Organiser’s Office

The Organizer’s office is fully operational throughout the exhibition including build up & tear down, which is located adjacent to the main entrance of Hall 6 Dubai World Trade Centre (DWTC).

THE VENUE

The Dubai World Trade Centre is a single complex comprising more than a dozen halls, a wide range of spacious meeting rooms, hotels, office towers, and other amenities. Each multipurpose venue is integrated into the site to provide maximum flexibility and convenience.

DWTC welcomes more than 2.2 million visitors and tens of thousands of exhibitors annually from around the globe to more than 100 of the most acclaimed sector-specific trade fairs, blockbuster consumer events, and prestigious international conferences.

DWTC hosts events representing a wide range of industries including health, IT, travel and tourism, manufacturing, pharmaceuticals, aerospace, consumer electronics and many others. With over one million square feet of exhibition space, DWTC is the largest, most modern and best-equipped venue in the region.

9 Parking Access

Car parks are available for organisers, exhibitors and visitors within the perimeter of the Venue. The car parks operate on a first come, first-served basis.

Car Park 1a: Free, opposite Convention Gate (capacity: 425 cars) Car Park 1b: Free, opposite Convention Gate (capacity: 540 cars) Car Park 1c: Free, opposite Convention Gate (capacity: 1,490 cars) Car Park 2: Free, opposite Za’abeel Entrance (capacity: 500 cars) Multi-storey Car Park: Paid, behind Sheikh Rashid Hall (capacity: 1,385 cars) Multi-storey Car Park: Paid, behind the Arena Hall (capacity: 885 cars)

Paid Parking Policy

A nominal parking fee per hour is applicable from Saturdays to Fridays. A parking token is issued on arrival and must be submitted for payment on departure. Lost parking token will be charged in addition to the respective hourly parking charges and is not refundable.

Vehicles are not allowed to park overnight neither to park within the ‘no parking zones’. Any vehicle left overnight or parked incorrectly and / or causing obstruction to other road users will be charged a daily fee plus administration fees. DWTC reserves the right to remove all vehicles violating the above.

Hotels

Among ATCE official hotels DWTC offers its very own fully-serviced accommodation with its affiliate hotels - Ibis and Novotel, which are less than one minute walk away from the exhibition halls. Eliminate travel time, beat the crowds, and give yourself the chance to set up early or stay late with maximum convenience

Novotel Located at the South end of our main exhibition concourse, the 412-room Novotel has an outdoor swimming pool, gym, beauty salon and a choice of restaurants and bars. Only minutes away from our exhibition halls, this property provides free valet parking for guests, as well as in room Wi-Fi

Ibis The Ibis hotel combines comfort and style with practicality. Its 210 tastefully decorated rooms include satellite TV, Wi-Fi and complimentary shuttles to all major landmarks. Directly connected to the main exhibition concourse and close to the metro station, the Ibis hotel provides ultimate convenience

10 Disabled Access at the Venue

All exhibition halls, meeting rooms and public areas are accessible by wheelchair. Car park spaces are also reserved for the disabled. Toilets on the ground floor and above Exhibition Halls 6, 7 and 8 have disabled access, whilst all doorways and lifts accommodate standard wheelchairs and have low-level buttons. Visitor wheelchairs are subject to availability and can be borrowed from our

Emergency Medical Services Station, located next to Exhibition Hall 5, by depositing an appropriate identification.

Lost and Found

Tel.: +971 (0)4 306 4600 The Lost and Found office is located on Level 1, above Hall 8 and is responsible for the safekeeping of items that have been found at the premises. Items will be returned to the rightful owner upon presentation of reasonable proof of ownership. The Lost and Found office operates 24 hours, 7 days a week.

DWTC assumes no responsibility for the care and/or protection of any personal belongings left unattended on DWTC property or for the loss, under any circumstance including theft, vandalism, or malicious mischief of any such belonging.

Anybody losing property should report the details to the Lost and Found office as soon as they become aware of the loss. Losses may be reported by phone to the Lost and Found office or in person and must be followed up with an official report of loss, theft or disappearance.

Prayer Rooms

The men’s prayer room is located on level 2 opposite Exhibition Hall 5 and the ladies’ prayer room is located on level 2 opposite Exhibition Hall 7. An additional ladies’ prayer room is also available at the main entrance of Za’abeel Hall as well as in Sheikh Saeed Hall 3 when the hall is in operation.

COMPLIMENTARY REGISTRATION

Five (5) complimentary Exhibitor Registration (Exhibitor Badges) are allocated per 9sqm of exhibit space, for the purpose of registering stand personnel.

DELIVERIES AND STORAGE

DWTC cannot accept any deliveries on behalf of organisers nor exhibitors. Deliveries shipped directly to the Venue and not through the organiser’s official freight forwarder can only be received and signed for by yourself or the freight forwarder during the tenancy.

DWTC does not provide storage facilities. Please contact your freight forwarder for alternative solutions. Please note that all shipments must be delivered via the marshalling yards and loading docks as DWTC does not allow any deliveries to the exhibition halls via the main entrances.

