COCA is further dedicated to enhancing skill development by providing educational and business opportunities, resources, and services for professional staff, college and university students, and associate members of COCA. ABOUT COCA

The Canadian Organization of Campus Activities, better known by it’s acronym COCA, represents more than 65 post- secondary institutions across the country from to Newfoundland. COCA also boasts more than 75 associate members. Typically, full members are student associations or college departments that are involved with campus activities programming. Associate members are entertainers, booking agencies, artist management companies and other suppliers to the campus entertainment and programming industry.

Founded in June 1982 as the successor to the Canadian Entertainment Conference, COCA has now completed twenty-nine years of successful operation. The highlight of every year is the National Conference in June when campus representatives gather to see entertainers, and variety acts. The conference also features guest speakers on the lecture circuit and an exhibit hall for campus buyers to “shop” and meet with suppliers one on one.

COCA REGIONAL MEETINGS

The Canadian Organization of Campus Activities has scheduled two regional meetings for school delegates during the conference. COCA is a national organization with three regional components - the Eastern Region (Atlantic Provinces), the Central Region (Ontario/) and the Western Region (Prairies/BC). The regional meetings that take place during the national conference are critical for the continued success of the organization in terms of planning, governance and communication.

The first regional meetings are scheduled on Saturday June 22nd. First-time delegates are asked to attend at 9:00am where they will be given a quick overview of the purpose of the meetings, and there will be a description/explanation of some of the topics that will be discussed. They will be joined by Returning Delegates at 9:30am and the official meeting will begin. (Please see conference schedule for the location of each meeting). Regional elections will be discussed, as well as regional activities such as Campus Music Explosion or Campus Idol. Block booking will also be discussed. This will allow delegates to share ideas, prices and information necessary to ensure a successful year of purchasing entertainment and services for their schools. The second meetings are on Sunday June 24, from 9:30am to10:30am. At these meetings, the regions will elect one member to each of the key standing committees (awards, communication and education) as well as electing their regional representative to the COCA Board of Directors. Regions will each decide if they will conduct regional events such as conferences or meetings and whether they will participate in cross-campus events such as Campus ldol and Campus Music Explosion during the coming school year.

GETTING INVOLVED WITH COCA

The Canadian Organization of Campus Activities depends on its members to get involved. Whether it is on the Board of Directors, as part of the Conference Committee, part of a Standing Committee, or a host for one of the regional activities, if you were thinking of getting more involved with COCA, but weren’t sure how to go about it or what would be involved, then please attend a special session that will take place on Saturday June 23rd at 5:15pm in the Symphonie 2. The regional director cannot do everything so members are encouraged to take on some of the workload to help ensure a successful year for all COCA members in each region.

Conference Office & Registration: Alcohol Policy: The COCA office and registration area is located in Symphonie 7 (on the 5th floor of convention side of the Hyatt hotel). This year, we have decided to split the groups into: New Delegates, Returning Delegates and Associate Delegates. GRIEVANCE PROCEDURES POLICY C.O.C.A. has established a mechanism by which school or associate members may have their arguments reviewed in formal and objective manner to provide a satisfactory resolution to a particular problem that is fair and reasonable. The grievance procedure was designed to be a last resort in settling disputes. C.O.C.A. and the Ethics and Grievance Committee are neither a collection agency nor legal counsel. The function capabilities set by the Board of Directors are limited, and the objectives of the process is to secure satisfaction without resorting to sanction. If and when a dispute has been determined to warrant C.O.C.A.’s involvement, a complete file of all correspondence contracts, telephone conversation and any related documents should be forwarded to C.O.C.A.’s chairperson of the Board of Directors and the head office administrator for formal grievance action.

When a written complaint is received by the Chairperson of the board, every attempt will be made to settle the matter there. If the complainant finds this unacceptable, the complainant will be directed to deal with the Ethics and Grievance Committee who will in turn evaluate the circumstances. If the complaint is found valid by all members of the committee, the chairperson of the committee will start formal proceedings; if not, the complaint will be dropped and the parties so freed. With appropriate documentation the Ethics and Grievance Committee:

1) Will be appointed by the chairperson of the Board at the first appropriate Board of Directors meeting following elected office. 2) The Ethics and Grievance committee will be appointed by the Chairperson of the Board of Directors and be made up of one Regional Board of Director member residing in the Region of where the complaint was founded, along with an appointed Board of Director Member and his/her designate as seen fit. 3) An unanimous agreement by the committee must be reached in the decision making processes before the course of sanction is enforced. 4) If there is an unanimous agreement by the committee that the complaint is valid, the complete file and course of sanction will be forwarded to Board of Directors for assessment through the Chairperson of the Board and subject to Board review. 5) The C.O.C.A. Board of Directors may exceed or lighten the recommended sanctions levied by the Ethics and Grievance Committees as they see fit.
