City employees placing long distance and toll calls within the Continental U.S. on City telephone equipment are required to use their individually assigned TELCODE authorization number. All other exceptions, please dial "O" for the City Hall Operator’s assistance. 2. "Reverse charges" or "collect calls" shall only be accepted when such calls are necessary for the proper and efficient performance of City business. City business shall be defined as it appears in Section 4.242(f) of the Los Angeles Administrative Code. 3. "Third Number" charging of calls to City telephone numbers is prohibited. All credit card billing is acceptable. 4. The Information Technology Agency is authorized to issue telephone credit cards to City personnel when such personnel are frequently required to use non-City telephones in conducting City business. Such credit card shall only be issued when requested in writing by City department, office or bureau head. 5. Telegrams and Mailgrams are not to be charged to a City telephone number or a City telephone credit card. Telegrams may be placed through the City Hall Operator. 6. Public pay telephones are located in or near most City offices for the convenience of City personnel. Personal calls shall not be made from City telephones except for emergencies. Supervisors shall advise their subordinates of this policy and take reasonable steps to enforce same. 7. The Information Technology Agency shall be reimbursed for personal calls made from City telephone facilities as follows: A. Although charging personal tolls to a City telephone is prohibited, any such calls made in violation of this policy shall be reimbursed as charged on the telephone bill, plus tax. B. Applicable taxes are as indicated on the telephone bill approval form. 8. Violation of this policy can result in possible disciplinary or criminal action. * This policy is not intended to impede an appropriate response to emergency situations. A City employee may use a City telephone in the most expeditious manner to protect the safety of any person(s) or property. In the address field of your web browser, simply type cityfone (do not type http:// or .com) and press [Enter]. CityFone can also be reached from the InsideLA intranet site. The CityFone start page has file tabs representing each of the various directories: Employee, Department, Service, etc. Click the file tab for the directory you want. All the available options for the selected directory will be listed underneath the file tab. Click the option you are interested in. For employees with a secure-ID token, the complete CityFone intranet site can be reached from the Internet at insidela.ci.la.ca.us using your regular Internet service provider. The directories can be searched, printed and downloaded in several useful ways. HOW CITY DEPARTMENTS CAN OBTAIN PRINTED DIRECTORIES FROM GSD Your department may order printed copies of the directories from the Department of General Services, Central Duplicating. An authorized employee from your department can call (213) 485-5465 or submit a GSD Form 45. In addition, requests can now be submitted through GSD’s intranet site. Contact Tracey Vu at (213) 485-2070 for details. Your department will be billed for each directory printed. Central Duplicating can quote you the price per directory. The directories can be printed two ways: with a tape binding (Employee Directory only) or 3-hole punch to be stored in a 2 ½ inch three ring binder. The department is responsible for furnishing their own binders. HOW CITY DEPARTMENTS CAN OBTAIN PRINTED DIRECTORIES FROM CITYFONE The Employee, Department and Service file tabs on the CityFone intranet site each have a “download” option. The PDF format files found there are print-ready. In fact, they are the same files that are sent to GSD every month for printing. We suggest duplex printing as the directories contain several hundred pages! HOW CITY DEPARTMENTS CAN UPDATE THEIR DIRECTORY INFORMATION Every City department is responsible for updating their own portion of the telephone directories. For questions concerning updating the Department and Services Directories, call Jenny Martinez at (213) 473-5342. HOW THE PUBLIC CAN ACCESS TELEPHONE DIRECTORIES ON-LINE An abbreviated version of CityFone is available to the public on the City’s Internet site at www.lacity.org. This site has features to search and print the Department Directory. HOW THE PUBLIC CAN OBTAIN DIRECTORIES FROM ITA The public can obtain printed directories by contacting ITA at (213) 485-3411. A fee is charged for printing and postage. HOW THE PUBLIC CAN OBTAIN PRINTED DIRECTORIES FROM CITYFONE The CityFone Internet site has a “download” option. A print-ready, PDF format file can be found there. We suggest duplex printing as the directories contain several hundred pages!
