1 Getting around

1.1 Page layout

1.2 Navigation

Page navigation consists of 3 parts: • public intranet • staff intranet • student intranet

Users that are not logged into the system, can access the public part of the system only. Students (users with login in students group) can access public and student intranet (unavailable for employees). Staff (users with login in staff group ) can access public and staff intranet (unavailable for students).

1.3 Logging into system

Users log into the system using the form located on the upper right side of the page:

Student homepage (after successful login) is Student intranet, and for employees is Staff intranet. On this page users can their view their subscribed content (see Subscriptions chap. 9).

2 News

2.1 News layout

Portlet News is one of the crucial parts of the CMS system. News are used to inform users about new events and activities.

News consists of the following parts: • title • lead image • lead • content

Lead is a short abstract of news shown on the main portlet. By clicking on More link, the whole content is shown on the page.

News also show author information, date and time of publishing and the date and time last edit (if occurred). If allowed, users can post their comments using Add Comment link which is located on the lower right side of the news. Number beside the comment link states how many comments has the news received so far.

News author can choose from various options like: • image links • detailed news content • keywords (for search compatibility) • news status (visible, invisible, suggested or archived) • news priority • enable news commenting • visibility time

2.2 Who can publish news?

Users with AUTHOR permissions can publish news instantly, as opposed to users with WRITE permissions, who have to wait for authorization by the administrators of the page (users with ADMIN permissions).

2.3 How to publish news?

To publish news on the page, after logging into the system, users click on the New news link under the title NEWS.

Similarly, users with WRITE permission click on the Suggest news under the title NEWS.

Alternatively, users can right-click the title of any exiting news, and from the dropdown menu select an option New news .

This is the preview of the form for publishing new news. There are two tabs that can be selected: Change , the tab for typing and editing of the news, and the Preview tab, where users can preview their new news layout without publishing them first.

Users type title of the news in the Title box. Lead image is a small image that is published beside the Lead text of the news. Supported image formats are: BMP, GIF, PNG and JPG . Default image size is 200x200px , and system will resize all larger images to default size (keeping width/height ratio constant). Maximum size of image uploaded is 30kB , so the system will reject all images larger than maximum size. System does not support transparent backgrounds (it converts it to black color), so it is advised to reedit those images in a graphic editing program.

Layout of the field Lead is designed like a simple text editor.

Users can use bold and italic text formatting, numbered and unnumbered lists, and the copy/paste functionality, as like in any other text editor. By clicking the button, users can insert URL or an email address link:

Beside Lead , users can choose Detailed news content for their news.

By choosing Show news content instead of lead, the news content will be shown on portlet, and by clicking More, the Lead and the Content will be shown.

Content layout is more advanced text editor, which beside standard options equal to Lead text editor, has some advanced options like inserting tables, Flash objects, smileys, special characters, HTML code input, advanced text formatting, etc.

Users can insert the image by clicking the image button. Images from server can be inserted by clicking the button Pretraži server . If necessary, users can upload the image to server by clicking Upload a new file in this folder .

Additional options can be altered for the news:

• Keywords: list of comma separated keywords for search compatibility • Enable news commenting • News status: news can be: • Visible • Invisible • Suggested • Archived • Set visibility time: sets a period when the news will be shown • Suggest news also on pages: if users want to publish the same news on additional pages, it can be done by choosing the following pages from the list

Number of additional options varies for the pages where publishing and for the different user permissions.

News are published by pressing Finish button on the bottom of the form (all changes are lost by pressing Cancel ), and a message is displayed on the portlet, depending on if the portlet encountered an error or the news has been successfully published.

2.4 How to edit news?

Users can edit their messages by clicking Edit under the news. Users with AUTHOR permission can edit their own news opposed to users with ADMIN permission that can edit all news.

Alternatively, news can be edited by right-clicking the title of the message and selecting Edit from the dropdown menu.

2.5 How to administrate news? (ADMIN users only)

Users with ADMIN permissions can administrate news by clicking Administration on the top of the news list.

On the top of the form, user can select what kind of news by status will be displayed for administrating.

Users can sort news by any column, edit the priority (1-10) and status (visible, invisible, suggested, archived) for each news from the table.

Changes are saved by clicking on the Save Changes button under the table.

Users can exit the administration form by clicking Return on the top of the page.