CONTRACTOR BADGE POLICY

All contractor staff must obtain a DWTC contractor badge in exchange of a valid proof of identity. The below rules and regulations have been introduced by DWTC's Protocol and Security and are required by the Dubai Naturalisation and Residency Department.

Temporary Contractor Badges

Local Contractors (UAE Based)

Individual Application Each contractor badge costs AED 20.00 and is valid for one day only (from 00:01 to 24:00). A fee of AED 250.00 will be charged for any lost contractor badge.

12 All contractor staff must report to the cashier's cabin at the Za’abeel main marshaling yard to receive a temporary contractor badge in exchange of a valid proof of identity. This can either be a UAE labour or UAE national ID card, UAE driving licence or a UAE government organisation ID card which will be kept at the cashier's cabin until the contractor badge is returned.

Group Application A contractor may also apply for DWTC’s contractor badges for the company’s entire team one hour before the build-up/tear-down starts. A representative of the company should submit the application at the cashier’s cabin at the Za’abeel main marshaling yard along with each staff’s original proof of identity (UAE labour or UAE national ID card, UAE driving licence or a UAE government organisation ID) which will be kept at the cashier's cabin until the contractor badges are returned.

Each contractor badge costs AED 20.00 and is valid for one day only (from 00:01 to 24:00). A fee of AED 250.00 will be charged for any lost contractor badge.

International Contractor Badges (non-UAE based)

All contractor staff must report to the cashier’s cabin at the Za’abeel main marshaling yard to obtain a temporary contractor badge in exchange of a passport copy. The badge will be valid for a maximum of 15 days. A charge of AED 200.00 per badge applies; these AED 200.00 represent an entrance fee of AED100.00 and a refundable deposit of AED100.00. The refundable deposit can only be claimed upon returning the badge within 15 days from the date of payment.

Annual Contractor Badges

Stand contractors working regularly within DWTC's venue can apply for an annual contractor badge.

The price for each badge depends on the total number of badges that are issued for the same company: 0 - 49 badges: AED 500.00 per badge 50 - 99 badges: AED 400.00 per badge 100 - 149 badges: AED 350.00 per badge 150 - 199 badges: AED 300.00 per badge 200 - 249 badges: AED 250.00 per badge 250 and above: AED 200.00 per badge

To apply for annual contractor badges a representative of the company should send the following documents to [email protected]:

Request letter on company letterhead Copy of the company's trade license Copy of the passport and visa (on one page) for each applicant 2 recent photographs (in JPEG format) for each applicant Completed application form

13 Alternatively, all required documents can be submitted to the Command Control Centre of DWTC's Protocol & Security Department (above hall 8). Upon payment settlement with DWTC's Finance Department (located at Al Wasl Building next to Exhibition Gate entrance, level 1), the company's representative can collect the annual contractor badges from the same location they previously handed in all paper work.

If the applicant is no longer under the company's sponsorship and/or the badge has expired, the contractor badge must be returned to DWTC. The charge for lost badges is AED 250.00 each.

Collection Points

DWTC contractor badges can be collected at: Cashier’s cabin at the Za’abeel main marshaling yard. This applies to temporary and international contractor badges. Al Wasl reception for international contractor badges. This facility will only be in operations upon prior approval. Loading docks of Sheikh Maktoum, Sheikh Rashid and Sheikh Saeed Halls for pick-up drivers delivering goods. This facility will only be in operations upon prior approval.

Notes DWTC’s contractor badge is the property of DWTC and must be used in accordance with the agreed terms and conditions Contractors without a valid DWTC contractor badge are not allowed to enter the halls. Contractor badges cannot be transferred to another person. A fine of AED 250.00 applies for violating this rule. DWTC contractor badge holders enter the venue at their own risk. DWTC does not hold responsibility for any injuries caused or for any damage to a vehicle or property. Access for contractors is restricted to the tenanted hall(s) during build-up and tear-down.

14 CONTRACTOR BADGE COLLECTION POINT

DILAPIDATION

Exhibitors are liable for any damage they may cause to buildings, floors, walls, columns or to any shell scheme equipment or any other exhibitor's property. Exhibitors are also responsible for any damage caused by their agents or contractors. No e xhibitor may apply paint, lacquer, adhesives or coating to the building or shell scheme panels nor drill holes into the floor.

The organiser will inspect the halls before build-up and after dismantling of the stands and any damage caused will be charged directly to the exhibitor. This includes a charge for removing any carpet tape or heavy building waste left behind.

Adhesive Tapes used for Stand Mark-out In an effort to keep the exhibition hall floors at an optimum standard of cleanliness and appearance, please adhere to DWTC’s below guidelines during the exhibition build-up:

15 No chalk is to be used to mark floors in any permanently carpeted areas. The only approved brands of tapes to be used are: Euro Tape Eurocel Advance Tape

Please do not use markers, plastic packing tape, gaffer tape, masking tape and drafting tape as they are extremely difficult to remove. A higher rate will be charged for the removal of tapes that are not DWTC-approved.

