Ajapeu Lodge 2 Order of the Arrow Candidacy Procedures for Lodge Offices The following rules govern Arrowmen who elect to run for lodge office: 1) The officer candidate shall obtain the endorsement of the candidate’s unit leader and, if under 18 at the time of election, his parent or guardian. Note: Email approval from the unit leader and/or parent submitted to [email protected] will be accepted provided it contains the language provided on the form. Email approvals may be confirmed by a follow-up phone call. 2) The candidate must be under the age of 21 for the entire term of office and be a dues- paid member of the lodge. 3) Candidates must meet with the Lodge Adviser prior to nomination to discuss their candidacy and the requirements of the office. In addition, the following requirements will be in effect for those running for Lodge Chief or Lodge First Vice Chief: 4) Candidates for Lodge Chief shall have been in the Order of the Arrow for at least one (1) year. 5) Candidates for Lodge Chief and Lodge First Vice Chief shall obtain 10 signatures from the voting membership of the lodge to endorse their presence on the ballot. All nominees must use the enclosed Declaration of Candidacy to complete this process. Under no circumstances will candidates be eligible for nomination without a completed Declaration of Candidacy form. Candidates may elect to run for more than one office during the nomination and election process. However, if a candidate is elected to an office before the voting process has completed, the candidate will be stricken from the ballot for any offices remaining. Lodge officers assume their positions immediately upon election, and are elected to one- year terms. All completed declarations of candidacy for lodge officer elections must be received no later than two (2) Wednesdays prior to the Fall Fellowship Weekend. Lodge Officer Position Descriptions Lodge Chief: Serves as the top youth leader of the lodge. Presides over Lodge Business Meetings and the meetings of the Lodge Executive Committee. Attends Ordeals, the annual banquet, and all other lodge functions. Oversees the operations of the lodge. Appoints all youth committee chairmen. Works in tandem and maintains strong communication with the Lodge Adviser and Lodge Staff Adviser. Serves as a voting member of the Washington Crossing Council Camping Committee. Delivers a written lodge report to the Council President and Scout Executive. If appointed by the Council President, serves as one of two youth representatives to, and voting members of, the Washington Crossing Council Executive Board. Attends meetings and serves as a voting member of the Section Council of Chiefs. Represents the Lodge and Scouting at all levels of the organization. Wears the uniform correctly. (The Lodge Chief is the only lodge officer authorized to wear silver shoulder loops, only with a Council Committee or Council Executive Board position patch, and only in the course of his duties as Lodge Chief.) Lodge 1st, 2nd, and 3rd Vice Chiefs: Assist the Lodge Chief in all aspects of his duties. Regularly attend lodge functions. Preside over Lodge Business Meetings and meetings of the Lodge Executive Committee in the absence of the Lodge Chief. Attend meetings of the Washington Crossing Council Camping Committee in the place of the Lodge Chief. Attend meetings of the Section Council of Chiefs in the absence of the Lodge Chief as a voting member. Provide assistance to and supervise the committees and chapters as necessary. Assist the Lodge Chief in the development of program. Wear the uniform correctly. (In cases of filling in for the Lodge Chief, the Lodge 1st Vice Chief will serve ahead of the Lodge 2nd Vice Chief, etc.) Lodge Secretary: Regularly attend lodge functions. Takes minutes at Lodge Business Meetings. Takes minutes at the meetings of the Lodge Executive Committee. In the absence of the Lodge Chief and Lodge Vice Chiefs, serves as a voting member of the Washington Crossing Council Camping Committee and the Section Council of Chiefs. Ensures accurate information is published on the lodge website. Serves as the official custodian of lodge membership and non-financial records. Serves as the official custodian of award nominations. Wears the uniform correctly. Lodge Treasurer: Regularly attend lodge functions. Maintains accurate accounting of all financial records of the lodge. Maintains all financial records of the lodge. Procures the annual lodge budget. Endorses all expenses made against the lodge financial account. Provides an accurate accounting of all financial accounts of the lodge to the Lodge Executive Committee as well as on-demand accounting to the Lodge Chief or Lodge Adviser. Works with the Washington Crossing Council Accountant to ensure all finances are held in accordance with the accounting and auditing procedures of the Washington Crossing Council. In the absence of the Lodge Chief, Lodge Vice Chiefs, and Lodge Secretary, serves as a voting member of the Washington Crossing Council Camping Committee and the Section Council of Chiefs.
