TE AWAMUTU ROTARY CLUB 4WD SAFARI Based at Waitomo Saturday 22nd & Sunday 23rd February 2014 Entries are now being accepted for the annual 4WD Safari the Te Awamutu Rotary Club’s 14th event. If you have pre-entered, your space has been reserved – just complete this paperwork! This event will be based over the weekend of the 22nd and 23rd February 2014 at Waitomo Village. However, you’ll need to plan to be present at pre-event scrutineering at Waitomo Village on Friday afternoon, 21 st February. The Safari itself commences 8.30AM, Saturday morning. You will need to plan your travel to arrive at Waitomo on Friday 21st any time between 3.00PM and 7.00PM during which time we will check your vehicle and its equipment. If you think you will have difficulty arriving in time on Friday evening, contact the organisers to make alternative arrangements. The Nature of this Event This event is a ‘follow me’ adventure journey designed for ‘shiny’ 4WD vehicles, travelling in pristine farmland and bush areas of the Waitomo, Te Anga and Marokopa districts. The description ‘shiny’ refers to the typical road going family 4WD vehicle, equipped with a transfer case (engaging low ratio) that is not normally used in specialist 4WD events but can get dirty. However, ‘Bush and bash’ vehicles are welcome to participate too though the route and terrain is somewhat more sedate than typical bush and bash aficionado’s experience. ‘Follow me’ means that participants will traverse the route behind a lead vehicle but with the added assistance of route arrows and a route map. There will be the added assistance of a team of guides and specialist tow vehicles (tough trucks) dispersed along the route. The emphasis of the event is ‘off road tourism’ and to this end, you’ll be traversing areas not normally seen, nor used by other off-road groups. As a momento of your participation and as part of your entry fee, you will be provided with a DVD containing professionally edited video highlights and digital stills of the event. Scrutineering – Friday 21 st February Scrutineering is a check that you and your vehicle have the equipment to participate in this event, rather than a warrant of fitness. However, your vehicle must display a current warrant of fitness, to be in of a warrantable standard and legally registered to be able to operate on public roads. All vehicles will be scrutineered prior to participation and all aspects of the checklist above will be adhered to ensure the safe and smooth passage of all people involved in this event. Waitomo as Base The Waitomo Village will be the base for scrutineering on Friday 21st as well as briefing on Saturday and Sunday mornings. Waitomo is central to all facilities including food venues and fuel. A map of the locality can be found at http://www.wises.co.nz/l/Waitomo/Waitomo/#c/- 38.261531/175.126533/16 . The turn off to Waitomo is at Hangatiki, 8 kms south of Otorohanga or 11 kms north of Te Kuiti. Waitomo Caves Village is 7 kms west of Hangatiki (SH 37) off SH3. Accommodation Waitomo boasts comprehensive options for accommodation, from camping to back packer to B+B to Motels to full service hotel. You should book early because February is Waitomo’s busiest period due to the proximity of the tourist attractions in the area. Saturday 22nd and Sunday 23rd February There will be a full day of varied 4WD touring on Saturday, and ¾ of a day 4WD touring on Sunday leaving time for your return trip home that day. We will provide a booklet containing some background to the farms you will be travelling over and other items of interest. The route starts at Waitomo and explore areas in the Waitomo district. On Sunday, the route will venture out towards the Coast at Te Anga and Marokopa. Regular attendees of our events will remember the 4WD friendly country in these areas. Costs • The cost is $195 per vehicle and provides for: • A vehicle, the driver and all the vehicle’s passengers, access to the facilities of the Safari. • Full access to two days access to farms and permits to bush and forest areas for the driver and all passengers of each vehicle entered. • Expert support throughout the event • A DVD containing all the stills taken and a professionally produced video of the event’s highlights. This will be delivered post event, likely to June/July Any additional costs will depend on your selection of facilities you require. Please refer to the accompanying entry form for options relating to meals and camping we can supply you. The meals are supplied by local community groups and are home made. The Saturday dinner in particular has been heaped with generous and effusive praise by previous attendees. Fuel There will be fuel available at Waitomo only on Saturday evening, supplied by an independent contractor. You will need to ensure you arrive with a full tank of fuel on Friday . There are no other fuel facilities available at Waitomo Village. Complete the entry form on page 5 and 6 and return with your cheque to the address listed Page 2 Cancellations Up until 14th February, a full refund will be provided; after that date, no refund can be provided due to the fact we will have pre booked and pre ordered goods and services. Cut-Off for entries – 14 th February All entries received by the 24 th December, or the envelope is date stamped by 24 rd December will go into a draw to receive a refund of the entry fee. This will be drawn on Sunday at the morning briefing. You will need to be present to be eligible for this draw. The final date for the receipt of entries will be Friday 14 th February 2014. Your entry including your cheque for your group’s costs should be posted to arrive by that date. Entries will be handled on a first come, first served basis. Entries will be limited to 80 vehicles. There have been 27 entries already pre-entered. Meals Friday 21st February No meals will be supplied. The local General Store will remain open to serve light meals. There are meals available at the Waitomo Caves Hotel as well. There are several eating establishments in Te Kuiti (18kms) and Otorohanga (15 kms). Saturday 22nd February • Breakfast – at Head Quarters . Continental - Cereal, canned fruit, toast, butter spread, cordial, tea, coffee, Milo. Cost: $12 per adult, $5 per child aged 12 and under • Lunch - supplied enroute during the Safari – filled roll/sandwiches, fresh fruit, cake, cordial, and tea/coffee. Cost: $12 per adult, $5 per child aged 12 and under • Dinner. Home Cooked Roast Dinner – meat, vegetables, greens with a dessert. Tea/Coffee. Cost: $25 per Adult, $10 per child aged 12 and under. Sunday 23rd February • Breakfast – at Head Quarters . Continental - Cereal, canned fruit, toast, butter spread, cordial, tea, coffee, Milo. Cost: $12 per adult, $5 per child aged 12 and under • Lunch. Supplied enroute, during the Safari – filled roll/sandwiches, fresh fruit, cake, cordial, and tea/coffee. Cost: $12 per adult, $5 per child aged 12 and under. Please complete your meal requirements on the sheet provided and post this with your cheque with your vehicle entry fee.
