of the exhibition from the country of origin to the exhibition stand. Exhibitors shall ensure they are fully covered by insurance and take out public liability and comprehensive protection.

It is the responsibility of the Exhibitors to underwrite a contractor’s third party liability insurance which covers any accidents or damages during the exhibition.

QNCC and the Organiser will not be responsible for the safety of articles of any kind brought into the venue by delegates, exhibitors, their agents, contractors, visitors, and/or any other persons whatsoever.

Section 2: Exhibition Rules & Regulations 2.1 Admission All Exhibitors, Media and Visitors to DIMDEX 2020 can pre-register Online and can pick up their badges onsite from Registration Counter Hall No. 4 and 5. For Onsite Registration, Pre- Registered Visitors, Exhibitors, Media and official contractors are to present their ID/Passport in order to be issued a badge. Access to the Exhibition halls during closing time will be limited only to the venue owners/staff and the Organiser.

28 Types of Badges: • Exhibitor Badge: Allows access to the Exhibition & Conference for Exhibitors and their service staff throughout the Opening hours of the event. • Temporary Contractor Badge: Allows access to the Exhibition for stand contractors during the build-up and tear-down period only. • Visitor Badge: Allows access to the Exhibition & Conference for registered trade visitors during the Event's official opening days. i) Exhibitor Registration All Exhibitors and their service staff must be registered and hold an Exhibitor Badge at all times of the exhibition even during the build-up and tear-down period.

Exhibitors must submit the Online Exhibitor Badge Form No. 4 before 20th February 2020. Badges can be collected from the Registration Counter Hall No. 4 starting from Monday 9th March 2020 between 09:00 – 17:00hrs.

Note: Any false identification or misuse of Exhibitor Badges or the assistance of unauthorised individuals in accessing the Exhibition area is strictly prohibited. iii) Temporary Contractor Access All Contractors must present their ID/Passport to be granted a temporary Contractor Badges to access the exhibition area during Build-up & Tear-down period only. Temporary Contractor Badges can be collected at the Loading Area starting from Monday, 9th March 2020. Space-Only contractors who did not submit a performance bond to the organiser at Circle Qatar Service Counter will not be allowed to access the exhibition halls and start build-up. The request must be submitted by the Exhibitor. iv) Visitor Registration Only qualified trade visitors with a professional, business or operational involvement in naval, maritime, defence or related Government or industry sectors may attend the Exhibition. Please note that visitors must provide accreditation such as business card, company identification, applicable association membership card or any similar evidence of qualification during registration or collection of visitor badges.

All visitors are required to register as a trade visitor. Pre-registration is available online and is recommended to expedite the accreditation process on arrival at the Exhibition site. Alternatively, visitors can apply for a visitor badge at the Registration Counter. Admission of visitors is solely at the discretion of the Organiser.

29 v) Children Children under 16 are not allowed to access the Exhibition venue at any time.

2.2 Advertising i) Onsite Advertising All advertising activities of the Exhibitor and the relevant staff must be confined to the space contracted. No advertising or canvassing for business may take place elsewhere in the exhibition halls, corridors, aisles, empty stands, entrances, registration areas, technical session area and on vehicles parked within the venue’s car park without the prior written consent from the Organiser. This includes distribution of leaflets, brochures, journals, etc.

Notice: The Organiser bears no responsibility for any references that cause offense therefore; we advise avoiding any cultural or historical references on promotional materials. ii) Advertising in the Show Guide The show guide is widely distributed during the event to all visitors. It is used as an industry reference tool throughout the year until the next show. Any advert in the Official Show Guide will be viewed by the industry throughout the year. If you wish to advertise in the Dimdex 2020 Official Show Guide, please submit Advertise in the Show Guide Form No. 2 before 20th January 2020. iii) Balloons and Flying Objects Exhibitors wishing to use balloons as part of their display must seek written permission from Qatar National Convention Centre (QNCC) twenty one (21) days prior to move-in date. The written request should be accompanied by the following details:

• Location of stand displaying the balloons • Types of balloons on display • Size/diameter/length of balloons on display • 3D render of the balloons • Type of gas used in the balloons • Material from which the balloon is constructed

The placement of balloons should not obstruct the view of the CCTV cameras and the water sprinkler system. Toy balloons containing helium may not be distributed on the premises without written approval from the venue. iv) Hanging of Banners Requests to hang posters, flags and banners above Exhibitors’ stands are processed by Qatar National Convention Centre (QNCC) and are subject to the Organiser's and the venue’s approval. Please refer to rigging information and approval procedure.

