JOB TITLE: Administrative Assistant, Cultural & Historic Affairs

SALARY / HOURS: $50,000 / Full-time

SCHEDULE: Monday – Friday / 8:30am – 4:30pm

JOB DESCRIPTION: Assists the Director of the Department of Cultural & Historic Affairs by performing varied, complex administrative secretarial, advanced clerical and program support functions of a general or specialized nature; relieves the Director of technical, as well as general administrative details; may supervise clerical operations and staff; does other related duties as required.

LOCATION: Washington’s Headquarters, Wayne, NJ

The Department of Cultural & Historic Affairs (DCHA) creates and maintains a flourishing cultural landscape throughout Passaic County. As the designated proponent for the County’s heritage and the agent for arts and history programming, the DCHA is responsible for developing, promoting, and implementing an extensive public programs calendar and heritage tourism campaign to encourage public awareness and visitation to the County’s various historic sites. Included in these sites are the Dey Mansion Washington’s Headquarters, Hamilton House Museum, Lambert Tower, , Passaic County Arts Center at the John W. Rea House, Westervelt-Vanderhoef House, Passaic County Court House, Passaic County Court House Annex, Park, and Garret Mountain Reservation. Through this ongoing endeavor, the DCHA maintains these sites for Passaic County residents and visitors to enjoy today, and will ensure that these sites are preserved for the benefit of future generations.

DUTIES/RESPONSIBILITIES:

• Performs varied, complex secretarial and administrative clerical work, involving some elements of troubleshooting; • May supervise the secretarial, clerical and related operations of the department; • Maintains calendar and schedule of appointments for the Director and staff; • Prepares administrative correspondence, memoranda, and statements on behalf of the Director as authorized; • Where authorized, reviews, prioritizes and responds to voicemail and various correspondence on behalf of the Director and department staff; • May draft proposed ordinances and/or resolutions on behalf of the Director; • Prepares meeting agendas, attends meetings and records minutes; • Greets and directs visitors at the main office of Dey Mansion Washington’s Headquarters; • Directly interacts with the public, providing exceptional customer service including ticket sales, general museum information, policies and procedures, and supervising the museum gift shop; • Maintains gift shop inventory and associated records; • Provide check-in and admissions at public programs. • Keeps accurate visitor and customer records, including visitation numbers, ticket sales, gift shop revenue, and donations and supports monthly and yearly accounting and reports; • May assist in promotion the site via social media and the web. • May assist in planning special events and exhibits. • May assist in museum database entries for collections management; • Conducts special projects as requested; and • Maintains essential records and files;

QUALIFICATIONS / ELIGILBITY:

• Three to five (3-5) years of experience in the capacity of a secretary to an executive or administrative official in a public or private organization • Successful completion of a two-year program in secretarial science at an accredited college or university may be substituted for two (2) years of the above experience; o Enrolled or graduation from an accredited college or university with a Bachelor's degree in history, anthropology, art history, museum studies, or related field may be considered a substitute. • Previous experience in museums, cultural programs, art spaces, etc. are preferred but not required; • Proficient computer skills including but not limited to: Office, Photoshop, Adobe Illustrator; • Passaic County residency is preferred • residency is required.

PHYSICAL REQUIREMENTS:

• Must be physically able to operate a variety of automated office machines, which include a computer, calculator, typewriter, etc.; • Must be able to walk or stand for extended periods of time; • Must be able to operate a variety of visual and audio aids; • Must be able to lift, carry, push, and pull or otherwise move objects, up to 30 lbs. Physical demands are for light work.
