Campgrounds Thursday, June 21 2018 – Sunday, June 24, 2018 #BuildingCharacter2BCHOSEN! #AECPAGoodSamaritan Dear Pathfinders, We are excited for another Pathfinder Fair where our youth have the opportunity to showcase all the skills they have learned over the past year(s) as well as share how this year’s emphasis impacted their lives and their community. Of course, we hope they have fun too together as well as meeting new friends. This year’s team was a collaboration of members of the Executive Committee as well as young adults across our conference. Please remember, they are competing with the standard not each other. See this year’s scoring format below: Mandatory Events 50 possible points - Campsite Inspection • Passing is a requirement for Honor Club. 100 possible points – Parade 200 possible points - Theme/Emphasis (1) • Top (3) Theme/Emphasis presentations will earn 50 bonus points Skills Events2 400 possible points - Amazing Race 200 possible points - Drill Skills Event3 200 possible points - Fire Building Skills Event 200 possible points - First Aid/CPR Skills Event 200 possible points - Knot Skills Event 200 possible points - Orienteering Skills Event 200 possible points - Pack, Pitch & Strike Skills Event • 1400 Maximum Skills Events Points Allowed • You must choose either the Amazing Race and (4) other skills events OR chose to not participate in the Amazing Race and do all of the (6) 200 point skills events • The Amazing Race is still a cash prized skills event. • NOTE: Once any of these skill events begin, COACHING is NOT allowed. Coaching is an Automatic Disqualification for that skills event. Please make sure your whole staff know this rule. We understand parents will be just as excited as you, so we do encourage cheering. Just make sure they understand the disciplinary action for coaching them once they begin. Let them concentrate. They got it! Bonus Events 50 possible points - Color Guards • Each club who participates in the area runoff and scores 90% or higher of the total points will receive 50 bonus points Fun Events Honors 3-on-3 Basketball Field Activities Swimming Drum Exhibition4 Sales Mall 1 New Presentation Format. This replaces the traditional Booth & Float Events. Please read NEW guidelines carefully. 2 To receive Fair credit for Honor Club, you must participate in a minimum of (3) skills events and the Mandatory Events 3 New this year, YOU choose if you want to do Basic, Advanced or Fancy drills. Please see this section for the differences. 4 Drum Corp Competition will be Exhibition this year, but there will still be the People’s Choice Award & Best Dressed Award. #BuildingCharacter2BCHOSEN! #AECPAGoodSamaritan The AEC Fair Registration will begin on February 15th and end on April 15th. We do not plan to extend the deadline, so please start now to discuss the events with your club as well as the costs with your Treasurer/Church Board. As we voted at the constituency meeting, the fair will be $15 per person. Your total camping space will be contingent on the amount of paid participants. The $15 per person will include Fair participation, Camping, and Fair patch. Payment options are either online (visitaec.org/pathfinders) or via church check/money order payable to AEC Youth Ministries Note: Pathfinder Fair on the memo line of the check. Checks must be postmarked no later than Monday, April 23, 2018. CAMPSITE SETUP: Clubs are able to start arriving on Thursday after 1pm. We are excited to offer honors on Thursday from 4pm – 8pm for clubs who come arrive early and are looking for a constructive activity for their youth. Also on Friday 5pm – 7pm. Pre-Registration is required. If you cannot arrive in time to finish setting-up by 10:30pm on Thursday, we encourage you to arrive as early as 5:30am on Friday so that we do not disturb others on the campground. Thursday Night curfew is 11pm. FRIDAY FUN ACTIVITIES: On Friday, there will be several fun activities going on simultaneously between 8am – 12pm. The field activities are open to all. To encourage participation, the pool will only be open on from 11am-12pm and 5pm-6pm. Please adhere to the rules and dress code. No bikinis, no speedos and no street clothes are allowed in the pool. For 3-on-3 basketball, we know the team players may change. To keep registration simple, on the registration sheet, we only need to know how many teams are participating in the (2) age groups: 10-12 and 13-15. Please make sure your participants are within those age groups. Anyone entering the gym are expected to follow the rules of the gym. No food nor liquids are allowed in the gym. Only sneakers are allowed on the court. All teams must be present at 8am. If you know your club is not arriving on Thursday, please do not sign up for basketball. PARADE: We are excited about moving the parade to Sabbath Afternoon. This will give our church family the best opportunity to see our sharp Pathfinders parade in proper alignment. To make this successful, we will need your cooperation. So please make sure you listen to the AEC Drill Coordinator’s instructions for roll call, then uniform inspection, then line up for the parade. We anticipate cars still in the field, so we expect all clubs to be ready for instructions based on the current situation. We truly get to test out the purpose of drilling and marching. We will be parading after lunch, so please plan accordingly and HYDRATE them with water and not juice during their meal. We do not want anyone to pass out during the parade. This move will allow us all to have less stress on Sunday giving clubs ample time to do their drill event, fellowship at the Sales Mall and then breakdown. We will keep you abreast on if there will be a Community Service event that afternoon. If AEC has one, we encourage you to join them. VOLUNTEERS: Volunteers are always welcomed. If you know someone who is interested in helping out for a specific event, please have him or her complete the form in the back of this packet. SCHEDULE: The next page will display the schedule. This is tentative. The final schedule will not be released until June due to the new format for the Theme/Emphasis presentations. We will need to strategically plan to highlight each club throughout the weekend. AWARDS: Please note that Drum Corp awards will be presented at the completion of the Exhibition. The Danny Davis Award, Area Coordinator’s Award, & Amazing Race winner will be presented at the end of drill competition on Sunday fair day. 1st, 2nd and 3rd Place Awards, Director’s Award, and Color Guard winner will be presented during the announcement segment 2nd Sabbath at the Youth Tent. Honor & Banner Clubs and Executive Coordinator will be presented at Fall Training. We hope you like the new changes or enhancements to AEC Fair 2018.
