WARRINGTON WOLVES IS RECRUITING AN OPERATIONS ADMINISTRATOR

Based at The , this is a key role within the Club, delivering efficient and professional administrative support to the CEO and the Head of People and Operations, ensuring the smooth running of the business and providing a vital connection across all departments. The post-holder will also provide support for all HR activities, to assist in delivering advice, support and documentation for all of our people. The capacity to work on match days is a prerequisite, and involves various tasks in relation to match day preparation.

This is a demanding role and needs a highly efficient, proactive person with exceptional organisation skills, confidence, dedication, and outstanding attention to detail. Discretion is essential as you will be dealing with matters of a highly confidential nature.

Warrington Wolves RLFC is an elite professional football club based in Warrington, in the North West of England, competing in the Betfred . We play home games at The Halliwell Jones Stadium.

THE IDEAL CANDIDATE

We are seeking an individual with considerable experience in a similar role, working at executive/senior management level.

That person must be a committed and diligent individual who has an affable manner and is a team player, willing to go the extra mile.

Due to the nature of the business, and the role, this is not a standard Monday-Friday 9-5 job, and so requires flexibility towards working hours, including the requirement to work at all home fixtures as well as some events on evenings, weekends and Bank Holidays.

PRIMARY RESPONSIBILITIES

 Develop and foster close working relationships with colleagues and other parties, for example, the RFL, Super League, other rugby league clubs, our catering partner, and the local authority  Respond in a timely and professional manner to all incoming written and verbal enquiries, both internal and external  Handle all sensitive and confidential business and personal matters with integrity and discretion  With the Head of People and Operations, develop and implement new administrative processes and policies to meet the needs of the business  Ensure all HR contracts, policies, files and other documentation are up to date  Maintain accurate inventories of IT kit, vehicles, training equipment, etc

 Collate data for reports as required, and present in a professional manner  Arrange meetings, book rooms and refreshments, create and issue papers and agendas, record, transcribe and circulate meeting notes and action points  Effective diary management, arrange conference calls, meetings and travel  Create and submit monthly expense claims for the CEO and the Head of People and Operations  Track and monitor expenditure against the Club credit card, submitting a monthly breakdown, together with receipts, to the Finance department  Liaise with Board members to clarify and meet all requirements for home and away games, including liaison with Directors from visiting teams  Create and produce match day passes, for access into the stadium and the car parks  Greet guests at main reception on match days, assist with all enquiries  Provide back-up for the Stadium Receptionist, creating and participating in the lunchtime rota, and providing cover during absences

MINIMUM SKILLS / EXPERIENCE REQUIRED

 Significant experience of working with executives and senior managers  First-rate organisational and administrative skills  Proficiency in Microsoft Office  Excellent standards when creating documents and messages  Attention to detail and the ability to effectively proofread  Level 4 education or above is desirable