Hanging of posters, stickers, flags and banners on the walls, structures, aisles and floors of Qatar National Convention Centre (QNCC) is prohibited as they are meant to be solely used by the Organiser and Sponsors.

2.3 Dynamic Exhibits All moving machines must be fitted with appropriate safety devices that function when the machines are in operation. These safety devices should be removed only when the machines are disconnected from the source of power.

The general guidelines are: The working machines must be placed at a safe distance (minimum of one metre) from visitors.

• Any machinery or apparatus displayed at the venue shall be demonstrated only within the confines of the stand.

30 • Only authorised personnel are allowed to operate the machines. • Any plant and equipment that requires a licensed operator should be operated only by the prescribed license holders. • No machine or display shall be left unattended while in operation. • Motors, engines, or power-driven machinery must have adequate fire and other appropriate protection against oil and other leakage. The operation of compressors, sprayers, auto trucks and similar machinery powered by internal combustion engines is prohibited.

2.4 Noise The Exhibitors are advised that any audio system or electrical device producing irritating, intermittent and/or sequential sounds/noise is not permitted without prior approval from the Organiser and the Venue.

The distribution of noisemakers such as whistles, crickets, horns, and etc. is prohibited. Audio from any presentations must be confined within the Exhibitor’s booth so as to prevent any discomfort to the other Exhibitors, the work of our employees and/or visitors passing through the venue.

The maximum noise level is 85 decibels.

2.5 Functions & Activities Functions and activities held by Exhibitors are allowed only within the physical limits of their stands during the opening hours of the Exhibition.

Alcohol is strictly prohibited.

2.6 Meeting Rooms (B2B) Exhibitors who wish to book for rooms to conduct business-to-business (B2B) meetings can do so by contacting QNCC directly. Please note that the booking of the room is only confirmed once the Exhibitors receive a confirmation email from the venue and is subject to availability.

2.7 Painting The major painting of displays and exhibition materials is not permitted at the venue.

The following guidelines must be adhered to: • Only non–toxic, primarily water-based, paints are permitted • Floors to be covered with plastic over-lay or drop sheets (not newspapers) • Do not paint near the vertical structures (i.e. walls) of the venue • Do not wash paint brushes and/or dispose of paint material in the hall toilets An industrial paint washroom is located near the loading dock where paint brushes can be cleaned and paint material disposed of. Cleaning charges will apply for any removal of paint from any part of the venue.

2.8 Surveys Surveys are authorised only within the physical limits of the exhibitor’s allocated stand.

2.9 Photography, Video & Audio-taping DIMDEX reserves the rights to have access to all photographic, video or TV recordings in relation to DIMDEX 2020 and to authorise reproduction and sale of such property without requiring the Exhibitor's permission.

Each Exhibitor is allowed to take photographs of its own stand during the exhibition opening hours.

31 32 2.10 Bankruptcy or Liquidation In case the Exhibitor becomes bankrupt or enters into liquidation other than for the purpose of reconstruction or merger, or has a receiver appointed, the Organiser shall be at liberty to terminate immediately the contract with the exhibitor, to cancel the allocation of exhibition space to the Exhibitor and to forfeit all sums paid by the exhibitor.

2.11 Subletting/Co-sharing The Exhibitor shall not assign, sublet or otherwise part with or share possession of the whole or any part of the Allocated Space without the Organiser's written consent, regardless of whether any rental or other consideration is given for such use or permission.

2.12 Vehicle Entry & Parking

Exhibitor’s Vehicle Pass Parking at the QNCC Multi storey Car Park (located next to the roundabout/West Wing) is free of charge and no car passes are required/issued by the venue.

Each exhibiting company with the space exceeding 80m2 will be given one (1) free of charge VIP car pass for the VIP parking located in the West Wing VIP Car Park.

