No.: 03222-275330 * Fax No.:03222-267333 * e-mail ID:[email protected] Memo No.: 3184/ Sadar Date: 18.08.2017 TENDER NOTICE (2nd Call) Fresh Sealed Tender is invited from the bonafide vendors / agencies having the knowledge of the work of Special Summery Revision work viz. work relating to Entry of Data of electors', Updation of Control Table of Electoral Roll, Printing of Checklist after completion of data Entry of Electors, Cropping & Merging of Electors' EPIC preparation etc. for the electors of 4 (four) Assembly Constituencies namely 233-Garhbeta, 234-Salboni, 235-Keshpur (SC) & 236-Medinipur A.C. under Medinipur Sadar Sub-Division. The tenderer should have the skilled manpower with required computer sets for doing such work within the stipulated period which will be fixed by the authority concerned. The tenderer should also have minimum 2 (two) years experience in similar work prefarrablly election data entry work. The work (Data Entry & Check List Generation & Correction) will have to be done in two phases (1) During SRERperiod as per Notification at Block Level and (2) During Continuous Updation period at Sub-Divisional Level. A. The schedule of work as shown below: 1) Control Table Updation. 2) Entry of Individual Elector's Data extracted from Form-6, 7, 8 & 8A. 3) Capturing and scanning of Electors' Photographs and Documents 4) Printing of Checklist after completion of data Entry of all the Electors. 5) Work of Approval process. 6) PDF Roll Generation. 7) Preparation, Printing & Lamination of EPIC. 8) Printing of AC wise EPICDelivery Challan. Computer Set: 14 (fourteen) nos. of computer sets for Block Level (During SRERPeriod) & 6 (six) computer sets for Sub-Divisional Level (During Continuous Updation Period) are required including UPS(working condition). 2. Computer Specification :, OS : Windows 7 or higher version, Processor: Core i3 with 4GB RAM, HDD 500 GB, Monitor: Not less then 18.5", Nero 7, MS Office 2007 & Team Viewer / Ammyy Admin (ver. 3). 3. Computer Operators: Computer operators to be employed round the clock 14 (fourteen) operators (During SRERPeriod) & 6 (six) operators (During Continuous Updation Period) who are well experts for typing both English and Bengali for data entry work. 4. Digital Camera: 6 (six) for SRERPeriod & 2 (two) for Continuous updation period. 5. Printer: High speed LaserJet printers are to be required, 6 (six) for SRERPeriod at Block level & 4 (four) for Continuous updation period at Sub-Divisional Level. 6. Lamination Mechine : Sufficient lamination machine will be provided by the vendor/ageny. 7. Internet connection facility is to be provided in respect of all the computer sets. 8. All computers must to be kept protected with registered antivirus. 9. 1 (one) T.B. external Hard Disk for Data backup is to be kept in readiness. Terms and conditions:- 1. The Tenderar / Quotationer should have a credential of at least Rs. 2,00,000.00 (Rupees two lakh) only for undertaking & completing Data Entry work within last 2 (two) years. 2. The working place will be at Block Level during SRER Period and during continuous updation period, at the Sub-Divisional Office, Medinipur Sadar. 3. The Tenderer / Quotationer have to submit their up-to-date Certificate of IT, GST etc. 4. The Tenderer / Quotationer wil have to deposit Rs. 10,000/- ( Rupees ten thosand) only through NSCduly pledged / Bankdraft in favour of SDO, Medinipur Sadar as earnest money. 5. The accepted Tender / Quotationer should arrange for non-judicial Satmp Paper worth Rs. 10/- for agreement before issue a work order. 6. IT / GSTwill be deducted from the final bill as per norms. 7. The undersigned reserves all the rights to accept / reject any tender / quotation without assigining any reason and not bound to accept the lowest tender / quotation and also reserves the right to distribute the work among the tenderer/quotationers. The quotation will be received in the Office of the Sub-Divisional Officer, Medinipur Sadar, Paschim Medinipur from the tenderers on working days excluding Saturday, Sundays and holydays from 11:00 A.M. to 3:00 P.M. on and from 18.08.2017 and will be closed on 25.08.2017 at 02:00 PM and the Tender Box will be open at 3:00 PM on the same day (25.08.2017). The authority deserves the right to accept the quotation or any part of the quotation and to reject the quotation in all without assigning any reason.