Please note that you are responsible for ensuring that adhesive tapes used to fix carpets or other materials to floor areas are removed after use, without damage to the floor.

REMOVAL AND WASTAGE

Exhibitors are responsible for their own waste removal during build-up and tear-down. Your contractor(s) should remove the build-up material outside DWTC premises and not inside the marshalling yards. The paint cans should not be thrown inside the skips and should be removed from DWTC premises instead. The skips area must be kept free at all times to allow uninterrupted access for DWTC. The tenanted space must be vacated with all adhesive tapes, paint and similar traces completely removed.

ELECTRICALS

The power supply within the Venue is as follows: Single Phase: 15amp, 30amp Three Phase: 15amp, 30amp, 60amp, 100amp

Please ensure you order a sufficient number of sockets to prevent overloading. 24 hour electricity supply must be ordered separately through the official stand contractor.

Electricity supply is brought to the stands from underneath the flooring thus it is not possible to install or alter mains connections after commencement of stand construction. Please ensure you order electrical connections in advance to avoid delays onsite

RIGGING

DWTC holds the exclusive right to all primary rigging services (roof points) within the Venue. However secondary rigging services (trusses, banners, etc) can also be ordered through DWTC by completing the ‘Rigging, Banners and Graphics Order for Health and Safety Regulations.

16 EMERGENCY PROCEDURES AND EVACUATION PLAN

FIRE On Discovering a Fire:

• Break the glass on the nearest manual call point (red in colour) which are located throughout the venue or contact the Facilities Management Control Room by dialing 4444 on an internal telephone or +971 4 306 4444 immediately. • If using a phone, please remember to try and give your exact position and any details of the fire. Use the infrastructure to help determine where you are, e.g. by the entrance to hall 8, to the back of hall 4 or near the fountains by the IBIS. • Only if you have been trained and it is a minor fire and it is safe to do so, tackle the fire with the nearest suitable fire extinguisher. Always ensure there is a safe exit route before attempting to extinguish any fire. • If the fire is large, immediately raise the alarm using the manual call point and call 997 (Dubai Civil Defence). Never attempt to put out a large fire.

During this time, or if a break glass is activated, the following message will be announced: “This is a DWTC Property Management Office announcement. We have a fire alarm condition within the building. We are investigating the cause of the fire. Please remain calm and listen for further instructions.”

If it is a false alarm, the following message will be announced:

“We have investigated the cause of the fire and found it to be a false alarm. We apologize for any inconvenience caused. Thank you for your cooperation.

EVACUATION

If an evacuation is necessary, use the nearest available emergency exit and make your way to the nearest assembly point. You will hear the following announcement broadcast over the public address system: “We have investigated the cause of the alarm and you are requested to leave the building. Use the stairways and marked exits only. Do not use the elevators. Please walk and do not run. After exiting the building, move towards the fire assembly point and wait until you have been notified to return.

Other Possible Reasons for Evacuation: Gas Leak Suspect Package Earth Tremor Major Structural Collapse Advice from Emergency Services

Then the following announcement will be broadcasted over the public address system: “It has become necessary to evacuate the building. Please make your way calmly under the direction of the security to the nearest emergency exit. Please proceed to the assembly point and wait for further instructions.”

17 MEDICAL EMERGENCIES

The Medical First Aid Room is located on the ground floor next to hall 5, near the information point. In the event of a medical emergency, dial 4040 on an internal phone or +971 4 306 4040. If possible give the following information: The location The nature of the problem Is the patient conscious? Is the person breathing? Their approximate age Do they have chest pains? Are they bleeding?

Remain with the injured person until the arrival of the medical staff in order to provide vital information.

18 BANKS /CREDIT CARDS/CURRENCY

Most International Banks are available in Dubai. Foreign currencies, cash, or traveler’s cheque can be exchanged in Dubai. Visa, Master Card, American Express, and other International Cards are good for purchases at all outlets in Dubai. The official currency is the UAE Dirham (AED) and the exchange rate is 1 US Dollar = 3.685 Dirhams.

TELEPHONE, FAX & INTERNET FACILITIES

Local telephone and fax facilities are available at the organiser’s office. However, international calls can be done through personal mobile phones or through ETISALAT. Faxes can be received at the organiser’s office. However, sending international faxes and using Internet can be arranged at the business centre (DWTC).

SECURITY

The Organizer in conjunction with the local authorities in Dubai will control general security arrangements for the Exhibition. It is recommended that exhibitors should occupy the exhibition stand at least half an hour before the Exhibition opens and until all visitors have left the exhibition hall. Whilst the Organizer will make all reasonable arrangements for security coverage, they are not responsible for any loss or damage which may occur and it will be the exhibitor’s responsibility for the security of their stand, its exhibits and contents including personnel property.

