Dear Sir & Madam, Thank you for your inquiry and consideration of our venue for your forthcoming event! The Royal Hotel opened in 1857 and is a historic building on the Mornington Peninsula. Renovations begun in 2012 to restore this ageing building, to its former glory. Less than an hour from Melbourne, the hotel is located across from Royal Beach, Schnapper Point and Mornington Park. From The Royal Hotel you can enjoy spectacular bay views, the perfect backdrop for your event! In the following package we have provided you with sample menus to give you an idea on pricing, style of food and dining options available. Please use this as a starting point, as we are more than happy to design a food and beverage offering to best suit you. Beverages can be charged on a consumption basis or at a package rate. The Royal Hotel is a large venue, which can accommodate for events of varying sizes. The Victoriana Room holds up to 100pax sit down and 150 pax stand up. However, if you require more space for a larger number, you can book the restaurant area which seats a further 150 pax inside and 40 pax outside. Total capacity for a stand up event is 300+ using both the Victoriana Room, the restaurant and verandah. The tavern offers a space for groups 20-80pax and is great for lower budget functions. See ‘Tavern Package’ for more details. Parking need not be a problem as we have a private carpark with 90 carspaces in addition to street parking on the Esplanade. We also have spectacular accommodation available. This includes two deluxe suites and three standard rooms. All with bay views, ensuite and balcony. Wines are subject to change, please contact for current list prior to event RESERVATION TERMS & CONDITIONS These terms and conditions together with the Event Order, govern the hiring of The Royal Hotel and the provision of food & beverages to the person specified in the Event Order. 1. Catering services The Royal Hotel hold the appropriate liquor licence. The Client & their guests are not permitted to provide food without prior notice. If The Royal Hotel is unable to provide the agreed menu or services due to unforeseen circumstances, The Royal Hotel reserves the right to adapt the menu or services, in consultation with the Client. The prices listed with the menus are current at the time of quotation & are subject to change effective from 1st July each year. 2. Confirmation A booking will be considered tentative, pending receipt of a deposit. Final numbers of guests must be advised to The Royal Hotel at least (7) days prior to the date of the function. If within 7 days prior to the function the expected attendance reduces, the Client will be liable to pay 100% of food costs and service charges applicable to the number of guests by which the attendance numbers were confirmed. If a Client needs to change the date of the function, The Royal Hotel will deem this as a cancellation. Attempts to roll over the function date are subject to availability. 3. Final Details Menu selections and service details are to be finalised (14) days prior to the event. Final number of guests attending must be confirmed to The Royal Hotel 12.00 noon (7) days prior to the event. A minimum spend applies to all functions. 4. Payment and deposit The Client must forward a non-refundable deposit of the following amount: Victoriana Room: $500 Tavern: $250 Bistro: $10 per person This amount is deducted from the bill total. EFT is accepted when funds are received (5) working days prior to the function date. Cheques are only accepted when cleared (5) working days prior to the function date. The Royal Hotel reserves the right to cancel the booking if payment is not received within the prescribed times. The Royal Hotel may set a minimum spend where exclusive use is requested from the Client. 5. Cancellation Policy In the regrettable situation that the Client cancels the reservation, written notification is required & the following fees will apply. Less than (60) days prior to function 25% of the minimum spend will be charged, less the deposit amount or whichever is greater. Less than (28) days prior to function 50% of the minimum spend will be charged, less the deposit amount or whichever is greater. Less than (7) days prior to function 100% of the minimum spend will be charged, less the deposit amount or whichever is greater. 6. Surcharges Where appropriate, the Client is responsible for Vacating The Venue At The Agreed Times. Should the Client wish to extend outside the times quoted, labour & venue charges will apply. A surcharge– priced on application will be charged on a function that is held on a declared public holiday.

7. Limit of booking In the case that the event cannot be delivered to the Client on the date booked by reason beyond control of The Royal Hotel such as fire, damage, industrial disputes, or any other reason, The Royal Hotel shall not be liable for any loss, damage or injury caused to the Client as a result of this. 8. Function services The Client may arrange entertainment, pending venue approval. The Musician Award stipulates that members must receive a meal & soft drinks during their performance. Menu prices apply. Where applicable the Client is responsible to inform the venue Manager of smoke machines, special balloon effects, pyrotechnics & special effects. Using a naked flame cannot be operated. No confetti, glitter, rice or like-products may be thrown in or outside the venue without prior permission from the venue. If the Fire Brigade responds to an alarm which has been set off by an unauthorised usage or misconduct by a person attending the function, the Client will be liable for the charges incurred. 9. Security & conduct The Royal Hotel adheres to The National Alcohol Beverage Industries Council Guidelines on the Responsible Service of Alcohol. The Royal Hotel are instructed not to serve alcohol to persons under the age of (18) years, or to guests in a state of intoxication. The Royal Hotel reserves the right to discontinue liquor service. Security may be compulsory at some events held. The Client will be responsible for any damage sustained to The Royal Hotel’s property or any other equipment or fittings which has been sourced on the Client’s behalf and will be charged for any repairs, labour or replacement. 10. Insurance The Royal Hotel maintains insurance over its own plant, equipment and chattels and has appropriate public and product liability insurance. Should the Client bring or supply any of their own items or hire items to an event, then they will be responsible for their own insurance coverage for such items. 11. General information Client deliveries to The Royal Hotel must be arranged in advance & marked with the name, date & rook of the event. The Royal Hotel will not accept any responsibility for damage or loss of merchandise left on the premises prior, during or after an event. Goods left without approval by The Royal Hotel will be deemed abandoned. Prior permission to use The Royal Hotel logo must be obtained and all proposed artwork must be authorised. Exhibition companies are responsible for transport, set up and dismantling of their own equipment in accordance to the current health and safety code. The Royal Hotel reserves the right to refuse function bookings for 18th and 21st Birthday Parties. Instead, sit-down dining is offered as an alternative. Please note: for this 18th and 21st birthday dining, there is a minimum of a two-course set menu.
