Welcome Message

Dear Competitors,

Welcome to the Hunter Valley Grammar School Equestrian Championship Day! We hope to host an event that delivers a competitive atmosphere, while still maintaining a relaxed, friendly and encouraging environment for those competing for the first time.

We have again been overwhelmed with entries this year and have over 135 horse and rider combinations, competing in nearly 400 individual events, representing 62 different NSW schools. We welcome competitors who are traveling long distances and hope you enjoy your night camping!

With such a large field of competitors we ask that you please read ALL of the information in this program carefully. Parking and competition times will be tight and we appreciate your cooperation in ensuring that you are on time for your events and that you park with consideration for the approximate 110 floats/horse trucks that we are expecting on the day.

I have fielded many emails from nervous parents bringing their children to their first interschool competition - I hope that this program provides you with enough information to feel confident about what to expect on the day. We have provided a fenced riding area for nervous competitors to warm up in prior to entering the open competition area. This will hopefully build their confidence before entering the official arenas.

Registration and Enquiries:

All competitors must register their arrival at the office. It is imperative that you bring a hard copy of your signed waiver on the day. Students will be given a wrist band once they have checked in at the office. The waiver was sent with your entry confirmation from Nominate and has been attached with this program for your convenience. The office is located directly next to the canteen, here you can also ask questions and check class results on the noticeboard. Dressage tests and ribbons for classes will be available for collection outside this office.

Toilets: Male and female toilets are in the canteen block. These toilets utilise bore water for their plumbing. If you notice that the toilets need attention throughout the day, please notify the office next to the canteen.

Draw: • Riders must be on time for their Dressage test. These times are not flexible. If you have a significant scheduling issue with the draw, please contact the event organiser. • Your dressage draw time is a priority over your show jumping draw, please try to stick to your show jumping draw time, however, if there is a clash please slip into the show jumping ring anytime the course is open. You can discuss this with the Show Jumping Marshall. • The Show Jumping draw is a ‘move up’ draw, if we are running early and getting through the numbers quicker than expected, you will be asked to ride earlier. Please listen to the advice over the PA. • If you are riding multiple horses, you need to ensure you spread your rides over the allocated time the course is open for. Please let the Marshall know if you have multiple rides in a show jumping course. This will allow them to accommodate your requests if you need to move up the draw order.

Nervous Riders/Horses Area: There is a fenced area in which we encourage nervous riders or horses to start in. We have tried to make this close to the arena that is running the lower level dressage tests. Please limit this space to 10 horses at a time – otherwise it may become more nerve wracking than the open space! There is to be absolutely NO lunging in this space.

Gear Check: The gear check steward for the dressage events will be located near the Nervous Riders / Horses area. The gear check is only to ensure your equipment complies with EA rules. Safety is your priority and responsibility.

Dressage Arenas: All arenas are 60m x 20m in size.

Show Jumping Arena: The show jumping arenas are located directly in front of the canteen and picnic area, with the warm-up jumps on the far side of the arena. Show jumping will be marshalled strictly so please be on time.

Show jumping competitors will be able to warm up their horse in the open area before being allowed into the practice jump area. Only 4 riders will be allowed in the practice jump area at one time. 5

Practice jumps are to be jumped in the direction with the red flag on the right and the white on the left. It is important to note that EVERYONE jumps the practice jumps in the same direction. The Show Jump Marshall will also do the gear check for the show jumping upon entry to the practice jumps.

Wash Bays and Water: Water can be found at the end of both sets of yards. The yards near the canteen have concrete wash bays with hoses at each end. The yards along the driveway (near Dressage Arena 1) have a hose at the canteen end. Please note this water is bore water and is suitable for horses to drink.

We recommend you bring plenty of fresh drinking water for human consumption.

First Aid: A first aid officer will be in attendance from 8am and will remain until the completion of competition. Should you need any first aid advice you will find them located near the canteen. Any student who falls from their horse MUST report to the first aide officer for a medical check and the completion of a fall report.

