JOB SUMMARY: The Processing Archivist manages the various processing and cataloging activities related to and within the SBTS Archives and Special Collections department.

ESSENTIAL JOB FUNCTIONS: The employee in this position will have the following essential job functions: • Manages the processing and cataloging of archival materials in collaboration with the Archives and Special Collections Librarian and the Boyce Centennial Library Cataloging Department. • Evaluates newly accessioned records and sets priorities, processing depths, and preservation actions for the processing of materials. • Creates written processing plans for collections that stipulate to what depth and in what order materials are to be processed. Evaluates processed collections to ensure that they comply with the initial processing plans. • Creates “finding aids” in the archival database (currently Archon, an open access archival information system), exports Machine-Readable Cataloging (MARC) records, and loads the resulting MARC records into the integrated library system (currently Aleph). • Manages the encoding or entry of container listings for archival collections and the merger of container lists with -level records in the Archon database. • Ensure accession and resource records are updated to reflect accruals and revisions. • Coordinates entry into the and Special Collection’s electronic database of accessions (in Archon), including entry of donor information and preliminary of material. • Arranges and describes archival materials in accordance to Describing Archives: A Content Standard (DACS) and other relevant archival standards; ensures DACS compliance for finding aids. • Trains and supervises part-time staff in their processing responsibilities. • Manages and coordinates the completion of all reference requests within the department. Trains staff in providing reference service. • Monitors the environmental and physical security of collections, and makes recommendations for improving security problem areas. • Contributes to the mission of the Boyce Library and the Archives and Special Collections department by participating in the development and evaluation of policies and services, assessing user needs and satisfaction with learning outcomes, serving on appropriate committees, and maintaining an awareness of changes in allied departments. • Develops and maintains professional skills by participating in continuing education and professional development activities such as conferences, workshops, and committee work; by conducting research or writing for publication; or by engaging in other creative and learning activities. • Maintains awareness and acts upon changes and needs in the organization by assuming similar duties and responsibilities. • Participates in library and archives planning.

Performs other duties as may be assigned by supervisor.

EDUCATION: The person in this position should have American Library Assoc.-accredited MLIS, or relevant Master’s degree (Academy of Certified certification expected in three years for continued employment). The incumbent should also have a working knowledge of Baptist history in general and the history of Southern Baptists in particular.

EXPERIENCE: The person in this position should have two years experience in archival processing. The person should have a working knowledge of archival theory, practice, national standards, and best practices that govern arrangement, description, and processing activities. The person should have an intimate knowledge of DACS, as well as a working knowledge of Encoded Archival Description (EAD), XML, MARC, and other technologies that support the description and transmission of archival data. The person should have good verbal, written, and interpersonal skills in order to communicate effectively with both library staff and patrons.

SUPERVISION: The person in this position will supervise part-time Archivist and Special Collections staff in their processing duties.

The person in this position will report to the Archives and Special Collections Librarian.

WORK ENVIRONMENT: The person in this position will work in an office environment that typically involves sitting at a desk, as well as intermittently sitting, standing or stooping. The person must be able to lift items up to 50 pounds. The work environment also involves frequently coming into contact with dust, mold, and other allergies.

EQUIPMENT: The person in this position will use the following equipment: Microsoft Office, web applications, archival processing and description software, DVD recorded, VCR, scanner, printer, cassette player, cart and hand trucks.