NO SMOKING IN THE VENUES

The Dubai World Trade Centre venues are no smoking – this is legal requirement within Dubai. Smoking is permitted outside the building only, away from the building entrances. Failure to comply with this legal requirement may result in a fine.

STORAGE AND UNPACKING OF STAND MATERIAL

The Exhibitors are not allowed to store boxes or crates within the exhibition hall or behind the exhibition stand/s. It is the exhibitor’s responsibility to ensure that crates are quickly disposed or stored until required for reshipment at the end of the exhibition.

HOUSEKEEPING AND DISCARDING OF MATERIALS

Exhibitors and Contractors must maintain clear and safe walkways around the halls during build up and tear down. Stand material and equipment must be kept in a reasonably orderly arrangement and any material that is to be discarded must not be left lying around the floors. We would request that discarded materials be bagged to enable a safe and efficient removal.

TROLLEYS IN THE CONCOURSE

The use of trolleys by contractors in the concourses is restricted to protect the marble flooring. The use of heavy duty industrial trolleys is not permitted within the concourse and any damage to the floor caused by contractor trolleys or equipment will be charged to the contractor.

21 EXHIBIT REGULATIONS

EXHIBITION BADGES

In the interest of providing a safe and secure environment for all participants to enjoy, an official exhibition badges must be worn at all times and must be clearly visible. Access to the exhibition halls will be denied without the correct identification. The use of Company/ Corporate name badges is encouraged; however these must be worn in conjunction with the official exhibition badge.

Badges are expected to be worn during all phases to the exhibition – build-up and live days, break- down. The exhibitor badge provides admittance to the exhibition area during build-up and breakdown and exhibition periods. The Security of the Exhibition has the right to exhibitor badge requisitioning. Each exhibitor is requested to submit the list of attendees who will man their booth during the build- up/break down and regular show hours.

Badges will be ready for pick-up onsite at the registration counters.

BUILD UP AND BREAKDOWN

Stand Construction

The site will be treated as a construction area until the final stages of the build have been completed and internal furnishings are applied. Therefore everyone is expected to wear the appropriate personal protective equipment.

No open toe shoes/sandals will be allowed at any time Hi-visibility vests shall be worn in the area Head protection must be worn if there is a risk of falling objects No hot work to be carried out inside the hall at any time No diesel operated vehicles shall operate inside the halls with prior authorization from DWTC HHSE department Electrical equipment/tools must be in a safe condition Compressor equipment must be in good condition and adequate guarding installed Use of ladders, step ladders and tower scaffold must be used safely and free from defects All emergency exits must be kept clear at all times No smoking inside the halls at any time, smoking is only permitted in the designated smoking area (opposite loading dock 5)

Any persons flouting site safety rules will be immediately requested to leave and escorted from DWTC

Early Tear-Down

No dismantling may begin before the official closing hour on the final day of the exhibition. Exhibitors are responsible for notifying their stand personnel of this regulations. In fairness to all exhibitors, this regulation will be uniformly enforced to all ATCE exhibitors.

22 DECORATING

Drip pans and scrap buckets should be provided for operating machinery to prevent lubricants, paints, etc., from staining the floor causing a slip hazard. Paint must be removed nightly and all cans must be tightly closed to prevent their contents from staining the floor, causing a slip hazard, and tracking of paint over other exhibitors’ carpets.

Exhibitors are not permitted to drill, paint, break or attach anything to the floor, walls, ceilings, columns or stairs of the venue with nails, screws, glue, adhesive tape or other means of attachment. Stands should be constructed as free standing elements. The stand builder will be liable for any damage resulting from stand construction.

Any portion of a display that extends above or beyond that of the stand adjoining to the rear or side must be finished at the exhibitor’s expense.

CARPETING

Carpet is included in shell scheme space. The official contractor for shell scheme stands is Pico International. Platforms are not included with shell scheme stands.

The use of carpeting or other professional floor covering is required by each exhibitor. Space Only exhibitors are responsible for the final condition of the floor in their space. The edges of raised flooring may be inclined, providing the slope is gradual and gentle.

Aisles will be carpeted by the organizer.

STAND AREA LIMITATIONS

The walkways around stand areas are not display space and must not be used for the display of signage and wares as it will prevent reasonable access for visitors and staff and may constitute a hazard under emergency situation. All tables and chairs must stay within the stand area.

Fire exits must not be blocked by exhibitor material and equipment. Access to wall mounted fire hoses and extinguishers must also be maintained and the storage of boxes and materials other than a limited amount of printed matter is not allowed behind stalls.

EXITS AND “NO FREIGHT “AISLES

Emergency exits and designated “NO FREIGHT” aisles must be maintained clear of crates and exhibition materials during move-in and move-out. These aisles are required for emergency access throughout the exhibition areas and to expedite freight and empty crate moving.

