All About the Ludlow Residence Hall The Ludlow Residence is the School of Visual Arts’ newest residence hall, built in 2009. It is comprised of 259 single and 47 double rooms. During the academic year, Ludlow houses approximately 165 SVA, 30 Ailey, 30 International Culinary Center, and 125 visiting residents from various schools around the world.

Moving In: Saturday, August 17, 9 am – 5 pm Residents must schedule a move-in date and time with NYCIntern  Complete the online check-in form on our website www.nycintern.org to make your appointment.  Residents can also make appointments to check in after August 17 by emailing RD Gavin Thompson at [email protected]

How to check-in:  Type 782 and the bell button on the exterior key pad to have security unlock the door to the building.  Tell security that you are here to check-in and they will call a staff member to assist you.  Be ready with a school ID (from your school) and a government issued ID.  Staff will get your check-in paperwork, keys, and housing sticker.  They will take you to your room and you will do your check-in paperwork together. Once you are done with your paperwork, you can begin to move in.  Moving bins are available at the security desk for you to check out. If you are arriving by car, please make sure to mind the parking signs and pay meters, as the NYC is very strict about ticketing. There is a municipal parking lot across the street from the residence hall.

Moving Out Residents must schedule a move-out date and time with NYCIntern  Complete the online check-out form here on our website www.nycintern.org to make your appointment.  Residents can also make an appointment to check out prior to their move out date  Fall semester move out: Friday, December 20, by 12 pm  Spring semester move out: Saturday, May 20, by 12 pm

Before a resident moves out he/she needs to…  Clean bathroom, bedroom, floors, and refrigerator thoroughly  Remove all personal items and trash from the room.  Return both room and mailbox to the NYC Resident Director, or have a payment ready for replacement  Forward your mail through the US Post Office, www.usps.com.  Failure to properly check out and/or clean the room thoroughly will result in fines starting at $200.

Room Change Request NYCIntern reserves the right to change room assignments. If a resident wishes to change room assignments, the resident may do so through a written request. The request must include: 1. The reason the resident feels a change is needed 2. A date on which the resident would like to see the change become effective 3. If the room change is requested due to roommate conflict, the requesting resident shall provide:  Examples of attempts made to resolve the conflicts  A brief summary of the conclusion of those discussions Written requests must be sent to NYCIntern via email: [email protected] or stamped mail: The King’s College, NYCIntern, 56 Broadway, New York, NY 10004. The Rooms The rooms are adjoined together by a shared bathroom, single-to-single or single-to-double, making them suite-style rooms. Double rooms have lofted beds to accommodate a larger living area for the residents. Single rooms' beds are not lofted. Single rooms are on average 8 x 10', and double rooms are on average 16 x 20'.

Each room is fully furnished for each resident and has the following amenities:  extra-long twin bed  4 dresser drawers & a closet  desk & chair  storage cabinet  microwave & mini-refrigerator with freezer  central air conditioning and heating  overhead lighting  Wi-Fi & high-speed internet  cable ready  large windows with privacy shades Double Room

What Not to Bring…  Personal Furniture  Pets or Animals of Any Kind  Cinder Blocks  Cooking appliances  Halogen Lights or Lamps  Spray paint  Electric Blankets  Candles or Incense

Cooking is not permitted in the rooms. Residents can use the microwave provided in the room or The Communal Kitchen (see The Communal Kitchen on page 4). Most cooking appliances are banned from Ludlow rooms.

The following are acceptable appliances: coffee makers, electric kettles, and rice cookers.

The following are unacceptable appliances: hotplates, toasters, electric grills, self-heating cooking appliances, and blenders. Access Cards & Keys Residents are issued a keycard to access the front door, terrace, and his or her room – no other rooms. Each room is issued a mailbox key that opens the mailbox that corresponds with that room.

