When choosing a destination for your multi-day ski trip there are several important factors to consider. Each destination has different qualities. What might be good for a group of 13 year old non- skiers/snowboarders would probably not be acceptable to a group 16 year old experienced skiers/snowboarders.

When planning your trip look at the following factors:

1. Age of students. 2. Overall skiing ability of the group. 3. Type of meals necessary (i.e. meal plans). 4. Need for extra activities. 5. Trip dates.

The age of the students will determine the type of accommodation that you will require and the amount of supervisors needed to adequately chaperone the group. With younger students an easily contained small ski area is usually the best option. Older students can be placed in condominium style accommodations.

The overall skiing/snowboarding ability of the group will affect your destination. If you have primarily “beginners” you do not need to go to one of the more expensive high profile destinations.

Group meals for younger students can be arranged at many of the destinations. For older students, staying in condominiums allows them the freedom to bring their own food which keeps the cost of the trip down.

Most groups like to be able to keep the students busy in the evening with an organized activity. Each destination offers different facilities for use in the evening. Evening activities can also include a trip to Quebec City, a dance, or some kind of show put on by the students (i.e. lip-synch, talent show, etc.)

The date of your trip will affect the cost and availability of accommodations. Generally the month of January and first two weeks of February are the most economical times for groups. Many establishments do not accept students during the peak periods at the end of February and beginning of March.

On the following pages you will find the different destinations available. Each resort will have a brief description of the ski hill followed by the various lodging facilities and corresponding prices. Prices will vary depending on the dates of the trip.

MONT STE ANNE is considered by many to be the top rated ski resort in Quebec. Extensive snowmaking and an elaborate lift system provides excellent support to the many challenging trails offered at Mont Ste. Anne. Facilities include a user friendly “Magic Carpet” beginner lift, gladed trails, half pipe and an two terrain parks.

DOMAINE STE. ANNE A small village of deluxe condominiums and the best sports complex in the region. All condos are fully equipped with a fireplace and complete kitchen. Accommodates six persons per 2 bedroom condo. Free shuttle service to/from Mont Ste. Anne.

HOTEL VAL DES NEIGES Hotel style accommodation, located 1 km from the base of Mont Ste. Anne, accommodating four persons per unit. The Hotel V.D.N. has an indoor pool, sauna, hot tub, and video room. Free shuttle service to/from Mont Ste. Anne. Complete restaurant services, including economical meal plans for groups.

AU PIED du MONT Deluxe condominiums located 1.5 km from the base of the mountain. A continuous shuttle service transports skiers to and from the lifts. The condos are fully equipped and have fireplaces. A Recreation Complex offers a pool and hot tub. Six students per 2 bedroom condo.

CHALETS MONT STE. ANNE Spacious condominiums located at the base of Mont Ste. Anne. All condominiums have fully equipped kitchens and living rooms with fireplaces. There are 3, 4, or 5 bedroom units to accommodate 6, 8 and 10 persons respectively. Very luxurious.

CHALETS MONTMORENCY Swiss style chalets and large condos located .5 km from the mountain. All condos are fully equipped and have fireplaces. An indoor pool and hot tub offer a great way to relax after skiing. Six to twelve persons per unit.

Le Massif has a strong reputation for great skiing. Nestled in the Charlevoix region, it averages 6.5 metres of snow annually, and has the highest vertical drop in Quebec at 770 m. In 2001 a $25 million expansion was undertaken – which added 16 new trails, a state of the art racing facility, and a new restaurant/lodge at the top of the mountain. Views of the St. Lawrence River are breathtaking.

Deluxe condos are available in Petite Rivière Saint-Francois, which is 8 km from the base of Le Massif. Chalets Le Versant du Massif provides newly constructed “top quality” condos for 6 to 12 persons. The complex has a free shuttle service to/from Le Massif, fully equipped kitchens, fireplaces, and panoramic views of the Charlevoix area.

MONT TREMBLANT has undertaken the largest ski area expansion in Canadian history. The 8 passenger heated gondola gets you to the top in 7 minutes. New lifts, trails, restaurants and increased snowmaking ensure that your ski trip will be a success. La Source is a unique water park that offers indoor and outdoor

whirlpools and swimming pools. Enjoy the gladed trails, fantastic half pipe and the snow park.