Right-clicking on the news from the table, users can edit or delete the selected news.

Alternatively, users can administrate news by right-clicking the news title on the portlet and selecting one of the administrating options.

2.6 How to view archived messages?

Users can view archived news by clicking Archive at the bottom of the portlet.

The news table is similar to the Administrating table. Users can view archived news by clicking on the news title.

News can be sorted by all the columns, and by right-clicking the news title, each news can be edited or deleted.

3 Repository

3.1 Repository layout

Repository portlet allows users to publish their documents and links. Users can create their own folders, upload documents and links. For each folder, document or link, users can define certain properties like public visibility and view various statistics like the number of downloads, IP addresses and usernames of users that downloaded the file, graphical analysis of downloads (charts), etc.

3.2 Who can use the repository?

Users with READ permission can view and download files from repository’s public files and folders. Users with AUTHOR or greater permission can create folders, upload files and review the download statistics.

3.3 How to create new folder?

Users create new folder by clicking Add folder link below the repository.

Description of the folder is shown by when users mouse over the name of the folder. Alternatively, folders/subfolders can be created by right-clicking on the folder name in the repository.

3.4 How to add new file?

Users can add new files by right-clicking the folder where the new file will be uploaded and choosing Add file from dropdown menu.

Users type the file information into Name and Description fields, and select the file from the local computer by selecting Choose File option.

Users can select advanced options of the file opening from server by dropdown menu view option.

3.5 How to add new link?

Similarly, links are added by selecting Add link from the dropdown menu after right-clicking the folder where the link will be added.

The form is similar to the form for adding files, except from the URL field where users type the URL of the link that they wish to publish.

3.6 How to reorder Repository?

By clicking on Reorder from dropdown list, after right-clicking any item from Repository, users can reorder Repository.

Users can see files in selected folder by clicking the arrow next to the folder name, and the folder will expand:

Grouping and reordering is done by simply clicking the folder or file and dragging it to the new location.

By selecting Snimi promjene , the changes will be saved, opposed to clicking Odustani , which will cancel any changes made in order and return to portlet.

3.7 How to delete file/folder/link?

Users can delete Repository items by selecting Delete from dropdown menu after right-clicking the item that needs to be deleted.

Confirmation tab will be opened, and users delete files by selecting OK, or cancel deletion by selecting Cancel.

3.8 How to edit file/link/folder?

To edit Repository items, after right-clicking the item that is to be edited, users select Edit from the dropdown menu.

Users can update the file by clicking „replace it with newer version“. Also, all other properties like Name, description, view can be changes as well.

3.9 How to hide items from public/make items public?

Only the users with ADMIN permission can view hidden files and folders, which titles are shown in grey italic font.

Users can hide item from public, after right-clicking the menu by choosing Hide from public. The other way around, users can make item public by clicking Make public.

By changing visibility property of a folder, all the subfolders and files contained in that directory will recursively get the same visibility property.

3.10 How to view info on the file

By clicking on the info form dropdown menu, after right-clicking the wanted file, users can see detailed information the selected file.

The info window contains tabs Info, Download and Graphical representation.

The Info tab shows general information about the file like name, description, size and visibility.

The Downloads tab shows a table view of last 10 downloads with information about username (if authenticated), time and IP address of the user who downloaded the file. By selecting Show All, all downloads are shown (not only the last 10).

The Graphical representation tab shows charts of registered users opposed to unregistered users who downloaded the file. There are 3 kinds of charts: Pie-chart ( Tortni ), Column-chart (Stup časti ) and Advanced ( Složeni ).

3.11 How to add comments?

Users can add comments by selecting Comments from the dropdown menu, after right-clicking the item to be commented.

Users can reply on comments by clicking Reply under the comment they want to reply on, or make a new comment on the item by clicking New reply.

Using this form and by clicking Add reply , users add their comment or reply to another comment.

3.12 How to download a file?

By clicking the file from Repository, the file will be saved or opened depending of user browser settings.

Alternatively, by selecting Save As.. from the dropdown menu files are saved on the local computer.

Users can disable the system's right-click dropdown menu, and access browsers menu by holding Shift while performing a right-click.

3.13 How to access Repository display setup?

Users can access Repository display setup by clicking Module setup .

Users can change title of Repository (shown on the top of the Repository), display ( autohide, always collapse, always extend ) and the maximum number of items for autohide option.