Canteen: The canteen will be open all day on Saturday with all money raised going to the 2020 HVGS Vietnam Service Tour. Each year the tour uses funds to complete aid activities such as building houses for ethnic minorities or donating food and education supplies to villages.

Electricity: There is no power available on the day of the competition. All campers are asked to disconnect their power by 7am. The site has limited power supply and a trip of power could see us lose electricity for the day.

Dogs: We ask that dogs stay at home this weekend.

Safety when leaving

Richardson road can be quite busy. We strongly discourage making a right hand turn out of the gate. Please turn left out of the gate and utilise the round-a-bout 500m up the road to safely turn back in the direction you wish to travel.

Parking

Parking will be tight due to the high number of competitors. We ask that you follow the instructions of the parking attendants.

Cars without a float are asked to park in the designated areas. Please do not drive into the float parking area. If these are full, please utilise the space outside the entrance to the sports ground.

Camping

Camping has been provided for competitors who are travelling a long distance. HVGS staff will be present to welcome you on Friday.

Power:

There are only 8 available power sources. Please bring a very long extension lead as the power is not close to where you will camp. All power will need to be disconnected by 7am Saturday morning. Power will be on a first come first served basis. Please see the map for the location of power sources.

Showers:

There are two showers, one in the male toilets and another at the back of the canteen in a room between the two water tanks. Both showers are connected to tank water.

Yards:

Yards have been reserved for those who are camping. They are marked on the map, close to where you have been asked to park your float. Campers will be parked as close as possible to the amenities.

Dress / Presentation / Bridle Numbers / Rules

Dress for Horse and Rider: Competitors should wear cream or white jodhpurs with a white shirt, school tie and school jumper. It is expected that your horse will be plaited for dressage tests. You should use your school saddlecloth. If you do not have a school saddlecloth, please use a plain white saddle cloth.

Bridle Numbers: In accordance with new EA rules, all horses must have a number on both their bridle (when being ridden) and their halter (when tied at the float or being led around the grounds). This rule was introduced in 2018. Bridle numbers are easily purchased from your local saddlery. You will notice in the draw your horse has been assigned a bridle number. Your horses will use the same number for the entire day.

The Draw: All riders have been scheduled to a draw time for each event. Please look for the class you/your child have been entered in, examine the list and record your name and time. Please present to the judge at the time indicated on your draw. In the event your class is running behind schedule please look at the bridle numbers before you to determine when your time will be.

Rules: All events at the HVGS Championship Day are conducted in accordance with EA rules. Please ensure your gear complies with EA regulations. If you are unsure you may like to check with your coach or a friend who rides regularly in EA competitions.

What To Do When You Arrive

1) Park according to the instructions given by the parking attendants 2) Unload your horse and place the bridle number on their halter 3) Ensure your horse is secure with food and water 4) Present to the registration office to sign in for the day. 5) YOU MUST BRING YOUR SIGNED WAIVER THAT WAS SENT WITH YOUR ENTRY – no students can ride their horse without checking in at the registration office and submitted their waiver. Students will receive a wrist ban indicating they can ride on the day. 6) Ensure you are on time for all your events

Understanding Your Class

We recognise that we have a large number of competitors and families who are competing at an EA Interschools event for the first time. Below we have attempted to give you instructions of how your class will run on the day.

Dressage:

- Copies of all dressage tests can be found on the Dressage NSW website. It is important to familiarise yourself with the movements of your dressage test. Dressage tests changed at the start of this year – be sure you are practising the correct test. - All dressage competitors need to present for a gear check prior to EACH event. The Gear Check Marshal for Dressage will be located near the fenced area for nervous riders/horses. They will be wearing a fluro-coloured safety vest. Failure to present for a gear check will result in elimination from the event. The gear check is only to ensure your equipment complies with EA rules. Safety is your priority and responsibility. - Dressage is run to a timed draw. Please take note of your time and ensure that you are warmed up and ready to enter the arena on time. The bridle numbers will help you work out how long until you enter the arena if they are running late. - The draw tells you which dressage arena your test is being held in. Please familiarise yourself with the arena location prior to your test time. - Once the person before you has finished their test, give the judge a little bit of time to write their final comments and scores. A nice lap of the arena in trot is usually a good amount of time. - When it is your time, present to the judge’s car. They will be parked on the centreline at ‘C’. Tell them these details in order: o Bridle Number o Competitor’s Name o Horse’s name - Always be polite to the judge and even if you’re a bit worried, try to smile. - The judge will usually give you a ‘toot’ as you ride down the arena to the entry at ‘A’ this signifies they are ready for you to enter the arena and begin your test. - CALLERS ARE ALLOWED for pure dressage classes. They can only call what is on the test, they are not allowed to give additional instructions or coach. A caller is someone who stands at the side of the arena and calls each movement of the test as you are about to do it. This prevents you from getting lost during the test. - When you finish your test it’s always nice to give your horse a big pat for their efforts. - Take a direct route out of the arena. Common practice to finish a test is: o Halt o Immobilise o Salute o Give your horse a pat o Walk on a long rein on a half 10m circle to the arena wall o Then, walk on the diagonal toward the exit at A. o Always leave the arena at a walk on a long rein. - At the completion of your class, tests will be placed in folders outside the registration office near the canteen for your collection. Class results will also be posted on the notice board. - Individuals who have placed in that class will have a ribbon stapled to their test

- Champions at each level of dressage will be awarded at the presentation at the conclusion of the day

Show Jumping:

- Show jumping courses will be posted at the entry to the ring on the day. These will be slightly different for each height class. - Time is allocated to walk the show jumping course and familiarise yourself with the course. People who are on first in their class will need to bring their horse saddled with them ready to get on directly after walking the course. Please bring someone who can hold your horse while you walk the course as your horse is not allowed to see the jumps until they are trotting up to them - All show jumps are numbered and are to be jumped in numerical order. - The numbers are always at the front of the jump (ie facing the direction you will be coming from) - There are over 200 horses to get through the show jumping arena in one day. This is a HUGE number. Please help all officials by keeping on time and understanding what you need to do and where you need to go. - Competitors can warm up their horse on the flat area in the open warm up area before entering the practice jump area. - The practice jump area will be strictly marshalled to ensure that it is safe for all riders and horses. Only 5 horses will be permitted in the area at a time. - All competitors will have a gear check as they enter the practice jump area, this is only to ensure your equipment complies with EA rules. Safety is your priority and responsibility. - Once in the practice area you will enter the gate into the main arena as the horse before you is jumping their final jumps. Walk up toward the judge’s tent and present yourself to the judge stating: o Your bridle number o Competitor’s Name o Horse’s name - The judge will wish you good luck and then ring a bell to indicate you can start your round. From the time of the bell you have 45seconds to go through the start flags. Try to maintain a smile and say thank you – even if you are really nervous! - After this move into a trot or canter and approach the start line – keeping the red on your right and the white on your left. - In the unfortunate event you have a number of refusals and are eliminated, a bell will sound and you will be asked to leave the arena. - At the completion of your round move directly to the exit gate, this will be close to the entrance of the practise jumps. Make sure your horse is back to a walk BEFORE you get to the exit gate. It is unsafe to proceed through an entry or exit gate at anything more than a walk. - In show jumping you are penalised each time you knock a rail. It is only when you jump clear that time becomes a factor. - Please ensure that you ride at a safe and controllable pace according to your skill level at all times.

Super Two Phase (changed from AM7 to give students a longer ride if they knock a fence in the first phase) - The course will be posted on the arena on the day, and time will be allocated for course walking. Each height class will have a slightly different course.

- Conducted under EA Rules, Art. 274.5.6, with the first phase NOT against the clock but with a time allowed, and the second phase AGAINST the clock. - Competitors complete the ENTIRE course [unless eliminated] and placings are determined with the penalties for both phases and time in the second phase to determine placings. - Winners will be announced at the completion of each show jumping class. Competitors can collect their ribbons from the judge’s tent.