What to do if you lose your mailbox key or keycard: Visit RHD Nicole during her office hours (Mon, Wed, Thurs, & Fri 9 am – 5 pm), or email her at [email protected] to be issued a new one. Replacement keys cost $25 each; please make payments out to the School of Visual Arts. 3 | P a g e

Maintenance & IT Issues If a resident is having an issue in their room, (clogged drains, burned out lights, etc.), cable, or internet, please submit an online work request, called TMA, to the facilities staff at http://tma.sva.edu

Clogged toilets or water leaks must be reported immediately to Security in the lobby, and then submit a work request at http://tma.sva.edu. Unreported leaks and drain problems can result in substantial damage to your room or another room. Arranging Your Room

Furniture Residents are welcome to switch the bed and desk to opposite sides of the room, if that fits their needs. They can rearrange their drawers to stack on top of each other and for additional storage under the bed.

However, we do require that you keep a clean path to the A/C-Heating unit and do not put any furniture or belongings up against it. If maintenance should need to get to it quickly, it can be very challenging to have to relocate all of a resident’s possessions and furniture to do so.

Single room beds are not lofted. Our maintenance staff cannot loft them, as we do not have additional bed pieces.

Decorating The Walls Residents are encouraged to decorate their walls and make their rooms homey! We ask that residents be mindful of how they hang posters and pictures. It is recommended that students use an easily removable adhesive, such as BluTack, or small pushpins.

Health & Safety Inspections In an effort to reduce pest, maintenance, and roommate/suitemate conflicts, the Ludlow RA staff will conduct unannounced Health & Safety Inspections once a month. You and your suitemate(s) will receive a copy of the Health & Safety Inspection report each month with any areas of concern or improvement.

To avoid a poor inspection grade or judicial action, we encourage you and your roommate and/or suitemate(s) to keep a neat and tidy room free of excessive clutter, trash, open food containers, and any housing policy violations. We encourage you to put in TMA request for any maintenance issues you notice right away, http://tma.sva.edu.

Internet is provided for each student via wireless and Ethernet connection. To log into the wireless connection, residents use the following login:

Cable Rooms are cable ready. There is a cable connection in each room. Residents are responsible for providing their own TV and cable cord. Ludlow has DirecTV as their cable provider.

What to do when there is an issue with the cable: Please put in an TMA request at http://tma.sva.edu. Please choose “Network/Cable (IT)” under Maintenance Category. Please be detailed as possible in the description. For example: On Saturday, August 8th, at 8:30 pm, Bravo was a blue screen. It came back on at 11:15 pm.

Renters Insurance The School of Visual Arts and NYCInterns are not responsibility for lost or stolen items. We encourage residents to invest in Renter’s insurance. Renter’s Insurance can be purchased from most insurance agencies for a nominal charge, usually less than $10 a month. In some instances, residents’ belongings may be covered by their parents’ homeowners’ policy, please check to be sure.

Notices & Email RHD Nicole sends out emails to the residents regularly. It is your responsibility to read these emails and be informed! The emails could be important building information, personal information just for you, or fun events that you may want to partake. You will receive these emails at the email you have provided to ICC.

The Building Mail & Packages Mail is delivered to the mailboxes in the lobby near security. Each room only receives one mailbox key, residents of double rooms will share a key.

If you are expecting a package, your room number will be recorded on the white board near security. Simply inquire with security about your package and they will have you sign and receive it.

If you choose to receive mail while staying at the Ludlow Residence, your mailing address will be:

Security will not accept the following deliveries on your behalf for groceries, dry cleaning, or laundry.

The Terrace The Terrace is located on the 2nd floor and is open from 9:00 AM to 9:00 PM daily. There are two large bike racks and an electric grill for residents to utilize.  Please ask security if you need to access the bike racks outside terrace hours.  Smoking is not permitted in the building or on the terrace.  Please do not step on the plants; they are delicate.  There are professional staff apartments located on the terrace, please respect their privacy.

Laundry Room The Laundry Room is located in the basement and it’s totally FREE!!! Yes, that’s right, FREE! The Laundry Room features Laundry View, an online and texting notification system! Visit www.laundryview.com to see how much longer your laundry needs or what washers and dryers are free!

Washing takes approximately 40 minutes and 1 hour to dry. Please clean the lint trap when you complete your laundry. Running a dryer with a full lint trap can cause a fire!

