School Closure User Guide Logging in and setting a password Go to the website: http://www.aberdeencity.gov.uk/user Log in with your school’s username (see list at the end of this guide for correct username format) and your password. The generic password is: SchoolPass1 If you have previously updated your password but can’t remember it, you can reset it. Select “Reset your password” on the log in page and a password reset will be sent to the email address you have chosen. Logging in for the first time If you have not used the system before, you will have to update the generic password and set an email address. When you have logged in, go to the “Edit” tab – see below On the “Edit” page, enter the Current Password (SchoolPass1). Next, choose a suitable email address for the school and a new password. Creating a school closure notice From the User page, click on the “Create School Closure” button: Title: The title should be the school name and closure date, e.g. “Aberdeen Grammar School – 24 October 2018”. Start/End dates: select the relevant dates from the drop down calendar. If the closure is for a single day, select the same date for both. Please note that the closure notice will not publish on the website until the start date selected. If you are publishing a closure notice for the next day but want it to appear immediately so people have advance notice, enter the current day’s date. Reason: enter a brief the reason for the closure, for example: severe weather, burst pipe. You will be able to add more details below. Closure State: select from: • Closed to everyone • Closed to pupils • Closed to school transport pupils only • Closing early • Delayed opening • Open with school transport issues • Partially closed ‘Do not email’ box: this should stay unchecked so that emails automatically go out to the media to let them know a closure notice has been published. See more information below. School: choose your school’s name from the dropdown list. More Detail: add any further relevant information here, such as who is affected by a partial closure, times for late opening or early closing etc. Click on the “Save” button at the bottom of the screen once all the details have been entered. When the notice is published, emails will automatically be sent to local media organisations and the notice will appear on the Council website from the Start date until the End date. The external communications team will also get an email with the closure notice and will share the details on the Council’s social media channels if possible. Updating a closure notice You can edit an existing notification you have created for small changes but please note that edits will not be emailed to local news outlets, they will only have your original information. If you are making a significant change, such as extending a closure, create a new notification with the up to date details and delete the old version. You can edit and delete closure notices from your user page. During extended periods of severe weather, when you are deciding each day what the arrangements will be for the next day, it is best to publish a new notice for each day so that the relevant details are emailed to the media and can be shared on the Council’s social media accounts. In this situation, the website team will remove all of the current day’s closure notices from the website around 4pm each day so that closure notices for the next day can be published. Logging out To log out of the website: Click on your user name in the black bar at the very top right of the screen. Another back bar will appear underneath, the log out option is towards the left of the screen. Click on log out and you will be logged out and taken back to the website homepage.
