Thought Leadership Panel David Yarton: “Young people aren’t looking to own things; they’re looking for experiences”. David’s comments suggest upcoming events, especially the Commonwealth Games 2022, have to appeal to a younger generation in order to survive and keep themselves relevant within the Sports and Events market. On the issue of event hosting legacy Esther Britten said that UK Sports invests about 5 million a year in their bidding and staging of international Sports events and that funding is confirmed “all the way to 2025”. Next year they are hoping to extend this to 2029. Key message on the panel was to deliver on what they commit to! It was noted that events are becoming more expensive as they get bigger. Audiences expect newer, bigger events and shows. It is important for teams to get to grips with the rising costs related to this rise in expectation. It is important for cities to see that they are getting value for money and that these costs will be capped + efficiencies will be embraced. Esther questioned whether we follow, promoter led or international Federation based events. The UK Federation based events don’t attract high profile Sports members because “the products the International Federations have are not valuable for money or deliverables in this country”.

Access Panel Presentation Here Challenges of Sporting Venues There was unanimous agreement amongst the panel that the bombings had fundamentally changed how venues tackle security and audience safety. In the wake of the bombings and to this day, there is an increased pressure from the public and stakeholders alike. Stuart Cain of Ricoh Arena stated it’s not just about security during an event, but “24 hour security...who comes in who comes out.” Graham added: “The most important thing is that the customer has a Tom McInerney phenomenal experience, enjoys it, and goes home safely. That is the biggest change Moderator in operations”. Etherlive

An important question was raised to the panel about how they interact with Emergency Services to safeguard audiences and ensure there are action plans in place. Graham stated that there are planned meetings before every event, “for football, the highest category of police are in attendance”. They involve the football club, local authorities and businesses. Graham acknowledged that events aren’t just a challenge to the stadium or venue that hosts them, but to the wider area. “There’s a lot of pressure bringing 60,000 people here on a Saturday afternoon”, especially with Stratford - one of the busiest shopping centres in Europe - being so close by. Mixing football fans into the public domain can be tricky, so communication is key. “We have to adapt that [communication] to every event we have”. Before event day there’s a conference call that ensures everyone signs off the safety plan and risk assessment. The panel closed on a planning note: whether it’s a Spice Girls concert or a football event, all require the same level of security and professionalism.

A chance to meet leaders in the field of stadium and event management.

Carl Robinson BD Manager, Secure IT Closed Session for Sports Organisations One of the distinguishing features of the Major Events International Summits are the “closed sessions” which are run for Sports Organisations without the presence of commercial companies. This is an opportunity for them to meet each other and build cross agency relationships and share their own insights into the effective management and improvements of their areas of interest. With approximately 30 representatives for the main Summit workshop, the focus for discussion was Dennis Mills the intent, scope and core purpose of “The Portal”, a buyer / seller marketplace to CEO, Major Events support event planning and delivery due to launch in early 2020. International (MEI)

There was general consensus that this was a good initiative, in fact long-overdue, and would make a contribution to improving the way events are run through a more informed supplier directory, better communication about event organisers’ future plans, and higher assurance that the background of professional staff, who apply for key roles, can be assured. It will have a dedicated area for host cities to demonstrate their capabilities to host events of significant size or international profile together with commercial companies becoming better informed how to engage - and the nature of opportunities.

“I really enjoyed the day with the break out session about technology, opening address from Live Nation and also the American Sports panel in particular. There was quite allot in the day which was very impressive and really valuable.” Jonny Hamp Head of Events, British Triathlon ServicesFederation

“Excellent platform to engage with a larger forum for explosive management. Glad to be part of the family”

Alan Shaw Director, Locards Lessons from Past Events Steve Elworthy - about the 2019 world cup: “Who’d have thought that the word ‘super-’ would be front and centre of what people thought about the Cricket World Cup at the end of it all” Steve spoke about the ambition you attain from previous events; you learn how to work on bigger scale and he voiced there was intention to use the London Stadium in the future. Accessibility was a key factor in ensuring audiences. Partnerships with the ICC, venues, cities, ECV were essential in Peter Ward understanding what audiences and organisations wanted from the event. Moderator WeTrack “As an organisation we could have just run the world cup and it would’ve been fine, but at the end of it all, none of it would necessarily be integrated with some of the partnerships that were absolutely critical in the success of this tournament”. 40% of all attendees to the World Cup were new to Cricket. Lindsay Impett - spectators from all over the world came to view the Netball World Cup. Over 40 countries and “60% of UK spectators said they were inspired to increase their sport and active recreation after watching the event”. Lindsay received emails from the public asking about how to get involved with Netball. She also mentioned it’s “the best thing I’ve ever worked on!”. Mark Honeybunn on Operations - “it’s very important to have a team that is capable of adapting”. With this, Mark highlighted how this maximises value for stakeholders as teams can become increasingly more collaborative. Steve - “Since 2007, there’s been a lack of alignment between organisations’ commercial strategies and their event delivery strategies. Often you’ll find commercial or commercial departments selling a whole load of other sponsorship rights or broadcast rights because they’re looking at it from a commercial lens, but not really understanding the impact of some of those agreements and the rights within those agreements that have an impact on the ground”.