4 Article

4.1 Article layout

Article portlet is used to publish a text that is longer and not changed so often. An article contains only one text, but more than one article portlets can be active on the page. Article contains Title and Content , and all the changes made are saved in archive, and can be restored at any time .

4.2 How to add/edit Article text?

In the beginning the Article is empty. To edit the article use Edit article link under the article.

Text editor for editing Article is the same for editing News as well.

After editing text, by clicking on Submit, users update their Article text on the page.

4.3 How to access Article log?

Users can access the Article log by clicking Article log link under the Article.

To review Article from certain past publishing, users click the Preview link under the Article that they want to review.

Articles can be Restored from log (replacing the newest Article edition) by selecting corresponding link below the Article.

Users can choose to view All data, last 30 days or last 7 days log by clicking corresponding link on the top of the log.

4.4 How to add another text?

To add another text, another Article portlet has to be added on the page. Please contact the administrator.

5 Forum

5.1 Forum layout

Forum is used for asynchronous communication between users. Each forum contains one or more discussion groups. Discussion groups can be visible or invisible and can have public or private replies.

5.2 Who can use forum?

Public messages can be read by all users with READ permissions, for publishing messages users require at least WRITE permissions. Users with ADMIN permissions can edit and moderate the forum.

5.3 How to add new discussion group?

To add a discussion group, users select Add discussion group on the bottom of the portlet.

To add a new discussion group, users fill out the corresponding fields: Title, Description, Visibility (are the messages visible to all users or just the administrators), File upload enabled (can users send file attachments with posts) and Publicly visible replies (is the reply visible to all, or just the author of the message, author of the reply and administrators of the message).

5.4 How to view posts?

Under every discussion group, post titles are listed, and the red star shows the unread messages.

Users can Mark all as read by selecting corresponding link under the posts.

Users can also select how many posts per page will be visible on one page by clicking to the corresponding link from the dropdown menu on the top of the page.

5.5 How to add new post?

Users add New post by clicking New post link under the previous posts made.

Beside Title, simplified text editor is used to format Content of the post. If permitted, users can upload the files by clicking Choose file .

5.6 How to reply?

Users reply to the corresponding message by clicking Reply beside the body of the message.

5.7 How to hide post?

Users can hide corresponding post by right-clicking on the post title from selected discussion group and selecting Hide post option.

5.8 How to edit messages?

Users with admin rights can edit messages by right-clicking corresponding message body and selecting Edit from the dropdown menu.

5.9 How to delete a post/message?

To delete a post, users right-click the topic name from selected discussion group and select Delete option from dropdown menu.

Deleting the message is done similarly, right-clicking the message body and selecting Delete from dropdown menu.

5.10 How to archive messages?

Users can archive the messages by selecting Archive all under the list of discussion groups.

Users enter Archive name , Description and Archive messages up to date (self-explanatory).

5.11 How to rollback from archive?

The first step is to enter archive by selecting View archive under the list of discussion groups.

To Rollback from archive users select corresponding link right of the archive.

6 Poll

6.1 Poll layout

Poll is a portlet that allows users to review the public opinion of some subject or question of interest.

6.2 Who can add poll?

Only users with ADMIN permissions can add poll to the page.

6.3 How to add new poll?

Users can make a new poll by selecting Poll: New link under the existing poll (if it exists).

To add a new poll, users input the question and the answers. If needed more than 4 choices, new choices can be added by clicking Add choice, under the last choice available. Also, multiple choice polls are available if selected. User can choose, if the poll is public or available only to authenticated users.

After filing the Poll end date users add poll by clicking Add poll.

Warning: there is no way to change polls question and answers after selecting Add poll, so users have to be careful in editing the question and choice fields.

After that users can choose which poll from the dropdown list to activate (only one poll per portlet can be active at once).

6.4 Poll security

Option that allows only users logged in to vote, permits users to vote once a day. Without that option, anonymous users can vote only once from the same IP address.

6.5 Poll results

There are 3 kinds of charts for users to select: Pie-chart ( Tortni ), Column-chart ( Stupcasti ) and Advanced ( Slozeni ). Users can hide the poll legend by clicking Legenda.

6.6 How to make another poll active?

Only one poll per portlet can be active at once. To change the active poll, select Poll: Active link under the poll, and then select a poll to make active (chap. 6.3).

7 Editing course pages

7.1 What are course page editing possibilities?

Each course site is a separate web page, and besides usual portlet capabilities, users can create new pages and navigation menus for the course site.

7.2 Who can create new pages?

New pages can be added only by users with ADMIN permissions.

7.3 How to create new page?

New page can be created: • Right-clicking on existing page and selecting Add new page -> Below • clicking on New page on administration toolbar

• Short page title will be shown in the page navigation • Long page title will be shown in page on the title bar • URL is the address of the page from the navigation bar • URL forwarding is the address of the external page where the the site is forwarded

Additional options contain setting about Language (Croatian/English), Layout, Keywords, Modules and Permissions.

7.4 How to edit page settings?

Users can edit page settings:

• Right-clicking on page title from the page menu and selecting Page -> Settings • clicking Settings on the administration toolbar

Editing page settings is similar to New page dialog.

7.5 How to edit page permissions?

On each web page, users with ADMIN permissions can edit other user’s permissions.

There are 4 kinds of user permissions: • READ – only reading • WRITE – contributing to content making (comments, discussions, suggesting news)... • AUTHOR – creating content (creating news , adding repository items...) • ADMIN – administration of the page

Permissions are propagated from higher to lower permissions (ex. users with AUTHOR permissions have all permissions as users with WRITE permissions + more)

Users (administrators) can edit other users permissions:

• Right-clicking on page title from the page menu and selecting Permissions • clicking Permissions on the administration toolbar

There are two tabs on Permissions window:

• Permissions – review/edit user permissions • Propagating the permissions – propagating permissions for subpages

In the Permissions tab, users can define permissions for users and defined user groups.

To alter permissions for users that already have permissions for the page, users use the corresponding tick-boxes. Users can Save the changes, or Remove user (revoke all permissions) by clicking on the corresponding link.

Permissions can be set for the group of users form the drop-down menu. Some of characteristic groups are:

• svi – all users (even the non authenticated users) • studenti – all authenticated students • djelatnici – all authenticated staff • admin_courseShortcut – all administrators from the selected course • student_courseShortcut – all students applied to selected course

After selecting user group, using tick-boxes, users select the permissions and by clicking save adds the permissions to the system.

Adding permissions to single user is similar to adding group permissions; username is typed in the box and selected from the drop-down menu.

Propagating permissions tab is used to propagate user permissions from to subpages. A list of all subpages of the current page is shown in the window.

Users can select how “deep” are permission valid (one, two or all levels), and can deal with permission right conflict.

7.6 Show to public / Hide from public options

Users toggle if the page is visible for non-authenticated (anonymous) users by selecting Show to public / Hide from public.

That property is displayed on the top right part of the page.

7.7 Hide from navigation / Show in navigation options

To hide/show the page in navigation menu for users that have permissions to see it, administrators can select Hide from navigation/Show in navigation .

Users with ADMIN permissions see the page in navigation even if it is hidden.

7.8 How to reorder items in navigation menu?

To reorder items in navigation menu:

• Right-clicking on any page title from the page menu and selecting Reorder • clicking Navigation on the administration toolbar

Reordering pages is identical to reordering files and folders from the repository. Users drag and drop the selected page to selected place in hierarchy.

7.9 How to delete page?

• Users delete page by right-clicking on page title from the page menu and selecting Delete page

7.10 How to add porlets?

After creating a new page, it’s empty and content (portlets) need to be added.

Users click on Modules from the administration bar for module administration.

Green and red fields represent portlet places: • Green fields – for portlets in individual pages • Red fields – for portlets with “On all pages” option enabled

New portlet is added from the dropdown menu: • Poll ( anketa ) • forum • news ( obavijesti ) • search ( pretraživanje ) • repository ( repozitorij ) • article ( sadržaj )

Portlet is added by clicking on Add portlet link. By selecting On all pages, portlet will be added to all pages and subpages of the course page.

New portlet will be added to green or red field in the page. To save changes users click Save changes , and then Finish editing .

7.11 How to delete portlets from the page?

To delete specific module from the page, user select Modules from administration toolbar.

Modules can be removed by clicking the [X] beside the corresponding module, and saving changes by clicking Save changes .

