USATF Georgia Association 2014 Annual Meeting Reports Page 6 USA Track & Field Georgia Association PRESIDENT'S REPORT AUGUST 23, 2014

Greetings Georgia Members,

Although the Georgia Association elections were held August 10, 2013, according to the Georgia Association By-Laws, I did not take office until November 1, 2013. Just two months to the end of the year, I had to make sure all programs were finalized and met the criteria for the USA Track & Field Association Standards. We needed to meet the following criteria:  21 Association Championships  Website criteria  Financial standards

There were some initial transition problems to resolve:  Name changed on the State of Georgia Corporation Annual Registration (Resolved)  P.O. Box was closed due to non-payment- Resolved by opening new P.O. Box  Names changes on Banking Accounts and credits cards- Names changed on banking accounts and Credit cards closed, but still processing problems with one credit card.  2013 Taxes filed late -Penalties imposed- Wrote letter of abatement, Resolved  Financial issues ongoing

New Appointments: Budget and Finance Committee  Carl Anderson, Chair  Kelli Crawford  Ayanna Hickman-Gibson Club Membership Chair  Belinda Turner Legal Advisor  Jonielle Turner Treasurer  Linda Bommicino My first step as president was to file reports with USA Track and Field to meet accreditation. We filed preliminary reports by January 1, 2014. These were evaluated, but we were lacking on website and financial reporting. I worked with Jim Norvill and he updated all championship meets on the website, posted our 990 forms, and budgets. I wrote a plan of action to show that we made the corrections. Georgia Association was one of fifteen Associations out of 57 that passed all of the USA Track & Field Accreditation Requirements. Next was to review budgets and to get a hand on finances in the Georgia Associations,

Outstanding Accomplishments-  Gained two sponsors- PT Solutions and Fontis Water.  Track & Field held Lunch and Learns were well attended and informative.

USATF Georgia Association 2014 Annual Meeting Reports Page 7  Masters and LDR Grand Pix was successful.  Youth Program . Increased membership . Three Area meets with 600- 900 athletes in each. . Well organized Association Track & Field and Cross Country Championships. . Organized outstanding Region Championship when other associations could not host.  Race walk- Increased growth in Race walk programs.  Officials had to reorganize after the death of our pass officials chair, Murray Sanford. Had to find storage for all officials equipment. Worked hard to support all championship meets with growth in number of workers.  Purchased On-Line QuickBooks Program.  Communications- Improved communications with constant contact. "Spotlight Members"  Sanctions- Number of Sanction went down slightly, but the number of participants increased.  Club membership- New chair, Belinda Turner who has done an outstanding job.  Membership- Our numbers about the same as last year.  Appointed new Budget & Finance Committee that helped get Budgets formed for 2014  Remove pass Treasurer and appoint Linda Bommicino as interim Treasurer. Linda has worked tirelessly to get our books in order.

August 15-17, 2014, Georgia attended the Association Workshop in Sacramento, CA. This program is design to help associations learn how to improve their association. At the Awards Luncheon, Georgia Association was presented with a Bronze Plaque for Outstanding Association for 2013.

Goals for 2014-2015:  Increase growth in LDR and Masters Programs with Educational Seminars  Win Bid to host 2015 USA Men's10K National Championships and 2016 Cross Country National Club Championship in Partnership with Atlanta Track Club.  Financial stability  Budgets for 2015 prepared by November 1, 2014  Hospitality Program  Partnering with LakePoint Sports  By-Law Committee Appointments  Grievance Pool Appointments  Increase membership and new programs

As President, I thank everyone who volunteered to make USA Track & Field Georgia Association one of the most successful programs in the United States. I hope to continue growth and prosperity in Georgia.

Respectfully, Inez Finch Inez Finch President Georgia Association USATF Georgia Association USATRACK&FIELD [email protected] [email protected]

Ian Dube USATF Georgia Association

2014 was a transitional year for the office of Executive Vice-President. As per the b-laws of the Georgia Association the Executive VP acts as the liaison between the Sport Committees and the Board of Directors. In that position I worked closely with several of the committees supporting their events.