Section 3: Services Contracting Conditions 3.1 Official Contractor for Shell Scheme Stand The Organiser has appointed Circle Qatar Ltd as the Official Exhibition Contractor for Shell Scheme stands. All Shell Scheme stands, electrical services, water & drainage and furniture orders will be undertaken by Circle Qatar Ltd. i) General Information • Exhibitors are requested to return all related forms to Circle Qatar Ltd by the deadlines indicated on each form. When the service is not required, please mark “not applicable” on the form and fill in the company name and stand number. • All standard Shell Scheme Exhibitors must fill in the Fascia Name & Grid Plan Forms in this manual and return to Circle Qatar Ltd. for “Space-Only” Exhibitors, please mark “not applicable”. • For Electrical Order, kindly complete Form No.8 Electrical Supply and Lighting.

33 • There will be surcharges for orders received after the deadline stated (17th February 2020). • For Furniture Order (Form No. 9), there are both system and ready-made furniture available for rental. Order forms and colour photos are available. Again, there will be surcharges for orders received after the deadline stated and priority will be given to advance orders. • For Exhibitors who need assistance not mentioned above (e.g. graphics, stand design and fabrication, audio-visual, and etc.), kindly contact the Organiser for more information. • Water Supply: For water supply order (Form No.11) ii) Shell Scheme Features A standard Shell Scheme of 12m2 will comprise of carpet, 2.5m high walls panels, 4 spot lights, 1 x 13A socket – 220v, name board, information counter, 1 brochure holder, 1 table, 3 chairs, 1 dust bin and a lockable storage area of 1 x 1 x 2.5m (2.5m3).

Note: The Shell Scheme package does not include water supply, telephone or internet connection.

iii) Shell Scheme Rules • Rental shelves have limited weight carrying capacity of 10kg per metre run. The Exhibitor will bear responsibility for any damage caused by over-loading. • Furniture provided as per package is on a rental basis only and hence can only be utilised for the show period. Any additional requirement should be requested for through the order forms and will be charged accordingly. • All electrical fittings are as per standard package ordered by Exhibitors; any additional requirement should be requested for through the order forms and will be charged accordingly.

34 • Exhibitors are prohibited from tampering, altering or modifying any part of the Shell Scheme and the accompanying items. The Exhibitor will have to bear any damage costs should they are found to violate this rule. • Exhibitors can approach Circle Qatar Ltd for any graphic work and/or printing services and will be charged accordingly.

3.2 Special Design Stand (Space-Only) “Space-Only” Exhibitors may engage the Official Contractor Circle Qatar or any other Special Design Contractor for their stands. All Special Design Stands must be approved by the Organiser and Venue Health & Safety Department before work on the stands can commence.

• The area will be bare floor space only, meaning no carpet or electrical supply will be provided. • Please remember to order main power supply and make sure your contractor is supplying a distribution box. • The maximum height build in the exhibition halls is 4m (for one level stands). • Exhibitors wishing to build higher stands require written venue approval (can be obtained via the Organiser). • For a double decker stand, the Organiser must be informed by indicating the double decker space required on the Space Reservation Form. • The maximum permitted weight in the exhibition halls is 2.5 tons/m2. • Exhibitors who opted for a space-only stand are required to ensure that the stand design does not include the standard shell scheme as this is provided exclusively by the official stand contractor and plans with shell scheme will be rejected. • We strongly advise you to use a recommended stand contractor as they have venue approval and expertise in building exhibition stands. i) Stand Design Approval No work can commence until written approval is obtained from the Organiser. The Exhibitor’s contractor is required to email the Organiser a list of documents and drawings listed below for the venue Health & Safety Department approval.

The venue will only grant a stand approval when all the submissions are in order and the design complies with the venue safety regulations. The Venue has the right to reject the design and/or require revision of any design that does not comply with their H&S regulations.

Appointed contractors by Exhibitors are to email the following documents and drawings of their Space-Only Booth along with the Contractors' Guidelines Form No. 5 and Stand Design Form No. 6A with the Letter of Undertaking Form No. 6B no later than 3rd February 2020.

