I ended up in librarianship after a first career in software development. My favorite part of that job was organizing information, so when I went looking for a graduate degree, the MLIS was the clear choice. My first library job was in the newspapers department at Chicago ’s Harold Washington Library Center, followed by the Literature & Language department there. I made a move to administration when I joined Fox River Valley Public Library District as Assistant Director, and then took my current position as Fox River Grove Memorial Library’s director when, as luck would have it, the spot opened just a few weeks after I moved to town in 2016. Fox River Grove is a small community; our library district has about 4,200 residents. Even so, we have active and loyal patrons of all ages taking advantage of our full spectrum of library services, including print and digital materials, storytimes and Summer Reading Club, meeting space, and a variety of in-house and circulating technology devices. If you’re ever in town for the world-renowned Norge Ski Club ski jump competitions, stop by and say hello! Creating an Intranet I started working with intranets in the year 2000 when I was working at a software company. I used HTML to create a 1000-page intranet accessible to all staff on a shared drive. I’ve never stopped proselytizing for intranets and their life-changing effect on disseminating information to a large staff. If you are considering implementing an intranet at your library, the first question to ask is: why? At our library, the first three reasons why were: (1) staff needed to access blank timesheets anywhere, at any time, (2) with a large number of substitute staff members rotating in and out of the library, we needed consistent access to training documentation and procedures, and (3) Youth Services had several years’ worth of images saved on a local hard drive that other staff needed to access. See the theme? It’s all about access — library staff need to be able to share and access each other’s information, and intranets address that need. These three examples alone were enough to make it a worthwhile investment of time and energy. You’ve answered why. Next question: what platform should we use? There are many available, some free and some very expensive, some hosted by cloud servers, some hosted locally. You’ll need to review your budget and IT landscape to address those elements locally. Universally, though, you can answer that question by answering this one: what will be easiest to get started? Whether you like SharePoint, Google Suite, HTML, or some other option, what you CAN do and what you and your staff WILL be able to maintain is the single most important factor when narrowing platforms. Final question to consider: how do we keep this thing from going out of date? Bad news first: a neglected intranet is a useless intranet, and if you get one and don’t maintain it, you’ve wasted valuable resources. Good news: it’s easy to set a few simple practices to keep an intranet vital. (1) Have something necessary for all staff that is only accessible via intranet. (2) Use the intranet to train new staff and review its contents before showing it off. (3) If your intranet has a newsfeed (like SharePoint does), copy your all-staff emails into the newsfeed. It’s a great way to gather the “general knowledge” of the library into a place that will be accessible and easily searched for staff who join the organization after an email would have gone out. Good luck and have fun — once a staff embraces an intranet, you’ll wonder how you ever lived without it!