List of goals accomplished in 2014 1. Maintained the association social media presence (Twitter and Facebook) 2. Represented the Georgia Association at the Georgia Sports Hall of Fame 3. Represented the Georgia Association at the Metro Atlanta Chamber Sports Leadership series 4. Negotiated agreement between PT Solutions and USATFGA which saved the Georgia Association $10,000 in medical and training services 5. Represented the Lt. Governor’s Fit Kids event 6. Facilitated Coaches Roundtable

USATF Georgia Association 2014 Annual Meeting Reports Page 9 Vice President - Communications Marlene Atwood USATF Georgia Association Vice President, Communications USATF Communications Coordinator [email protected]

As Vice President of Communications, my primary responsibility is communicating with the membership and ensuring that they are aware of all Association activities, upcoming events, and meetings of importance to them.

In addition, and as important is featuring our members and the great things they are doing - whether it is participating in Association, Regional, National or International events, being an outstanding official, coach or administrator, or managing a successful program. All of these contributions to the sport need to be recognized.

As a side piece to that, there is coordination of information between these communications and our Webmaster to ensure that we are driving traffic to our website.

Our primary tool is Constant Contact which allows us to track open rates, traffic to our website, clicks on links, etc. This gives us an idea of what communications attract the most "opens" and thus the most interest. Our email distribution list contains over 3600 emails - this represents a reduced list from our 5000 membership database that eliminates duplicate emails (clubs using the same emails for all their athletes, and families who use the same emails). We also track members who have opted out of receiving any emails. In this respect we need to ensure that our focus is quality communications and not quantity.

We have recently started a new feature - "Member Spotlight - Someone You Should Know". This will be a regular program and will regularly feature a member who deserves to be acknowledged for his/her continued contributions. This will be a bi-monthly feature.

In addition, I am currently working to put together a history of the Association - something that has not been done before. Once the research is completed, it will be incorporated into our website and we are sure it will be something that our membership and the general public will find of interest. It will chronicle our history - showing where we started, how we evolved, and who our association leaders were. Stay tuned for more information.

2014 Marketing update

I secured Fontis Water Company as an official sponsor to provide water for the association. Water was provided for 2 Cross Country meets, the Open Association meet, and one Area meet.

We purchased a trade show backdrop to make our Association look more professional at expos and trade shows.

We also purchased some USATFGA Post - It notes. These were used as give-a-ways.

I attended the Association Workshop in Sacramento, CA to learn what other Associations are doing to attain and retain their membership. I learned some ideas and plan to implement several new-member benefits.

USATF Georgia Association 2013 Annual Meeting Reports - 16 - USATFGA Club Membership Annual Report 2014 As of August 13, 2014

147 Total Clubs 139 Approved Clubs 122 Youth Competitive Clubs 29 New Clubs 8 Clubs Awaiting Background Screenings to Clear For Approval

We expect to continue to grow by the end of 2014 with Clubs renewing in time for the Cross Country Season. USATF added an on-line tutorial on how to register a club- http://www.usatf.org/Resources-for---/Clubs/Online-Club- Tutorial.aspx#ClubApplication. New this year, the club contact person AND all coaches/volunteers for all Youth Clubs must complete a background screening with TC Logiq Before the Club will be Unlocked for Approval. Background Screenings may take up to 2 weeks to come back cleared. Please make sure that Club Renewals, Individual Memberships, and Background Screenings are done Well in Advance of any Meet Entry Deadlines. Most Screenings are cleared within a few days. Contact TC LogiQ at 877-825-6447 if you have questions about any delays in your Screening.

Club Management Area: This allows clubs to do batch processing of memberships, manage their own club rosters, and easily identify if their athletes are birth verified. They can also print their USATF Club Certificate, apply for Practice Insurance Certificates, add practice locations, and change club information, except for club name and club number. Many clubs are not yet taking advantage of this area. Georgia Association instituted early registration fees from November 1 to January 31 for $40.00. This is a good time to do a multiple year registration for $40.00 per year. February 1 to October 31, the fee is $60.00 per club. The Late Registration Fee is $100 for a total of $160 and goes into effect at 12:01 am on May 1st, so renew your club early.

Remember, USATF and USATF Georgia will communicate with your club through your Club Contact Email Address. Check this email account frequently to receive the latest updates and important information.

Thank you to all clubs/organizations for being a member of Georgia Association. You can find All Georgia Clubs listed on our website with contact information at http://www.usatf.org/clubs/search/info.asp?associationNumber=45

Background Screening Report: USA Track & Field requires that all coaches and volunteers that supervise Youth under the age of 18 must be background screened. All coaches and volunteers who have direct contact with youth athletes during scheduled practices and other scheduled club activities must submit the On-Line background screening process with TC Logic, Inc. Georgia has an excellent participation in the background screening process.

