Report of the Standard Citation Forms (SCF) Revision Working Group June 7, 2011 Background The proposal to expand the form of citation entries in Standard citation forms for rare book cataloging was presented to BSC at 2008 Annual. This proposal was created by Barbara Tillett (LC Policy and Standards Division), Deborah Leslie (Folger Shakespeare Library), and Elizabeth Robinson (LC Rare Materials Section) with the motivation of making the current, highly abbreviated (sometimes cryptic) citation forms more plainly understandable. The draft called for the following citation form, with the idea of following the AACR2 main entry form as much as possible: Corporate name or surname with initial(s). Title proper unabbreviated. OR Title proper unabbreviated. It also stated that parenthetical qualifiers for editions, supplements, reprints, and multiple versions would remain the same. The proposal included about six dozen examples. The working group initially focused on single‐surname citation forms. Members identified single‐surname forms in Standard citation forms for rare book cataloging¸ 2nd ed. (SCF) and created tables of these citations noting: Current SCF citation form Current SCF full form (main entry‐title) MARC record form (as found in OCLC master records; 1xx headings are established forms unless otherwise noted; OCLC record number provided) LDR/18 value of said MARC records (i.e. AACR2 or not) Proposed citation form based on AACR2 form (untruncated title) Proposed citation form based on AACR2 form (untruncated title) with current form in parentheses The tables of these citations are listed in the Report of the SCF Revision Working Group, January 14, 2009. This document was distributed to BSC at 2009 Midwinter and served to generate discussion. Problems that were identified: In some cases, subtitle information is necessary to distinguish the cited title from another Truncating longer titles leads to variance in citation forms, based on individual judgment Related citations will have different forms, when the main entry differs from the original author/editor Citations with corporate name main entry with a more familiar editor name may be “buried” 1 At Annual 2009, Robinson reviewed options for the form of citation and asked if the newly approved 510 $u changed anyone’s preference. Even with this link, there was agreement that the new form of citation should be used. At 2010 Midwinter, there was an additional suggestion to follow the new (expanded) citation form with the current (shortened) form in parentheses for the benefit of researchers familiar with the current forms. At 2010 Annual, Robinson circulated the first revision of single‐surname citation forms to BSC with a proposal to maintain qualifiers that already exist and to add a qualifier to supplements, thereby preserving the association with the main entry/title of the original work. Following the proposed citation form with the current citation form in parentheses creates a lot of redundancy; however, there are a few instances for which this form is useful: Supplements prepared by someone other than the original author/editor Titles where there is a corporate main entry with the more familiar editor name buried Titles entered under title main entry that have been known by an editor Robinson asked BSC to discuss and vote on which display they preferred. After some discussion, the group decided that the current citation form should be added following the new form only when necessary; that is, only when the two forms differ. Progress Report Since 2011 Midwinter, members of the working group have updated the single‐surname citation table to indicate, of the two proposed possible citation forms in columns 5 and 6, the preferred citation form. The AACR2 form is recommended unless it differs from the current SCF, in which case the AACR2 form with current SCF in parentheses is recommended instead. The working group also has identified citation forms for double‐surname and single‐ acronym citation forms in SCF and created corresponding tables for those. Following the recommendation of BSC to add the current SCF when it differs from the AACR2 form, it is necessary to always add the current SCF for both double‐surname and single‐acronym citation forms. General Discussion Questions 1. The original proposal lists as the form to be followed: Corporate name or surname with initial(s). Title proper unabbreviated. Single surnames in the proposed citation take the form, surname with initial(s), rather than the authorized heading as given in the bibliographic record. And, corporate name examples in the original proposal show only the main body in the proposed citation form: 2 Present full form British Museum. Dept. of Printed Books. Proposed forms in the tables created by the working group show only the main corporate body, with one exception left for discussion purposes. Is BSC in agreement that we should drop subordinate bodies from corporate name headings? 2. The basis of the proposed form brings up the question of “correctness of the bibliographic record.” The resource may or may not be cataloged correctly, or there may be more than one way to catalog it. In the single surname table, compare the new proposed forms for Gregory and Gregory (suppl.). One keeps the subordinate body (Music Division) in the main entry; the other doesn’t. Another example is Madan; a number of OCLC records show “a bibliography of ....” as part of the title proper. 3. The original proposal that was discussed at 2008 Annual included a table with the current SCF, present full form (author/title) and proposed SCF for about six dozen examples from SCF. These examples show proposed forms for supplements and later editions with the original edition, e.g. Present full form Backer, Agustin de. Bibliothèque de la Compagnie de Jésus. Riviere,̀ E.-M. Bibliothèque de la Compagnie de Jésus (suppl.) In this manner, the statement, “parenthetical qualifiers for editions, supplements, reprints, and multiple versions would remain the same” makes sense. In looking through the proposed forms in column 5 of the tables created by the working group, retaining parenthetical qualifiers does not always make sense (see discussion question under single‐surname table for specific examples). Now that we’ve had some time to consider the issues associated with single‐ surname citation forms (issues that will apply to other forms), do we want to reconsider how supplements and later editions will be entered? Do we want to continue in the current manner, basing the citation for supplements, etc. on main entry/title, regardless of how different it is from the original work? 3 4. Color coding is as follows: 1. Supplements prepared by someone other than the original author/editor / etc. 2. Titles where there is a corporate main entry with the more familiar editor name buried 3. Titles entered under title main entry that have been known by an editor/compiler name BSC decided at Annual 2010 that the current SCF should be added following the new form only when necessary, that is, when the two forms differ. The three cases above meet the criteria for adding the current SCF as a parenthetical qualifier. The table shows the proposed citation form that fits the agreed upon (to date) criteria in bold. Discussion Question (A Rather Large One) The original proposal calls for retaining parenthetical qualifiers. a. As column 5 shows, this results in some redundancies in the proposed form - See Bristol (index), Gregory (suppl.), Polain (suppl.), Palau y Dulcet (2. ed.) (addenda), Proctor (registers), Proctor (suppl.), Sander (suppl.) b. On the other hand, retaining the qualifier results in a lack of context with the AACR2 form – See Brunet (Suppl.) c. Manuel du libraire et de l’amateur de livres (suppl. 2) The advantage of following the form as noted in the original proposal is that it ties citations for supplements, etc. to the original title.