Required Documents and Drawings: • A design dimensional plan with elevation • Details of construction materials and methods with fire resistance certificates • Risk assessment and Method statement for the complex stands • An electrical plan with a clear electrical layout and relevant legend

Method statements detailing how work will be carried out during the build-up period and dismantling are required to be in place before work starts.

For complex or stands of more than 1 level, a signed certificate from a qualified structural engineer must be obtained. Where any part of the stand construction exceeds 3m in height, adequate structural drawings, calculations and certification shall be provided. Technical Drawings, Layout Plans & Perspective.

35 • Risk assessment • Method statement • Information of materials used to build the stand ii) Performance Bond Exhibitors who use services of other than the official Stand Contractor (Circle Qatar) will be asked to provide a refundable performance bond under the name of the organiser equivalent to US $50 per m2. based on the contracted space subject to a minimum of US $500 to a maximum of US $7,000 per stand. The performance bond is refundable and must be paid by cheque in order to access the space and commence the stand build. This can be done between Monday 9th February and Sunday 15th February 2020 at the Official Contractor (Circle Qatar) Service Counter.

The Performance Bond will be returned after the last day of tear-down if no damage to the rented space occurred and all waste was removed.

3.3 Special Design Stand Rules & Regulations i) Stand Height & Partition Walls • A stand that has a roof or ceiling fitted is required to contain additional fire protection, such as dry fire extinguisher, smoke detector together with the installation of a sprinklers piping taken off the existing standpipe system in floor within the stand. • Internal aisle-ways within exhibits must have a minimum aisle width of 3m and be clearly defined or have a floor covering of a contrasting colour to the remainder of the stand flooring. At no time during the event can these aisles be obstructed. • Any Special Design stand with a floor area greater than 50m2 is to be provided with at least one alternative means of egress to the walkways. Any door assembly in such a Special Design stand must comply with the Building Code. • Any door incorporated into the stand and which does not provide an alternative means of egress, must have a “No Entry” sign affixed to it. • Any barriers incorporated into the special design stand are to be designed so that they yield to pressure without toppling. • No excessive or major carpentry works shall be carried out within the Exhibition Halls. • The Exhibitors shall not erect any sign, device, furnishing or ornament outside the stand. • All construction works for stands, etc. must be fully completed during the build-up period. No touch up or corrective works whatsoever will be permitted one hour before the opening of the Exhibition. • The maximum height for Special Design Stands is 4m. The walls should be built at least one metre away from the edge of the space contracted by the Exhibitor. • On divided sites (i.e. two or more exhibiting companies sharing the same block, i.e. “peninsula” and “corner” stands), Exhibitors are responsible for erecting a partition wall not exceeding 2.5m. • Any stand structure, decoration, exhibit or display exceeding 2.5m high, must be at least one metre away from the partition wall. • The Exhibitor whose booth has walls (above the height of 2.5m) overlooking the adjoining stands must ensure that they are clad on both sides and finished in plain color. Exposed walls must not display logos, graphics or other advertising over the adjoining stands. ii) Flooring and Platform The maximum floor load capacity in the Exhibition Halls is 25kN per m2 (i.e. 2,500kg/m2).

All raised floor sections must be clearly distinguishable from areas of the surrounding floor space and should not contain sharp or dangerous edges and must not cause a trip hazard. Disabled access ramp to the stand must be provided.

36 To reduce the risk of a trip hazard, a handrail, block-off panel or suitable barrier of 900mm minimum in height should be installed. The ramp is to have a gradient of no less than 1:8 if the rise is 190mm or less and no less than 1:4 if the rise exceeds 190mm. iii) Double Decker Stands As indicated in paragraph 3.2, certification by a Professional Engineer from a registered building practitioner is required for stands of two storey or more where the second or subsequent storey be occupied. The certificate must indicate the maximum occupancy limit of the upper levels and this must be displayed on the structure. iv) Construction Materials a) Non-combustible material b) Inherently non-flammable material c) Flame proof fabric d) Self-extinguishing plastic material e) Plywood, hardwood, pulpwood or fiberboard rendered flame resistant by a process of impregnation

3.4 Electrical Supply & Installation Guidelines i) Ordering of Electrical Supplies It is compulsory for Space Only Exhibitors to order for electrical connection from the Official Contractor Circle Qatar. Orders are to be submitted through the compulsory Form No. 8 Electrical Supply and Lighting.