USATF has two background screening programs, NCSI and TC Logiq, Inc. All youth coaches must get screened under TC Logiq in order to get into Junior Olympic meets for free and to be covered under liability insurance. The two screening programs have been confusing to some, but if directions are followed on the USATF website, then it will not be a problem. Georgia is also in the top 5 percentile of Associations in USATF with coaches that are Background Screened. Last year we had 316 coaches/volunteers that completed the Background Screening and today we have 411 coaches/volunteers for a 30% increase. A listing of all Georgia Association coaches/volunteers that are background screened can be found at http://www.usatf.org/about/programs/backgroundchecks/info.asp?associationNumber=45 If your name is listed on the background screening list, but your club name is not listed, please contact Belinda Turner at [email protected] to update your club status. Please give your name, membership number and club affiliation.

Background Screenings for Youth Coaches/Volunteers must be Renewed Every Year. Renew your USATF Membership and then Renew your TC LogiQ Background Screening. The Background Screening is a Separate Process. Thank you for an outstanding job of becoming a Background Screened Coach or Volunteer..

-17- USATF Georgia Association 2013 Annual Meeting Reports - 16 - Sanctions Report Marlene Atwood USATF Georgia Association Sanctions Chair [email protected]

In the 3rd quarter of 2014, the Georgia Association has processed over 90 sanctions. This represents over 90 separate track & field, road, and cross country events in Georgia. Total participation numbers to date – 109,426 (vs. 95,684 participants to date last year). For total sanction fees collected to date and Association sanction revenues received to date, please see Treasurer’s Report. We anticipate surpassing last year’s numbers with four and one half months remaining in the year.

How does this break down?  60 road races, 99,011 participants  25 track & field events, 9,125 participants  8 trail runs, 1290 participants

Online Sanction Processing

We are happy to report that Online Sanction Processing has improved since its initial roll out in 2013 with additional capabilities added. Event Directors can now post their events on the national calendar, submit their sanctions, and request certificates of insurance online and get approval within 3 days. After their events are over, they can go back online and file their post event reports and any incident reports. This has made this a 95% paperless process.

What does this mean for the event director? 1. A more efficient and user friendly process for sanctions. 2. Ease of use and more capabilities – process your sanction anytime, from anywhere! 3. Ability to order certificates of insurance online. 4. Quicker and less impact to the environment (no paper and no mailing/faxing!).

Your USATF Georgia Sanctions Chair is also responsible for sanctioning all of the Association's championships. To date, we have sanctioned the following Association championships:

Dr. Mike Spino, LDR Committee Chair [email protected]

Report of Long Distance Running Committee USTFGA 2013-2014.

This is my first year as Head of the Long Distance Running Committee. It has been a year of both vision and practicality learning how the organization functions and being a part of the struggles and challenges we face as an Association. Being a voting member as we seek stability and sustainability has been the main function of my first year as head of ldr. In terms of operational aspects I have been working with other committee members to solidify a Grand Prix Fall racing schedule according to fulfilling national guidelines. We are working collectively to set up the racing Grand Prix schedule, and hopefully ongoing policies. The Association is stable in terms of finances however when compared to possible members we could entertain our growth could be extended. This Spring I attended the national masters track and field championships at which many of our members competed and the Atlanta Track Club placed second in the combined male and female scoring segments.

As for the future we are contemplating joining the ‘Bring Back the Mile’ movement and organizing a competitive mile race that would be a good profile event for the city of Atlanta, and with the proper partnerships could raise the profile of the Association- Hopefully the second year will be more productive and the association will be solidified around mutual committee goals and aspirations. Jim Bitsko – Masters Committee Chair [email protected]

The Masters Committee has made significant outreach to potential members through group runs tied to educational seminars.

Masters had a significant presence at this summer at the USATF GA track championship. The fields were strong for the sprints, middle distances and field events. There is an opportunity to improve next year by attracting stronger fields for the long distance track race.

This fall will see master opportunities on the roads with the USATF GA Grand Prix. Association championships will be held in the 5k, 10k, 15k and half marathon. Points toward a grand prix championship will be earned at each of the state championship race.