All exits and exit aisles must be kept clear and unobstructed. No furniture, signs, easels, chairs or displays may protrude into aisles. Fire hose cabinets, fire extinguishers, sprinklers, or any other fire- safety device must not be hidden, obstructed or otherwise disturbed. All materials used in exhibition construction, decoration or as temporary cover must be certified as flame retardant. Inflammable fluids, substances, or materials of any nature may not be used. All materials and installations must comply with the requirements of inspection by U.A.E. Civil Defense.

23 ACCESSIBILITY

ATCE is committed to making its conference and exhibitions, accessible to all audiences and as such has adopted a number of policies to ensure accessibility within the exhibition.

Exhibitors with stands with raised floors of over 13mm are required to simplify access for disabled people by providing a ramp. Ramps should not be greater than 10m or rise more than 500mm, they should be 1.5m wide and have a landing of 1.2m at the foot and head of the ramp.

STORAGE

The Exhibitors are not allowed to store boxes or crates within the exhibition halls. It is the exhibitor’s responsibility to ensure that crates and boxes are quickly disposed or stored until required for reshipment at the end of the exhibition. Any company requiring this facility should contact the official freight, handling and storage contractor for a specific quotation.

COURIER SHIPMENTS

Please note that while normal post will be taken by the Organisers and delivered to your stand, neither the Organiser nor the venue can accept responsibility for signature of large or recorded items – please ensure that there is someone available to receive such items. Deliveries can only be made during the official build-up and open period, please refer to the Exhibitor Timetable. Please note that many courier companies do not deliver on weekends.

Please ensure there is someone on your stand to accept all deliveries - the Organisers cannot take responsibility for signing consignment notes. In addition, although full security is in operation, you are advised to have a member of staff in attendance both on your stand and at your vehicle.

Courier Services

A recurring issue during most exhibitions is the attempted delivery of items prior to the official build up period. Please contact our official freight forwarder if you need to arrange any items to be delivered to the venue prior to build up.

All letters and packages should be properly labeled and will be coordinated directly to the official freight forwarder

SPECIAL EFFECTS / HIGH RISK EQUIPMENT AND SUBSTANCE APPROVALS / VEHICLES DISPLAY ON STANDS

If you plan to have special effects such as pyrotechnics, haze, laser or smoke machines, use air compressors, compressed gas, aquariums, fountains, water screens, electrical fat fryers (for food related events only), balloons, candles or flames on your stand, please complete the ‘Submission Forms for High Risk Equipment and Substance Approvals’ from DWTC’s Health and Safety team and if necessary from Dubai Police and/or Dubai Civil Defense.

The deadline for submitting the documents is at least 2 weeks prior to the use of the equipment.

24 TELECOMMUNICATION SERVICES

Wireless and wired internet services as well as telephone lines and telecom services for exhibitors must be ordered using the ’Data and Telecom Form 10’.

Due to the variability of wireless network signals within the exhibition environment, Dubai World Trade Centre operates the following:

Wireless internet networks installed by exhibitors and their contractors can only function on 2.4GHz, however DWTC does not recommend this for product demonstration due to interference from multiple networks and is unable to offer any technical support on this frequency.

Dubai World Trade Centre operates a “Clean Air” policy on wireless internet networks functioning on 5GHz and will reserve the right to switch off any unauthorised 5GHz wireless networks. The “5GHz

Wireless Internet Access” product only operates on the 5GHz wireless band. To know if your device supports 5GHz radio you can search www.gsmarena.com to see the specifications of your smartphone or tablet under DATA _ WLAN. If it has “Wi-Fi 802.11 b/g/n” then it only supports 2.4GHz, if it has “Wi-Fi 802.11 a/b/g/n” then it supports 5GHz.

Wireless Service Considerations • Wireless networking has bandwidth limitations compared to the wired network. The wireless network should be viewed as augmenting the wired network, to provide more flexible network use. Applications that require large amounts of bandwidth, or are sensitive to changes in signal quality and strength may not be appropriate for wireless access.

Standards supported • IEEE 802.11a/n is the preferred wireless networking standard. • Security standards may be applied as needed.

Wired internet: • A computer or device with a RJ45 network interface is required to use DWTC wired internet connections. • Internet lines are activated on the last day of build-up. Please advise if you require the service prior to this date.

LIVE ENTERTAINMENT

If you are planning any form of live entertainment such as singers, musicians, fashion show models, dancers, DJs or band players on your stand you must apply for an Entertainer’s Permit through the organiser.

If you do not apply for the Entertainer’s Permit on time (3 months up to 4 weeks before the performance) or if you do not receive an approval and the performance goes ahead, you will be subject to a fine issued by the Dubai Department of Tourism and Commerce Marketing.

25 GENERAL INFORMATION ABOUT STANDS

Exhibitors must ensure that the aisles adjoining the stands are not blocked during build up and break down, to a degree, which constrains the movement of other exhibitors and freight. Exhibitors must also ensure that the aisles adjacent to their stand are un-obstructed throughout the opening hours of the exhibition. The organiser reserves the right to restrict the area of scaffolding or equipment and limit the times during which they shall remain in the halls or on the stand. No part of the stand or exhibit including the fascia, signs, lighting, corner posts or other fittings, shall project into or overhang any aisle or adjacent stands or obscure any fire exit or exit signs, or be suspended from the roof.

