Google Meet: Scheduling class meetings and inviting participants

As faculty at Alma College, your Alma College ID can now be used to log in to some services. This includes Google Meet which allows for the creation of video conferencing meetings with up to 100 users.

To set up a Google Meet session, go to calendar.google.com and type in your full Alma email to access your account. You will be sent to an Alma College branded page to then sign in with your Alma username and password.

Once you enter the calendar you can create online meetings. You can start this by clicking on the “Create” button in the upper left corner. Then click on “More options” at the bottom of the pop-up.

First give your meeting a title – We recommend using the course number following by the course name.

From here you can set the exact date and time of your meeting. If the time you want is not available in the drop-downs you can just click in and type in any time you like.

Where it says “does not repeat” – you can click and add a repeating meeting and end date to those meetings.

Under “Add conferencing” it is critical that you select a “Hangouts Meet” by clicking on that option. This is what makes this calendar appointment a video conference.

On the right of your screen you will see the option to add guests. You can copy and paste your entire course list in a single copy/paste from the Inside Alma portal. In the portal, go to “Academic Resources” in the left-hand panel. Click on “Classes”. Then click on “Class Rosters”.

Go to the class you want to pull the list from and click on it. You will find a comma-separated email list there. Copy that list and paste it into the add guests field back in your Google Meet setup.

Now all you need to do is click on the blue “Save” button at the top of your screen and then click on the blue “Send” button on the next pop-up.

You’ve now completed the setup of a full class Google Meet. You can follow the link in your calendar appointment and your students can use the link they will receive by email.

Google Meet should be supported by most browsers now, but in the event of any problems we highly recommend using for both faculty and students.