Staff is not responsible for lost or stolen laundry. Items left unattended for more than 24 hours will be donated to a local charity.

Community Room The Community Room is located in the basement and is open 24-hours, except every Tuesday from 10 – 11 pm due to the Ludlow Staff meeting. It’s a place where residents will attend building meetings, fun programs, and hang out with other residents. The Community Room is connected to the communal kitchen. The Community Room has the following amenities for residents to enjoy:  Comfortable furniture  Tables and chairs for eating and working  Big Screen TV and DVD player  Foosball Table  Pool Table  Games  Wireless Internet  Vending Machines (right outside the community room entrance)

The Communal Kitchen The Communal Kitchen is located in the basement, attached to the Community Room. It is open 24-hours, except every Tuesday from 10 – 11 pm due to the Ludlow Staff meeting. There is a stove, oven, microwave, toaster oven, and other various appliances for residents to use.  Residents are responsible for cleaning up after themselves while they are using the kitchen.  Residents are welcome to bring a lock box to store their own cooking utensils (labeled with their last name and room number).  Dirty dishes left in the sink or on the counters will be disposed of at 9 am each morning.

NO GLASS or BOXES IN TRASH CHUTES !  Trash (Rubbish) Chutes – bagged garbage only, no glass!  Recycling bins – paper products, glass, and cans  Boxes – collapse all boxes and bring to the basement garbage room (located across from the community kitchen)

Filming in Ludlow In order to film in any part of the Ludlow Residence, residents must first get permission from RHD Nicole. Filming in the hallways or residents’ rooms is NOT allowed. Residents can get permission to film in The Community Room, Basement, Communal Kitchen, and Laundry room. Forms can be obtained by emailing RHD Nicole at [email protected]. Forms must be submitted for approval at least three business days in advance.

The Ludlow Staff The Ludlow Residence is operated by live-in professionals and student staff. Residents will also find 24-hour security in the lobby, and maintenance staff that works in the building.

Gavin is the NYCIntern Resident housing director who oversees The King’s College and NYCIntern Resident Assistants. He assists with apartment issues, roommate conflict, and other concerns that may arise. Chad Abbott – NYCIntern Resident Assistant

Nicole Shillings - SVA Residence Hall Director (RHD)

Nicole is a live-in professional staff member supervises the Ludlow Resident Assisants and oversees building procedures and residents. Should you lose your keys or have questions about the building, she’s the one to see!

Reggie & Ollie – Residence Hall Puppies

Ollie is an 11 years old Maltese and a Senior Resident Hall Puppy! Reggie is 2 years old and this is his first year at Ludlow! They are both hypoallergenic and do not shed, nor do they bite – they are very friendly and sweet. Ollie likes to make little snorty piglet noises and give kisses. Reggie loves attention and getting to know all of his neighbors and loves a good snuggle. They both live with Nicole, the SVA RHD.

Security Security officers are at the front desk 24-hours per day. They will check identification as you enter the building, and will help you sign in guests in accordance with our guest policy (see The Policies). They are also available to assist you in a time of emergency.

If you need help from an officer, you can reach them using the intercom in your room or by calling 212-592-2713.

The Facilities (Maintenance) Staff The Facilities Staff responds to any maintenance issues that may come up in your room or around the building. Carlos is the Ludlow Superintendant and Gustavo is the Ludlow Maintenance Manager. They are available Monday – Friday, 8 am – 4 pm. There is maintenance staff that will respond to maintenance issues 24-hours a day, 7-days a week. If you are having a problem with your room, (e.g. tub gets clogged, light burns out, etc.) fill out a TMA Request online at http://tma.sva.edu Gustavo and Carlos

Ludlow Activities RA Programs The Ludlow RAs host several programs for the residents. They have specific guidelines for their programs to make them educational, fun, and social! Their programs will also be represented on the calendar, blog and facebook page.

Ludlow Gives Back This year, the Ludlow staff will be doing special programming to benefit The Lower East Side Girls Club. These programs will include donation drives, change collections, and awareness projects.