It is strictly prohibited to affix nails, hooks, tacks, screws, adhesives, paint or similar items to the floor, walls, ceilings, or any other parts of the exhibition halls. Exhibitors are not allowed to paste, exhibit, or otherwise affix advertisements anywhere in the exhibition halls except on their own stand. The Exhibitor may not distribute handbills, advertisements, photographs or any other printed material from the aisles and outside areas of the exhibition.

Exhibitors are not permitted to connect or otherwise interfere with the electrical, gas, or water fittings of the halls and shall not introduce into or use in the halls any supplementary equipment for the generation and supply of electricity, or for other means of artificial lighting and generating power.

It will not be possible for exhibitors to obtain on-site services or labour for the erection of their stands and displays unless prior arrangements have been made. If on-site services or labour is required, please contact the official stand contractor for the rates. Advanced notice of at least one month must be given.

ELECTRICAL SOCKET

There is a default position for electrical sockets. If any exhibitor requires any specific location, this should be plotted on the grid provided in Form 4a and send to: [email protected]

SHELL SCHEME STAND

The official stand builder of shell scheme stand is Pico International. A basic Shell Scheme package for

9sqm – 12sqm includes the following items:

26 Shell Scheme Layout

Furniture & Fixtures Description

27 Metalwork with white infill panels, fascia with a name and number panel. This is built to an overall height of 2.5m. Stand includes delivery setup, breakdown and maintenance.

The stands consist of Octanorm system wall elements to which graphics of moderate weight can be attached by using double sided tape. The visible display area of each panel is 95cm x 236cm. It is strictly prohibited to affix nails, hooks, tacks, screws, adhesives, paint or similar items to any other part of the shell scheme stands, including the walls / panels, poles, beams, ceiling beams. All additional displays must be contained with the Shell scheme structure and may not exceed 2.5m in eight as there are ceiling beams with lighting track(s).

The company name will be fitted to the fascia board, one per open side. You can specify your name requirement via order Form 3 – Fascia Name. Failure to submit this form may result in an inaccurate name displayed on your stand and charges being raised for correction. If Pico International does not receive Form 3, fascia text, before the deadline 08 August 2016, the company name as mentioned on the organiser’s exhibitor list will be used. Any costs involved will be charged directly to the exhibitor

Open Sides

If an exhibitor requires any specific walls to be left open or closed, then this should be plotted on the grid provided and sent to Stand layouts are subject to organizer’s approval. Any changes onsite, after the stand has been built cannot be guaranteed, and if possible, would be subject to an additional cost.

SPACE ONLY STANDS AND HEIGHT RESTRICTIONS

Exhibitors who wish to build their own stand may do so, provided prior indication should be made on signing the application form. “Space Only” exhibitors, must provide the organizer with the perspective drawings (with proper measurements) showing the front, side, back side, elevations and floor layout of their proposed stand design for approval by Dubai World Trade Centre. Exhibitors and their contractors are responsible for the construction and decoration of their stands. Stands must conform to basic safety standards and must not present danger to occupants/visitors.

Details must be provided immediately and accompanied by Form 17 - Stand Approval prior to the deadline dates. Please send drawing of your stand in either pdf or jpeg format on or before 22 August 2016 to operations16atce@spe. Please see Form 17 - Stand Approval for more information about stand construction and fitting regulations for space only stands. No carpet or power supply will be provided for space only stands. Main supply must be ordered from the official contractor – PICO International (Please refer to Form No. 5), a month before the event, and it is their responsibility to terminate the power line with distribution board, and ELCB.

Dubai World Trade Centre reserves the right to reject any design, likely to unreasonably obscure or affect nearby exhibitors sites, or safety. The Maximum height allowed for:

Halls 3 & 4 = 6 meters Halls 5, 6, 7 and 8 = 5 meters

All space-only contractors must complete and submit the EAC Onsite Work Agreement Form prior to the scheduled move-in. This agreement will be used towards any damages, delays due to non-compliance to the exhibit rules. Contractors who will fail to submit this form won’t be allowed to move-in.

Peripheral Walling

Long runs of walling along open perimeters of stands (facing the aisles) are not permitted. Where long runs of walling need to be present along open sides they must be presented by display items and not left in plain colors. If perimeter walling is more than 1m high, it must not occupy more than one-third of any one side. If long runs of walling are essential they must be recessed by 0.5m from the perimeters of the occupied space and will be subject to written approval by the Organizers.

Dividing Walls

On divided sites, you are responsible for erecting and decorating side and back walls facing onto your stand areas to a height of 2.5m. Walls above this height must be clad and decorated on both sides, with the reverse side being decorated from 2.4m upwards by the exhibitor who has them erected. Such walls overlooking adjoining stands must be finished in a neutral plain colour only. The minimum height for dividing walls is 2.5m.