7 COMFORT INN ST. JOVITE / MONT TREMBLANT This hotel opened in December 1998 and overlooks the valley of Saint-Jovite. It is located within walking distance of the town center. The hotel features standard rooms with 2 queen beds, private bathroom and cable T.V.. Lodging includes a complimentary continental breakfast, indoor pool and hot-tub. Tube slides extra. Catered meals available.

TREMBLANT SUITES Offers luxurious condo accommodations located at the base of the lifts. Most units offer a complete kitchen, separate bedrooms, T.V. and fireplace Enjoy the convenience and charm of the Village at Mont Tremblant with over 100 shops, restaurants and activities.

STONEHAM offers an excellent alternative for groups of young skiers. Lodging located at the base of the mountain allows easy access to day or night skiing. Located only twenty minutes from Quebec City. Stoneham has a vertical drop of 1,380 feet, modern lifts and snow grooming. There is a skating rink and a meeting room available

STONEHAM HOTEL Spacious and tastefully decorated rooms located at the base of the ski lifts. Quad occupancy and the option of a meal plan.

STONEHAM STUDIOS Modern studios and condos located at the base of the slopes. Fully equipped with dishwasher, fireplace and T.V.. Quad occupancy.

Situated in the beautiful of Vermont.. Smugglers Notch offers a choice of three mountains and an impressive condominium complex. Condos are very spacious, and provide fully equipped kitchens, fireplace, and indoor pool/hot-tub. Night time ice skating and tubing available. The condo village offers a variety of activities and events to entertain all ages. Meal plans also available. New for 2004 – 40 acres of gladed trails have been added.

Jay Peak receives an average of 357 inches of snow and 30 powder days per season. Expansion over the past few years has resulted in two new quad chair lifts, plenty of new gladed trails, and one hundred acres of off-piste terrain. Jay Peak also has excellent terrain for beginner and intermediate skiers/snowboarders. Accommodations include “hotel rooms” or “deluxe slopeside condos”.

8 Suggestions For Trip Organizers

This section of your handbook has been put together to help you organize your group's ski/snowboarding excursion. It includes the following general points :

Packages Offered by Ski Rod Roy / Ski Evolution Inc.

We have selected several destinations that are popular and ideal for groups. Included within our packages are transportation, lift tickets, accommodation, ski and snowboard instruction and evening activities.

Selection of Date & Destination

Organizers should select the ski excursion date as early as possible in the Fall. September and early October are a good time to make this decision as many of the choice booking dates have been taken by November.

The selection of the date could have an impact on the overall cost of your trip. Mid-week trips are generally less expensive and accommodation is more readily available. The time of year also has an impact on price; excursions during January and early February are less expensive than excursions during late February and early March.

Procedures To Save Time & Anxiety

1. Presentation of Ski Package to Group

When presenting the ski package to prospective participants, it is advisable to include a brief explanation of the following information:

a. The destination. b. The length of the trip (specific dates). c. The cost of the trip and an explanation of the payment plan. d. Description of the ski area and accommodations (provide trail maps and brochures). e. Whether participants will cook their own food or select the meal plan provided by the resort. f. How to complete the necessary forms and the date they must be returned.

2. Confirmation of Participants A specific date should be set for receiving completed application forms. It is important that all the information be completed when the participants hand in their forms. Having participants return all post dated cheques with their registration forms will save the group organizer time and aggravation.

3. Rooming Lists

It is advisable that participants organize themselves into specified groups well before the departure date for your trip. This allows us the time to ensure that there will not be any last minute surprises upon your arrival.

9 4. Damage Deposits

All participants will be required to include a security deposit with their registration form. This security deposit will be returned provided no damage has been done by the group. The return of the security deposit will take place within five days of the completion of the trip.

5. Room Inspection

Upon arrival each room/condo will be issued a damage check-list that must be completed carefully. This check-list must handed in to your Rod Roy - Ski Evolution representative as soon as possible. This is necessary to ensure that members of your group are not held responsible for existing damage or missing items.

6. Telephone Calls

During your trip the telephones are generally limited to local calls only. This eliminates the problem of a large disputed phone bill at the end of your trip. The only phone that will be left open for long distance calls will be the one in the supervisor's room(s)

7. Condo Captains

It is advisable to have one representative assigned for each condo. This individual can reduce the trip organizer’s workload (i.e. collect and return damage deposits, handle condo keys, communicate key information such departure times, social activities, ……).

