Using online databases: RefWorks

What is RefWorks?

RefWorks is a web-based research management, writing and collaboration tool that allows you to gather, organise, store and share articles and references. You can include the references when writing documents and RefWorks can automatically format the cited references and final bibliography in a range of output styles.

How do I access it?

• Go to LibrarySearch at http://libsearch.canterbury.ac.uk/ or access it via the University Services on your Blackboard. • Log in using your CCCU username and password • If you are away from campus, or connecting with your own device over Wi- Fi, you will need to include @canterbury.ac.uk after your CCCU username [[email protected]] as well as your normal CCCU password. • Select Find Databases, click on R, then click on the link to RefWorks (New ProQuest version) to open it in a new tab

How do I use it?

NB: The first time you use RefWorks, you must register using your CCCU username and password, and then activate the new RefWorks account via your CCCU email account. If you have any problems, there is a brief guide to this available.

CC, October 2019 Getting started – importing references from subject databases (using ScienceDirect as an example)

• Look for any links offering the option ‘Export’ (see over page) or ‘Save to’ • Choose ‘Save to RefWorks’

5 In RefWorks, you should receive a message informing you that the import has been successful

6 Click on OK to see the references.

The default is for the references to show in a brief form, called Normal View.

To change this, click on the tab, in the bottom right of the screen. You can choose Table View (bibliographic details shown in table layout for up to 2000 references); Full View (expanded details form); or Citation View (showing how it will look in your chosen referencing style and indicating if any necessary details might be missing).

The Edit function is available on Full View. This allows you to amend any details in the record, to add descriptive tags, or to add the article PDF.

In Citation View you can add any missing bibliographic details, by clicking on the relevant error indicator buttons.

Creating a folder in RefWorks to organise your references Any references you have imported into RefWorks will be in the “Last imported” area.

1 Click on My Folders in the left hand column & choose Add a folder

2 Type a name for your folder in the box.

3 Click on Save

You can move references into the folder by dragging and dropping them in individually, or by selecting several and using the Folders icon along the top menu bar to Assign them to an existing folder or Create a new one. You can create sub-folders if required and assign items to multiple folders.

Once the references are moved to the chosen folder you will see a message at the top of the screen to confirm the action has been completed

CC, October 2019 Find duplicates function is under the Tools icon. This will search for Exact Match, Close Match, or “Legacy” Close Match duplication. Brief explanations of the Match criteria are given.

Under Share you can export references to Excel as well as share them with a colleague.

You can add a reference manually if you cannot import it automatically.

1 Select ‘Add’ from the menu bar.

2 Choose Create new reference

(3) Fill in the details and click on Save. You can change the template to suit the format of the item you are adding, e.g. Book, Web Page, Artwork, etc. Journal Article is the default template offered.

You can copy and paste to fill in the details and some suggestions may be offered by the system as you type.

You do not have to complete all the boxes.

You can also upload individual articles or documents. As you highlight and drag the item from a saved area to RefWorks, the blue Drop files here circle will appear. Once the upload is complete, you can check that the publication details have been added correctly and edit any errors.

You can install a Save to RefWorks widget on your browser bar to add references and full-text from any webpage. Click the Tools icon and follow the installation information.

CC, October 2019 Using the right reference style (e.g. Harvard)

Go to Create Bibliography and choose Citation Style Editor from the drop down menu.

Search for and select the style of referencing you need to use. N.B. Check with your tutor Cite Them Right – Harvard is the CCCU what referencing style you version of Harvard, but some programmes should use. require other styles.

Creating a reference list (bibliography)

RefWorks can help you create a reference list from your stored references:

• Choose the references to use by selecting them individually or by highlighting a folder in the left hand column • Click on the Create Bibliography icon on the Menu bar • Check that the correct citation style is showing at the top of the screen. If not, use the drop down menu to change to the correct style.

• The bibliography or reference list will be created automatically • You can choose and insert the list as required in your Word document.

You can also download a free Word plugin program provided by RefWorks. This allows you to insert and edit citations directly from RefWorks into a Word document. Install it from the Tools icon (then Tools again) on the menu bar. Options are provided for both Cite in and Cite in Google Docs.