POINTS TO NOTE FOR THE BUILD-UP POWER: Points to note:

1) Mains Power a. The rates quoted include consumption. b. Exhibition stands mains power will only be activated on the last day of build-up. c. Stand contractors are required to be present to activate their mains power 1 hour before and 1hour after the show opening times.

2) Build-up Power a. The distribution boards for build-up power will be located in each of the 4 corners of the halls b. Each hall will have four distribution boards c. The contractor will connect their own equipment and cables to the distribution board

4. General: a. It is essential that you inform your stand contractor that telecommunication or data lines have been ordered and it is the responsibility of the stand builder to pull the ordered cables inside the stand during build-up. b. Any equipment supplied is the responsibility of the exhibitor during the event and should be returned on the last day of the event. Any loss or damage incurred will be charged to the exhibitor.

5) Clean Air Policy:

a. Purpose

As the 5GHz Wi-Fi wireless networking uses the shared resource of the unlicensed radio frequencies, it is necessary to regulate the usage of such devices within the Dubai World Trade Centre (DWTC) venues.

By applying this policy, reliable and secure Wi-Fi based services can be provided at DWTC. This policy applies to all 5GHz wireless networking devices and users on DWTC premises.

b. Policy

Ownership and Management of Radio Airspace DWTC is the owner of the 5GHz unlicensed radio frequencies on its property, that is, the 5GHz Unlicensed National Information Infrastructure (UNII) bands used in wireless networking. DWTC is responsible for managing these radio frequencies for the benefit of DWTC users. DWTC may restrict use of any devices that can cause interference in the unlicensed radio frequency ranges.

DWTC is solely responsible for providing wireless networking services within its venues and offices. No other entity may deploy wireless network access points or other wireless service in its space. Private wireless access points in the exhibition halls, concourse areas, meeting rooms or offices are strictly prohibited. DWTC reserves its right to sanction non-compliance. DWTC is responsible for maintaining a secure network and will deploy adequate security mechanisms to support wireless networking in the venues.

DWTC deployed a 5GHz wireless network to cover all its venues, based on the 802.11a/n standards. DWTC will work with other entities to accommodate special needs, where technically feasible. DWTC will collaborate with organizers and tenants where devices used for specific business reasons may require specific solutions.

Wireless Service Considerations Wireless networking has bandwidth limitations compared to the wired network. The wireless network should be viewed as augmenting the wired network, to provide more flexible network use. Applications that require large amounts of bandwidth, or are sensitive to changes in signal quality and strength may not be appropriate for wireless access.

Standards supported IEEE 802.11a/n is the preferred wireless networking standard. Security standards may be applied as needed.

Points to note:

1. Dubai world Trade Centre holds the exclusive rights to the cleaning within the exhibitions halls. As such external cleaning companies are not permitted within the venue.

2. The Nightly Cleaning solution includes vacuuming or wet mopping of floors; dusting of counter tops and furniture; emptying of bins, cleaning of walls, glass and partitions (except clear acrylic partitions).

3. All cleaning is carried out at night, not during the exhibition open hours to ensure the stands are ready prior to the opening of the exhibition. It will be performed on the night before the opening day of the event and each night thereafter.

4. Double decker stands will be charged on the total floor space per m2.

5. The role of the Stand-by Cleaner is to ensure that your stand is kept clean and presentable at all times and free from the accumulation of waste.

6. The rubbish skip rental is for the removal of waste materials, excluding labour, generated during the build-up and tear-down of the exhibition. Please note that there are road restrictions on the movement of skips on Fridays.

7. DWTC’s Cleaning division unfortunately is unable to clean exhibits.

8. DWTC’s Cleaning division cannot be held liable for any loss or damage related to the cleaning of the exhibition stand.

RIGGING PLANS

(Please select) Drop wire – 6 mm wire rope fitted with a quick term connector. The wire will be left for the contractor to lift the item to the desired height (for banners, lightweight pieces and truss weighting 20 kg or less). 1. Banner & Graphic Printing:

a. All orders must be accompanied with the artwork detailing the CMYK / Pantone references and sizes of the items. b. Artwork can be supplied in the following files: Adobe Illustrator; EPS; High Res PDF or TIF. c. Banner printing does not include rigging. d. 2. Banner Rigging: a. All banners need to be supplied with poles in vinyl welded or sewn sleeves. b. All banners must be delivered two days prior to the build-up of the event. 3. Rigging Plans: a. All orders for rigging must follow the required guidelines and be submitted with a clear and precise rigging plan at the time of ordering. Any changes required due to incorrect rigging plans will be subject to a surcharge. b. All rigging plans must show the location of each rigging point in relation to the stand using metric measurements. c. All rigging must be within the perimeter of the stand. d. The exact weight of each rigging point must be detailed in kilograms in addition to the total weight in kilograms of the structure. e. The type of structure or banner material must be detailed along with the metric width, height and length. f. The stand orientation must be detailed by showing the location of the main entrance and by the stands or walls on the other neighboring three sides. g. The height from the floor to the top of the structure or banner when fully suspended must be shown using metric measurements.