Supply will be provided through a cable to the stand. The position of the cable on the stand will depend on the position of the cable trench serving the stand. Any other termination required should be ordered.

Deadline for Electrical Orders: • Orders for main electrical supplies shall be placed not later than 17th February 2020. • Orders for main electrical supplies received after 17th February and before 2nd March 2020 will incur a 20% additional charge. • From 3rd March 2020 orders will only be accepted on site during the set up and will be subject to a 50% additional charge and availability.

Payment: The Official Contractor reserves the right to refuse to connect a supply until payment has been received. ii) Electrical Supply Electricity supply in QNCC is 220V at 50Hz. Plugs with three square pins are in use. An adapter to connect appliances and/or transformer is needed. Exhibitors are advised to bring their own electrical adaptors if required.

The Exhibitor contractor must not interfere or make any alterations to the power supply or electrical systems already installed inside the venue facilities at any time.

It is highly recommended that equipment sensitive to supply fluctuations be protected with appropriate surge protection equipment to eliminate any disruption to your exhibit.

Temporary power for build-up and tear-down should be ordered by exhibition Official Contractor, Circle Qatar. For safety reason temporary power for tear-down will be disconnected within 30 minutes of exhibition closing. Exhibitors involved in larger projects requiring a substantial amount of electrical service are encouraged to contact the Official Contractor prior to finalising their plans so that they may assist in the distribution plan [power layout] of exhibit space.

37 38 24-Hour Supplies The Exhibitors must indicate in Form no. 8 Electrical Supply and Lighting if a 24-hour supply of electricity is required for battery chargers, refrigerators or other equipment. If this should necessitate a separate electrical supply, the Exhibitors will be required to bear the cost. Otherwise, stand electrical supply will be switched off after the close of each day. iii) Electrical Installations Electrical installation throughout the QNCC is based on current British standards. It is a requirement that any wiring installations for exhibitions and stands be inspected, tested and certified by a suitably qualified electrician after each assembly on site. The Hirer MUST therefore ensure that a signed test certificate is provided to QNCC in order to energise the power connections.

Exhibitors must ensure that any electrical installations are carried out by a qualified electrician in a safe and competent manner or risk having their electrical supply disconnected from the main supply. Where a connection is made and a fault becomes apparent, the equipment shall not be used until the fault has been rectified.

Please note the following electrical installation regulations: • All electrical installation at the stand must be carried out by the official electrical wiring contractor or a licensed electrician. • Each stand is allocated a 13Amp switch socket outlet to cater for most exhibition requirements. However, should it be necessary to plug in a laser printer, computer, refrigerator, coffee machine and other similar equipment, an additional electrical outlet will be required. • Each electrical point provided is intended for one item of equipment or machine on display. The use of multiple socket outlets is strictly prohibited to avoid any overloading as this may lead to a trip in the incoming power supply and cause inconvenience to other exhibitors. • No electrical installation and fitting may be suspended from the ceiling of the Exhibition Halls or fixed to any part of the building structure without permission from QNCC and if permitted, a fee will be levied. • Electrical cabling should be routed away from pedestrian traffic and taped down to minimise a tripping hazard. • Neon lighting is not permitted without prior approval from QNCC. • QNCC reserves the right to disconnect the electrical supply to any installation which, in the opinion of QNCC’s Electrical Charge man, is dangerous or likely to cause annoyance to visitors or other exhibitors. • All stand electrical circuits, other than those with a 24-hour supply, shall be switched off as soon as possible after the close of each Event day. iv) Lighting Please note the following lighting installation regulations: • Lighting must be industry-approved. • High-powered lights must be 1m away from flammable materials. • All lighting must be at least 2.2m above floor level or protected in an approved way to prevent accidental burning. • Where halogen tube lights are to be used, the globe unit must be protected with safety glass or a cage to minimise the risk of explosion and fire, and the lamp must not exceed the design capacity of the lamp holder. • All temporary spotlights or the like are to be a minimum of 300mm from the partitions or combustible goods. Every spotlight shall be equipped with a guard attached to the lamp holder or the handle. • Lighting and/or lighting equipment intended to be connected to the mains supply must be tested and tagged. • All lighting and/or lighting equipment must be switched off and disconnected from the mains supply prior to leaving.

39 3.5 Rigging Information & Approval • All rigging requires both the Organiser and the Venue approval. Fixed Rigging Points are available. • All rigging is provided through the Venue and installed as per approved rigging plot submitted to QNCC. • Only QNCC Riggers may attach any suspension equipment to the structure of the Building. This includes all mother grids, hanging points, flying systems or any other structural elements. (Unless prior written approval has been obtained from the Venue and Organiser). • All overhead rigging incorporating lifting equipment (i.e. chain hoist, winch or other) must be backed up by a secondary suspension. Unless a BGV C1 or BGV D8+ standard with current certification produced. Rated steel secondary suspension equipment must be provided to QNCC rigging team by client’s agent at time of point installation. • All suspended material is required to be able to move independently of the QNCC mother grid for load in/load out purposes. The QNCC mother grid is not for lifting/lowering of client’s suspended materials. Floor mounted stands or objects may not be attached to the QNCC grid and must be supported independently. • Standard Rigging operations are between the hours of 09:00 to 17:00 for load in and load out. • Any movement/Re-rigging or changes to the Rigging plot (within 10 days of event start) are liable for charges in line with the requirements. • QNCC and Organiser are not responsible for any damages physical or human caused due to Exhibitor & their agency failing to present the necessary certification/details of their rigging material & methodology or making changes on site to plans, standards & method of work.

Apart from the rigging points, all other rigging works and equipment such as installations/dismantling, trusses, cables and certified manpower are to be provided by the Exhibitor. Each and every exhibitor should use his own motors and trusses to sub-hang his lights and/or set and decoration. Hanging directly on the mother grid would create an issue as the mother grids are shared between the different exhibitors and it is important they are independent within their set-up.

Rigging Approval: All rigging details including production schedule, scale drawings and rigging plots are to be formally submitted to [email protected] as part of your design approval and is subject to the Organiser’s and Venue’s approval. Rigging plots should specify the location of the truss, structure and all associated weights.

Exhibitors are to order their rigging points using the Rigging Form (Form No. 15) supplied by QNCC before 3rd February 2020.

QNCC will however monitor the rigging work by the Exhibitor’s contractor and will advise and intervene as and when necessary.

Exhibitors are to note that QNCC has the right to stop and provide alternatives to the rigging work if they feel that the Exhibitor’s methods are not safe and may compromise the overall safety of the Exhibition.

3.6 Freight Forwarder & On-site Handler i) Shipping Guidelines BCC Logistics has been appointed as the exclusive official freight forwarders, local Customs clearance and on-site handling agents by Qatar Armed Forces (QAF), the organiser of DIMDEX 2020.

It is the responsibility of the exhibitor to advise BCC Logistics of their freight details and to ensure that they are aware of the costs of on-site handling. Material handling includes receiving, unloading your exhibit materials, storage at the warehouse, delivery to your exhibit space, handling of empty containers (removal from exhibit space, storing and then returning to exhibit space at the end of the exhibition) and the removal of your material from your exhibit space for reloading onto outbound freight carrier. Material handling service does not include the cost of shipping.

No live ammunition or weapons are permitted for import or display during DIMDEX 2020.

42 43 3.7 Other Services i) Stand Cleaning General cleaning of the Venue is provided in the common areas and exhibition aisles. Stand cleaning and Stand cleaning orders must be placed at least 24-hours before the time required. Any stand cleaning order placed less than 24-hours prior, will not be accepted by Qatar National Convention Centre (QNCC).

This free wireless service is provided on a best endeavour basis. Due to the nature of the service and risk factors beyond the Venue’s control, the Venue cannot guarantee that the services will be free from any fault, error or interruption. The Venue shall not be liable nor held responsible for any delay or failure in communication whatever and as a result of circumstances beyond the Venue’s control.