The Lower Eastside Girls Club provides a place where girls and young women, learn, have fun, and develop confidence in themselves and their ability to make a difference in the world. By delivering strong arts, literacy, science, health, and leadership programs they provide girls with the vision to plan – and the tools to build – their future. http://www.girlsclub.org/

Ludlow Collective The Ludlow Collective is a social, artistry, and advocacy group run by the Ludlow RAs. The Ludlow Collective hosts Model Night, which is an opportunity for residents to improve their life drawing skills with live models. The Ludlow Collective holds two town hall style meetings a semester for residents to discuss the future of the Ludlow community - where they’d like to see change or improvement. They also host several fun Ludlow activities throughout the year such as Kickball Classic, Ludlow Pool Sharks, Welcome Weenie Roast, and more! Ludlow Housing and Guest Policy Ludlow’s policies are in place to help create a safe and educational environment for residents living on campus. Upon signing up for housing, residents agree to abide by Ludlow’s housing policies. Violating any of the policies could result in loss of privileges or removal from the Ludlow Residence. It is your responsibility to be aware of the housing and guest policies as you will be held responsible for them if violated.

The Guest Policy is as follows:

. Residents may check in as many as two guests at a time, between the hours of 8 am – 11 pm.

. Residents may have overnight guests 10 nights per month.

. Overnight guests of the opposite sex are not permitted.

. Any individual not residing in the building may only sign in overnight 10 times per month.

. Guest(s) may not stay more than 3 consecutive nights, without RD permission.

o To acquire extended guest permission, please contact Gavin Thompson, (212) 659-7286 or [email protected] at least 2 business days in advance.

. Guests must be registered with Security by 11:00PM.

o To do so, visit the Security Desk in the lobby and fill out an Overnight Guest Form.

o You can fill out this request ANYTIME BEFORE 11 PM. Your guest does not need to be present.

o The form requires signatures from your roommate, if applicable.

. If your guest is staying more than 3 consecutive days, your suitemate also needs to sign off on your Overnight Guest Form.

o If an overnight guest form is not submitted by 11:00 pm, your guest will be asked to leave. Overnight Guest Form – ask Security! o There are NO EXCEPTIONS to this so plan ahead.

. Residents are responsible for the actions of their guests. If a guest violates a policy the hosting resident could lose privileges or be expelled from the residence hall.

. Residents must accompany their guests at all times.

Ludlow Housing Policies

No alcohol or illegal drugs are allowed in any of the residence halls, including empty alcohol bottles.

No public intoxication - Residents or guests who enter the building in a visibly intoxicated state may be subject to disciplinary action as this behavior is disruptive and disorderly. Guests will be asked to leave.

No Smoking anywhere in the building, including the terrace, and within 25 feet of the building.

Quiet Hours are in effect every night starting at 10:00PM ending at 8:00AM. Please be respectful to your neighbors and keep noise levels down.

Prohibited Items: Pets, spray paint, candles, incense, extension cords, weapons of any kind, firecrackers or explosives, or devices with open flames are prohibited in Ludlow Residence.

Room Entry: The College is authorized at any time to enter the assigned room for health and safety inspections, inventory, and maintenance repairs or to monitor compliance with the College’s rules and regulations.

No outside furniture: Residents may not bring in any outside furniture. Acceptable furniture is plastic storage bins and standing shelves only. Exceptions will only be made with proper approval from the Office of Disability Services.

No removal of Ludlow furniture: Residents may not remove any furniture from their room. requests to do so will also be denied.

Dangerous Activities: Residents shall not engage in any behavior or participate in any situation, which intentionally or recklessly endangers the mental or physical health of themselves or others.

Double Occupancy: Residents shall not occupy a bed space or room that is not their assigned space. Meaning, the empty room next to you, or bed in your room, is not your guest room. Your suitemate will occupy that space soon.

Smoke Detectors and Sprinkler System: Tampering with the fire system will result in disciplinary action; this includes putting bags over it. If you set off your smoke detector or attempt to remove it, you will be greeted at your door by the NYC Fire Department, and they will fine you – so don’t touch it!
