The Guide is indexed, and is keyword-searchable in its electronic form, enabling users to identify collections that may hold sources of relevance to their research. Detailed finding aids exist for most collections and these may be consulted in the Special Collections reading room or in the on-line database of archival finding aids, Access to Memory, AtoM@UCT (see below). In most cases, electronic versions of the finding aids can be e-mailed to users at their request. These detailed finding aids will enable users to identify and request access to specific archival material on the basis of the references they contain. Structure of the Guide to the Manuscripts The first field in each entry indicates whether the material is kept on site or in off-site archival storage. In the latter case, advance notice of a visit to consult the material is essential. The term “manuscript” is used to denote the type of material in all the entries in the Guide meaning that the bulk of the material comprises original, unpublished primary sources, whether handwritten or typescript, photographic, microform, or electronic in format. The entries are arranged sequentially on the basis of their unique collection identifiers. The meanings of the codes in identifiers are as follows: BC manuscript or archival collection, often comprising a substantial volume of material BCS a single manuscript or archival item that does not form part of a collection BCZA microfilm collection BCZB microfiche collection TPA manuscript collection of composers’ music scores The remaining fields contain the title of the collection or item; the period it covers; where applicable, the name of the donor, its physical extent, whether a detailed finding aid (list) is available, and if access restrictions apply; and a brief description of the contents. The manuscript and archival holdings of Special Collections Special Collections houses some 1 500 discrete archival collections, consisting of original research material relating to the political, social, cultural and economic history of Southern Africa, with a strong focus on the Western Cape. Collections deal with a wide range of subjects, including art, music, education, literature and language, botany, politics and architecture, and include records in all media. Collections include the personal papers of prominent people, or whose papers constitute an important record of Southern African social history; the papers of communities not strongly represented in archives; corporate papers from non-governmental organisations, iii companies or institutions; the personal and research papers of UCT academics; non- administrative records relating to the history of UCT; architectural collections of leading South African architects; papers and record books of ethnic and religious communities and papers of individuals prominent in such communities; manuscript music scores and personal papers of South African composers; papers relating to labour and trade, and the records of labour unions; the oral history of South Africa; papers and other materials associated with important social, historical, or cultural issues or movements. A Visual Archives component comprising a significant volume of photographic and film material has been developed in recent years. This material is not reflected in the Guide to the Manuscripts but some information about it and selected digitised material may be accessed in the sites mentioned below. (Note: UCT has a separate Administrative Archives which holds the university’s official administrative records. Accessing and using the manuscript and archival holdings of Special Collections The holdings are accessible to any bona fide researcher or user, whether connected to UCT or not. External users are requested to complete a registration form on their first visit. No fee is payable to consult material. The reading room of Special Collections is situated in the historic Jagger Library on UCT’s Upper Campus and is accessed from University Avenue immediate left (south) of Jameson Hall, when facing the Hall. Please see block C5 on the map at https://www.uct.ac.za/usr/downloads/uct.ac.za/contact/campusmaps/uctuppercampus.jp g Directions regarding temporary parking for visitors may be obtained from the Information Centre (block E10 on the map) and visitors’ parking discs may be purchased at the Traffic Office (block B2 on the map). Users may seek guidance on sources and procedures at the Information Desk in the reading room. Users should complete a manuscripts request slip indicating the references of the relevant material based on the finding aids. Some material is kept in off-site archival storage (as indicated in this Guide) and advance notice of a visit to consult such material is essential. In a small number of cases, donors may have placed a restriction on access to some material, e.g. requiring it to be kept closed until a specified date. The provisions of the Protection of Personal Information Act may also require certain procedures to be followed before access may be given to documents containing personal information of third parties. Users may use their own digital cameras to make copies of archival documents subject to signing an agreement that the copies are to be used only for personal reference and research purposes. Photocopies or scans of selected material may also be ordered. The Special Collections reading room also provides user access to the extensive African Studies Library of published material, and the Rare Books Collection. The holdings of these libraries may be searched in UCT Libraries’ on-line catalogue at http://www.lib.uct.ac.za under Search & Find > Catalogue. A search may be restricted to the location African Studies Library. iv On-line access to information, finding aids and archival material General information about Special Collections and some useful Digital Resources are accessible on the Special Collections page at http://www.specialcollections.uct.ac.za A PDF version of this Guide may be downloaded from this site by following the links Collections > Manuscripts. Many of the archival finding aids are contained in the on-line database of finding aids Access to Memory, AtoM@UCT, which is accessed at http://www.atom.lib.uct.ac.za Where information on particular collections is not yet contained in AtoM@UCT, users may enquire whether off-line finding aids could be sent to them by e-mail. Selected archival material has been digitised and can be accessed on-line at http://www.digitalcollections.lib.uct.ac.za Origins of the Guide to the Manuscripts at UCT Libraries In its current format, the Guide to the Manuscripts in UCT Libraries was originally prepared in the late 1970s as UCT Libraries’ contribution the National Register of Manuscripts (NAREM) maintained by the National Archives to provide a central point of access to information on non-public archival collections in South Africa. The fields in each entry were prescribed to enable on-line access in a database. The Guide was regularly updated for that purpose and in print form, but the National Archives has not maintained NAREM for a considerable period. Some of the contents of the Guide and those of other archival repositories may still be searched on-line in the MAN database of the National Automated Archival Information Retrieval System (NAAIRS) at http://www.national.archives.gov.za. (Note: The National Archives is currently migrating its own NAAIRS databases which are to be accessed on the new site http://www.nationalarchives.gov.za.)