10 GENERAL GROUP INFORMATION For Overnight Trips

Reservation : In order to secure space for your group it is best to reserve during the months of September and October.

Deposits : Payments may be made in two installments. We suggest that you collect two cheques as each student signs up for the trip. The second cheque should be made payable 60 days prior to the scheduled date of the trip. Cheques should be made payable to Ski Evolution Inc. or to your University Association / Club.

Rooming Lists: Please provide a rooming list 14 days prior to departure.

Total Cancellation : A group will be held responsible for cancellation charges relating to the lodging and bus reservations. If a complete group cancellation takes effect within 90 days of the scheduled departure date, participants will be subject to a minimum $100 penalty. It is advisable to discuss the particular cancellation penalties with Ski Rod Roy / Ski Evolution prior to signing the contract.

Individual Refunds : Individual refunds will be issued only if a request is made 30 days prior to departure. Participants who cancel their involvement with a particular trip will be responsible for covering their portion of the lodging costs and transportation costs. If a request for a refund is made less than 30 days prior to departure the following cancellation fees will apply;

1 month to 10 days prior to departure = 50% of total trip cost less than 10 days prior to departure = 100% of total trip cost

Damage Deposits: A $ 40.00 damage deposit per person is required on registration. This damage deposit will be returned to participants provided no damage has been done by the group. Please use a separate cheque or cash for the damage deposit.

G.S.T. & P.S.T. Listed prices include the GST and PST.

Transportation : All transportation will be by Deluxe Coach unless otherwise noted.

Lift tickets : Each person will be issued a lift ticket for the duration of the trip on the first day. Lost tickets cannot always be replaced.

Comps : One free package per 20 paid participants will be issued.

Service : A Ski Evolution representative will be available throughout your trip.

Equipment Rentals : Equipment rentals will be arranged upon demand. Organizer will be request to submit a RENTAL FORM at least two weeks prior to the trip departure. Participants who rent equipment are responsible for their equipment in regards to damages or theft. Equipment rentals are extra.

Cancellations : Overnight trip cancellations must be made in writing at least 8 weeks in advance of the scheduled departure date. Cancellation penalties will be as follows :

More than 8 weeks in advance of trip date = 100% refund 14-30 days in advance of the trip date = 50% refund Less than 7 days in advance of the scheduled trip date = 0% refund

Ski Rod Roy & Ski Evolution, act as wholesalers for ski lift tickets, charters buses, and also arranges equipment rentals & lessons. Groups of 20 or more purchasing lift tickets and/or renting buses can make substantial savings by giving us a call. On the subsequent pages of this brochure we have listed the various ski regions and ski resorts that we represent.

1. Client Savings:

SKI EVOLUTION is able to pass along to its hundreds of clients substantial savings in their ski packages and thus make skiing more affordable. We are able to offer these savings because of our large volume of sales.

2. Reward Program:

We are pleased to be able to offer our clients a Reward Program that acknowledges the time and effort required to organize a successful ski excursion. Ski Evolution will arrange for the Reward Points to be used as a means of fundraising if it better suits the needs of certain organizations. You will find additional information on the Rewards Program in this brochure.

3. Complimentary Lift Tickets:

One free lift ticket for every twenty (20) tickets purchased with the exception of Sutton where the complimentary tickets are based on one free lift ticket for every fifteen (15) tickets purchased.

4. Payment for buses and lift tickets:

Clients will be billed the day after the trip for buses, number of lift tickets used and other services such as rental equipment & lessons.

5. G.S.T. and P.S.T:

All lift tickets and bus prices contained in this brochure include 7% G.S.T. and 7.5% T.V.Q..

6. Prices & Services Subject to Change without Notice.

7. Cancellations :

Failure to notify Ski Evolution of cancellations may result in financial penalties. This includes bus reservations, rental equipment, ski and snowboard lessons, and lift tickets. All cancellations must be communicated to Ski Evolution at least (48) hours in advance of the scheduled trip date.

¼ Cancellations made 24 hours in advance of the scheduled departure for weather related issues will not be subject to a cancellation penalty.

L All non-weather related bus cancellations will result in a $25 administrative fee, provided the cancellation is received at least one (1) week in advance of the scheduled trip departure. If a cancellation is made less than seven (7) day prior to departure, more significant cancellation costs may be incurred (typically 50% of the bus rental cost).