4. Installation: a. DWTC rigging hours are Saturday to Thursday 08:00 until 17:00. Any requests outside these hours are subject to availability and surcharge. b. Rigging not ready for completion by 15:00 on the last day of build-up will be the responsibility of the contractor to install. c. Any damage to DWTC equipment by third party contractors will be charged.

5. Health and Safety: a. DWTC’s Rigging team is not liable for secondary rigging installed by third party contractors. b. During build-up, gangways must be kept clear to allow access by the Rigging team. c. No stand structure is allowed to be attached to the DWTC ceiling as either a precautionary, or as an added safety, measure. d. Any bottom rigging lifting equipment or lifting eyes that are not stamped, rated, approved with a valid test certificate will not be accepted. e. Any box banner, circular or straight greater than 1m in length, square or diameter, must be suspended on a minimum of two suspension points.

Submission documentation should explain the method of building the stand Submissions for double-decker stand – 50% charges will be applied if the submission is incomplete Any late submission is subject to 100% surcharge All requirements should be routed through the event organiser Drawings/details should be submitted at least 30 days before the start of the tenancy

The main beam erection shall be completed 24 hours before the opening of the event All measurements in the submitted drawings shall be as per standard international (IS) unit system The contractor will be fully responsible for the design, stability and workmanship of the structure

Any free standing wall of a stand exceeding 4 m in height requires a metal framing with base plate and stability design calculation Any stand exceeding 4 m in height requires complete structural drawing including its design calculation If DWTC’s approval under specific circumstances has been received for a stand to be built in one of the concourses, the stand must not exceed 4 m in height. A special policy applies for the building of stands in the concourses. Double-decker stands are not allowed in the concourses

Any canopy must be reinforced with a metal section and must be supported from the ground with a minimum 3 inch (7.62 cm diameter tube or equivalent support having sufficient section Any custom design rigging to be used must be certified and industry approved trusses Banners / logos attached to a hanging truss must be fabricated by using metal tubes with bolted connections and must be submitted along with the design calculations for approval All shell scheme stands must be braced from all four sides (top portion) to control the stability especially octonom pole / panel The stability and safety of all display items within the stand shall be the sole responsibility of the supplier (Exhibitor / Contractor) Stands should not impede on any aisles No fixing or adjoining structures above aisles are allowed No stand carpeting over aisle carpet is allowed in order to join stands opposite each other

EAC ONSITE WORK AGREEMENT

This agreement, between the Annual Technical Conference and Exhibition (ATCE) and (Contractor’s Name) herein called the EXHIBITOR-APPOINTED CONTRACTOR (EAC) , for work authorization at the Exhibition Organized by ATCE held 7-9 December 2015 at the Dubai World Trade Centre, Dubai U.A.E.

PROVISIONS: In consideration for being allowed to work on the premises of the exhibition, EXHIBITOR- APPOINTED CONTRACTOR agrees that neither SPE, nor its agents, or employees, shall be responsible for injury to the person, damage to property, or loss of property, of the EXHIBITOR-APPOINTED CONTRACTOR or its employees, except as to such injury, damage or loss resulting from negligence, premises or product liability, or willful or other misconduct of SPE, its agents, servants, or employees.

When an INJURY is suffered by any person or entity, (including the EXHIBITOR-APPOINTED CONTRACTOR or its employees,) caused by the joint or concurrent negligence, conduct or fault of the parties hereto, or their agents, employees, the EXHIBITOR APPOINTED CONTRACTOR agrees that neither SPE, nor SPE's agents, employees, shall be responsible for such injury, and the EXHIBITOR-APPOINTED CONTRACTOR further contractually obligates itself under this agreement to contribute to and/or indemnify, in proportion to its fault (either at law or in fact, whichever is greater)

DAMAGE to the venue. Any damages cause throughout the duration of the event by the EXHIBITOR- APPOINTED CONTRACTOR or its employees will be resolved through a written letter based on the Report of Damage by the venue management (DWTC property management). The written letter will be address to: the Exhibitor Contractor bearing the reason and photo of the damage/s cause. The incurred cost should be settled 5 days after the receipt of the notice.

NON COMPLIANCE to organizers and venue regulations. EXHIBITOR-APPOINTED CONTRACTOR or its employees flouting site safety regulations will be assess on the number of non-compliance the EXHIBITOR- APPOINTED CONTRACTOR or its employees have violated. Anyone who’s been cited for more than 2 offenses will be ask to leave the exhibition site.

It is expressly understood and agreed the EXHIBITOR-APPOINTED CONTRACTOR's liability under this agreement is independent of, and in addition to, any common law or statutory liability for contribution or indemnity under the laws of any jurisdiction.

The EXHIBITOR-APPOINTED CONTRACTOR by signing this statement further acknowledges receipt of the official SPE EXHIBIT REGULATIONS and agrees to abide by all conditions contained therein.