“Just keep doing what you guys are doing”

Mike Wainwright Head of Partnerships, AFEX Overview of Future UK Sporting Events John, from UK Sports, talked about the future of UK events and noted that the wealth of large events are spread all the way to 2033 with a geographical spread across many regions. Events costs are rising by 11% a year, with public funding levels dropping. In May 2020, a skateboarding championship will be taking place in the UK. This is seen as a real opportunity to access new “young” markets. It’s a “challenge John Muddeman for the established sports to modernise their offer to markets that haven’t been Moderator established yet. There’s an increase in focussing on ethical and social issues such as UK Sport equal pay.”

Chris Bryant offered some insight into UEFA Euro 2020: • It’s a celebration of 60 years of Euro football • 3 Million tickets will be sold • Likelyhood of 5 billion television viewers • 15 matches in 12 host cities • 31 days of competition

In preparation of the 2020 matches, a new broadcast compound and bridge is being built at , highlighting the inward investment. Further improvements include LED foodlights, sound system, fibre reinforced pitch, reconfigured changing rooms for privacy. During 2020, there will be 2000 volunteers across the city. The teams will be supported by 8 hotels, 6 training grounds in and around London. They will operate 17 charter flights and 200 helicopter movements. In terms of government support, they’ve had some huge successes and have been guaranteed: tax exemption, custom exemption, event safety & security, support for visa and work permits, anti doping and dedicated radio frequencies. Jonny’s aim is to continue to host an annual elite competition for individuals and mixed relays at level. He wants to ensure gender equality and see women compete alongside men. Jonny wants to continue to grow Tri through innovative and inclusive programs and events to remove barriers and “connect people’.

Access Panel Presentation - Click Here Growth of US Sports in UK Hussain Naqi: “only 4% of attendees at US Sports events in the UK are US expats, 10% German and the majority of the rest are UK Citizens”. He is “pleased with the trajectory of ticket sales”, especially as there’s a more diverse balance in terms of gender, which proves there’s demand across the board in an emerging market. North American sports can be seen as a huge rival to UK Sports; there is more money for its presentation and players and thus an ability to attract talent. Kelham: Josh Philpot the first ever game took place in the this Moderator year (Boston Redsox, vs ) and was a “huge success”. PMY

MLB are committed to coming back next year. There is a large fanbase of baseball within Europe and a demand for people to watch the games in person. There has been renewed interest into looking at Wembley Stadium as a baseball field, but there needs to be an efficient way to build up a baseball field that will not shut down the stadium for a whole month. There are challenges in the UK’s Sport and Events infrastructure being able to support North American games. Hussain mentioned that the NFL is a “full day experience” and that the footprint created by these games heightens the lack of available space within the UK to enable this experience. Elements such as no large car parks at Wembley Stadium. There is obviously a need to catch up with our American counterparts as they are offering more than just sport. Hussain: “Fans miss the tailgate, the food and beverage experience, the interactive engagement with sponsors, those are the things that resonate with NFL fans”.

“Really interesting and insightful inputs from the heads of large scale sporting events including Cricket World Cup, Netball and Triathlon.”

Dan Humphreys Pan London Sporting Events Unit, Met Police Industry Specific Workshop Feedback

Safety & Security Technology & Fan Enagegment Tender: Strategy Planning: • Early engagement key once again – Safety and • Early engagement needed Security is often left late in the tendering process • Individuality of an event is fine – however, this Relationship Management: should not lead to it undermine the core • Often changes in the organising committees product offered for the events – thus there is no longevity • Someone from a tech background in the (Suggested Improvement working with one organising/planning team would be beneficial member of the organising committee throughout Tender: to implement) • More lead time = cost efficiency Responsibility & Accountability: • Flexibility is needed from event planners across the • Information sharing would be beneficial tendering process Delivery: • Overlapping of tenders sometimes occurs – scope of a tender is important • Event management is key – changes to delivery will increase costs Legacy: • Use of data collected can be used for not for profit/ charitable causes • Engaging city wide stakeholders early will improve legacy

Overlay & Infrastructure Event Services Design: Tender: • Design freeze needed earlier – this will lower costs • There is an optimum time to engage Tender: • Possibly offer the chance to jointly respond to • Stakeholders should be involved before the tenders procurement process goes out • The cheapest solution is not always necessarily • Commonwealth Games Federation – this kind of the best value initiative is a move in the right direction • Could a multi-games approach be implemented • Ask for solutions – allow for creativity with tender to maintain standards? Brand: Delivery: • Consistency is key – this can improve the fluidity • Clear programme and project management of the tendering process (e.g. Ryder Cup has similar schedules can reduce costs needs for each event no matter what location) • Collaboration – Expertise sharing from suppliers should improve • Accreditation consistency across event organisers is needed • Too many people can be involved in the decision-making process – this makes the process longer and costs higher • Value proposition is key – fans vs spectators (knowing your audience e.g. football fans vs one-time Olympic spectators) Other Useful Information:
