Volunteer Expression of Interest
Dear Volunteer,
The Lions Club of Cabarita Beach and Pottsville Beach Annual Charity Fishing Competition is our major fundraiser and has now been running for 32 years, raising much-needed funds for community organisations. This year we have been fortunate to have major sponsorship support from Pottsville Beach Sports Club, Tweed Coast Marine, madkeen, Direct Synergies, Alvey Reels, BCF (Ballina), Gary Howard fishing rods, J&K Fowler Building services and On Site Fastening Solutions. The success of the event is heavily dependent on sponsorship, merchandise sales, raffles, fish auction and the sale of 4WD beach permits. Entrance fees alone cannot cover the costs. Volunteers play a large part of the overall success in the running of the event.
Our 2019 target is to have 800 plus competitors. We are advertising in newspapers (Tweed Valley Weekly, Tweed Daily News), fishing magazines (Bush and Beach Fishing, Fishing Monthly NSW and QLD), radio (Big Country Radio), and PRIME7, 7TWO and 7Mate (SEQLD and NNSW). There are a number of ways volunteers will be able to assist both prior and “Volunteers are not paid, during the two-day event (8-9 June not because they are not worth it 2019), and we have an array of positions but because they are priceless” available as shown in Table 1.

Table 1: Volunteer expression of interest
Volunteer Tasks (High level) Expression of Interest Selling of our major raffle tickets whenever you can. Take a few books and do your best. If we have the volunteers, Michael and Stephen can organise shopping centre and site approvals where required. Will be selling at Pottsville Markets etc Coordinate raffle ticket sales on 8 & 9 June on -site (All sold 😊😊) Greenback Operations and Logistics Co-ordinator (This role would be best filled by an active retiree working with Michael and Stephen) Will be the Deputy Event Management 8-9 June (working with Michael and Stephen) The role will require approx 15-25 hours a week.
Note: 8-9 June 2019 Responsibility Authority and Accountability Stephen Duffield will hold Event Management RAA Michael Judd will hold Site Management RAA
Help maintain the ‘Cash entries’ in the Event Management database working with Stephen June 3-9 (A laptop and smart phone would be required, would need to have data entry skills). Maintain a site printer. Collect and account monies on 8-9 June Greenback Social media Ambassadors Greenback NSW Team Ambassadors Greenback QLD Team Ambassadors Stocktake of all equipment & goods
Require a Site Safety Manager (needs to have OH&S licences and can work within PBSC Safety requirements and complete Lions International Insurance risk assessments) Site Safety RAA Assist with site security
Update signs and Put-up signage
Packing of sign-on bags (week leading up to 8/9 June, Monday 3 Juned – Wednesday 5 June at Pottsville Beach Sports Club. Prepare 4WD signage, permit passes and place signs at beach locations Set up (Table) and manage a ‘Ballina’ sign-on for ON-LINE (No-Cash) entries 8am -12pm Saturday 8 June, Outside of BCF Ballina (tbc). Requires 2-3 volunteers and you will each be required to have a smart phone and have an event app installed for scanning of QR codes (Sign- on). You will be allocated sign-on bags and 4WD permits. There will be sessions with Stephen to ensure you understand the process. 2- v7

Volunteer Tasks (High level) Expression of Interest Set up (Table) and manage a ‘Gold Coast’ sign-on for ON-LINE (No- Cash) entries and issue on-line paid 4WD permits, 8am -12pm Saturday 8 June. Requires 2-3 volunteers and you will each be required to have a smart phone and have an event app installed for scanning of QR codes (Sign-on). You will be allocated sign-on bags and 4WD permits. There will be sessions with Stephen to ensure you understand the process. Set up of facilities such as tents, seating and temporary fencing (Friday 7 June, Saturday 8 June) Work with Stage truck, rubbish bins and Ice provider Coordinate Weigh-in site, scales, prepare weigh-in forms and update signage on the weigh in boards Set up and manage a ‘Pottsville’ sign-on for ON-LINE (No-Cash) entries and issue on-line paid 4WD permits, 8am -12pm Saturday 8 June. Requires 2-3 volunteers and you will each be required to have a smart phone and have an event app installed for scanning of QR codes (Sign- on). You will be allocated sign-on bags and 4WD permits. There will be sessions with Stephen to ensure you understand the process. Set-up and manage the cash selling of entry tickets and 4WD permits. Depending on online sales, volunteer numbers may be 4-16.
Registration - Entry tickets / Sign-on / 4WD licences / (a major peak load will be 8:30am-10am Saturday 8 June at Pottsville) Prizes (pickup, pack and numbered prizes, Sunday 9 June prize handling and prize recording) Fish auction (fish preparation into bags following weigh in; assistant to auctioneer; money collecting, auction recording) Pull down of facilities such as tents, seating and temporary fencing (Sunday 9 June, Monday 10 June) Clean up (Sunday 9 June, Monday 10 June)

As the majority of the activities will be associated with the PBSC Michael Judd will be the volunteer Point of Contact. Insurance is covered by the Lions Club, providing volunteers have Registered, read the Greenback volunteer safety induction brief, and signed-on before commencing any assigned activity.