7.12 How to change modules layout?

To change the layout of modules on the page, user select Modules from administration toolbar.

Users can drag and drop modules from one place to another to create unique page look.

Portlets can be dragged only to same colored fields (ex. from green to green).

Some portlet looks varies on the location (it differs depending if the portlet is placed on the middle or on the left/right column of the page).

8 Search

8.1 Search layout

Search is portlet that enables users to search the system and sort the results by categories: • Web pages • Content • Forum • News • Repository • Other

8.2 How to search?

Search input examples:

Electrical engineer – system will search all the categories for the word Electrical and for the word engineerand join the results. “Electrical engineer” – system will search all categories for the whole phrase.

Electric* – system will search all categories for the words beginning with Electric (ex. Electrical,Electricity … etc.).

System, at the moment, supports searching by attributes page and author . Example inputs:

“author=Ivan Horvat” – system will search all categories by author Ivan Horvat

“page=electric*” – system will search all pages that have electric in the title of the page

9 Subscription

9.1 Subscription layout

Subscription portlet enables users to quickly review preselected content of their interest. Subscription portlet is divided in: • Editing subscription • Viewing subscription

What kind of content can user subscribe to? • News • Forum • Article • Repository

9.2 Initial subscriptions

Depending on defined group, users are initially subscribed to certain content:

Staff: • Department Courses • Staff intranet • Life on FER • Research • About www.fer.hr

9.3 How to view subscription?

Users can view their subscriptions on their homepage - Student intranet page (for students) or Staff intranet (for staff).

Content is divided in groups by colors. New content is shown in bold text in specified group.

There are two ways of editing subscriptions: • On each page that users can be subscribed to • On the homepage page

On each page that users can be subscribed to, there is a subscription portlet:

To edit/add new subscription of that page users click Edit .

Portlet shows list of all the content users can subscribe to. By clicking To e-mail , user will be able to receive the subscription to e-mail.

To see all the subscriptions and their preferences, users click Pregled svih pretplata on their homepage.

Users can select the subscription options for all of the subscribed content grouped by page. By clicking Obrisi pretplatu , user will be unsubscribed from all the content from that page.

9.4 How to change subscription settings?

By clicking Postavke pretplate users can change:

• Number of news by category ( Broj prikazanih vijesti po kategoriji ) • View ( Prikaži ) – Title only ( Samo naslov ) / Title and content (Naslov i sadržaj ) • Email notification ( Slanje obavijesti na mail ) – Each hour ( Svaki sat ) / Daily ( Dnevno )

10 RSS

10.1 What is RSS

RSS (Really Simple Syndication) enables users to retrieve certain web content using XML format. RSS does not contain formatting, fonts, colors and layout, just pure content (text).

RSS clients manage RSS content and present it to user in a user-configurable way. Advantage of RSS is that users don’t need to visit the page to see changes. Instead, RSS will automatically collect the new data from the page and present it to the user.

At the moment, these formats are supported for the feed: • RSS 2.0 • RDF 1.0 • RSS 0.92

10.2 Who can use RSS?

RSS can use all users that have RSS client. Some of recommended RSS clients are:

• RSS Bandit (Windows) - http://www.rssbandit.org/ • SharpReader (Windows) - http://www.sharpreader.net/ • (Win, Linux, Mac...) - http://www.mozilla.org/products/thunderbird/ • (Win, Linux, Mac,...) - http://www.opera.com/download/ • Mozilla (Win, Linux, Mac,...) - http://www.mozilla.org/products/firefox/

Most of RSS clients support logging into system, so users can retrieve public or private feeds from the system.

10.3 What can I receive with RSS?

Users can receive RSS feeds from all the pages that they have READ permissions. At the moment, these portlet contents are available by RSS feed:

10.4 How to access RSS:

RSS URL-s differ according to RSS version format:

• RSS 2.0 - http://www.fer.hr/feed/rss.php • RDF 1.0 - http://www.fer.hr/feed/rdf.php • RSS 0.92 - http://www.fer.hr/feed/rss09.php

By using URL without parameter, RSS feed will fetch info only from the title page.

After URL, additional parameters can be added: • ?url=/path/page – RSS feed of the desired page • ?urls=/path1/page1,/path2/page2,/ - RSS feed of two ore more desired pages • &portlet=[news | content | repository] – RSS feed of the selected portlet