Table A – A2 - The course will be posted on the arena on the day, and time will be allocated for course walking. - Conducted under EA Rules, Art. 238.2.1. - One round competition AGAINST the clock. Competitors with equalities of penalties for any place are placed in accordance with their time taken to complete the round. - Winners will be announced at the completion of each show jumping class. Competitors can collect their ribbons from the judge’s tent.

Combined Training: - Combined Training is a shortened version of a Horse Trials or Eventing competition. In a Combined Training competition, the competitor completes a dressage test and a show jumping round. - Dressage tests are completed first. The percentage of the dressage test is turned into a penalties score. For example - you scored 70% in the dressage, which means you will receive 30 penalties (the points you did not obtain in the test). - You will then do your show jumping round. Earning 4 penalties for any poles you knock down. These penalties will also be added to your dressage penalties to give your overall score. - In show jumping you also need to be under the optimum time - if you are a little slow you may get some time penalties also. - The course and optimum time will be posted on the arena on the day, and time will be allocated for course walking, see the draw. - In a CT class, it is the lowest score that wins. - Each phase of the Combined Training Competition runs in the similar manner described for the individual classes above, with a few exceptions: o No whips are allowed in the dressage o No callers are allowed in the dressage o In the show jumping, you only need to be under the time allowed, there are no points for being the fastest on the day. - At the completion of the event, results will be posted at the registration office with ribbons for 1st – 6th place to be handed out at the presentation ceremony at the end of the day. - The best placed primary and secondary rider will also get a medallion at the presentation assembly. This will be the competitor with the lowest penalties across the three secondary or primary classes.

Scoring

Show jumping height and Dressage level Champions

Class champions will be awarded with medallions in the presentation at the conclusion of the day. Scoring for class champions (show jumping and dressage) will be based on the following system:

Students will use points to gain the champion or reserve champion title at each level of dressage or show jumping.

For example:

Primary Student 1 Primary Student 2 Prep A result = 1st, which is 6 points Prep A result = 2nd, which is 5 points Prep B result = 6th, which is 1 point Prep B result = 2nd, which is 5 points Total is 7 points. Total is 10 points

Therefore, Student 2 is the Prep Dressage Champion for the Primary Division. To be eligible for the overall equestrian champion and reserve champion you need to have competed in both show jumping and dressage classes.

Overall Discipline Champions

The best performed students in each discipline will be awarded in both primary and secondary divisions. Discipline champions will be awarded with trophies and $20 gift cards.

The showjumping champion will have the highest points across a possible 4 showjumping rounds. In the event of a tie, this will be counted back to the fastest round in the A2, based on the time allowed for that course.

The Dressage champion will have the highest points across a possible 3 dressage tests. In the event of a tie, this will be counted back to the highest percentage scored in a test.

The Combined Training Champion will be the competitor with the lowest penalties across the three secondary or primary classes. In the event of a tie, this will be counted back to the fastest, clear show jumping round.

The overall Equestrian Champions

The person with the highest points will be the overall Equestrian Champion or Reserve Champion on the day. They must have competed in both dressage and jumping events. In the case of a tie, the person who competed in the higher-level classes will win. There will be an Equestrian Champion and Reserve Champion for the Primary and Secondary divisions. Champions and reserve champions, will be awarded with trophies and gift certificates in the presentation at the conclusion of the day. 13

As combined training requires students to have competed in two events to gain their place, and could therefore only enter in 3 other classes, the combined training places will be worth double points, as seen in the table below.

Presentation

Presentations for all level champions and the overall Equestrian Champions will be held at the completion of the competition. We are hoping to commence at 4.30pm in front of the canteen/office. NO prizes will be given to competitors prior to the presentation ceremony. If you can’t stay for the presentation, envelopes will be available at the office. If you write your address on the front and leave $2 inside the envelope your prize/dressage test can be posted to you.

Photography

GeoSnapShot will be in attendance to capture all the action! High resolution images will be available to purchase online within a couple of days of the event, when live the link will be placed on our facebook event page. There will be two photographers, one in the show jumping arena and the other covering the dressage.

If you would specifically like your dressage captured, identify the GeoSnapShot photographer and let them know you time and arena, I’m sure they will do the best they can to capture the rider on the day!
