Item 1 Present: Anne Lancey, Elaine Beckett, Jill Buckland, Jenny Toller, Anne Brown, Catherine Micklethwaite Apologies: Carol-Ann Regan, Chris Johns 2 Since last meeting:  PLY circulars removed from SWIMS  Update of stock retention policy done  Updated URL for e-journals on SWIMS following on from NICE platform changes.  Close-copied fields confirmed and FAQ replaces previous Word doc http://www.swimsnetwork.nhs.uk/modules/cataloguing/cataloguing-faqs/#createclosecopy  Old WM schedules removed from classification web page  Author dates fields workaround  Series extra fields added for Ebsco Discovery download purposes  Replacing ISBN instructions circulated - to aid acquisitions until bug fix  HSJ link from SWIMS updated 3 Minutes of last meeting actions not on agenda http://www.swimsnetwork.nhs.uk/groups/cataloguing-group/  Outdated Proquest e-books - currency checked for 2017  e-Lancet SWIMS record and ClinicalKey subscribers: see item 7  Additional TVW rep: Susannah Keill (D01) has joined the group 4 Acquisitions Group update  EB has checked which Acquisitions staff can add publishers  EB has reminded Acquisition staff to include publication date  RBH now using Acquisitions  Can now export orders to Excel 5 Data integrity checking by group – feedback 1. Title records with no copy records - will be straight forward after Service Pack 10 when JT will hand over checking to AB; JT contacts locations where Title not hidden 2. Ebooks without an object and Title Note (EB) - small number sorted 3. Format of author names (EB) - no problems 4. Compound surnames & Author ‘see’ and ‘use’ refs (CM) - no problems 5. MeSH cross refs linked to titles (AL) 6 only – sorted out 6. Category of Hidden in WebView + inappropriate Copy Status (AL) - used on purpose by some locations; small number of others contacted 7. Missing over 18 months (EB) - now 77 – down a lot; followed up with locations 8. Withdrawn over 18 months (AL) - not many now – to contact locations 9. Title records not hidden with only hidden copy records (JT) - locations contacted 10. Unhidden H27 ‘on order’ records (JT) – no longer need to check this 11. Parent records with no child records at that location (JB) - a few followed up 12. Parent copy records where the child records have no copies at that location (JT) – this JT will be much simpler after Service Pack 10; discuss next meeting – possibly locations to do own check? 13. Title records with no date at all in the imprint field (JT) – reduced from 300 to 70. AL & EB to contact locations AL & EB 6 Jenny update  Link checker: still disabled, but JT has asked for it to be reinstated  Service Pack 10: On Test database, should be on live database early July. Includes: - Autodeletion of ophaned Title records – will be very useful - Awaiting news on bulk deletion of journal holdings records (currently only systems administrators) [post meeting note: now logged with OCLC as future enhancement] - Titles by classmark search – can search for one or two classmarks – thought useful - Author identifiers for various author research IDs – thought probably not useful - Series Uniform Title field – JT to send around more detail [post meeting note: sent] - Excluding different Note Types – we don’t use different Types - Other general enhancement – JT will circulate list - Folio (to replace WebView) will work with SSIs - JT to circulate links to view this but a JT lot of work needed to configure as SWIMS [post meeting note: sent]  OLIB no longer works on IE8 – browser support information at http://www.swimsnetwork.nhs.uk/system-general/accessing-and-using-swims/#browsers 7 SWIMS Board issues – from 9th March  ClinicalKey e-journals now bulk uploaded to SWIMS for ILDS purposes. CM reports increased usage already. Approx 30 duplicate records – suggested could be left and possibly cross referenced with individual subscription entries? Problem is overwriting if new location joins as whole of CK will be re-uploaded. T&F group to discuss further  Bulk upload of affiliates holdings – failed for 2017 but problem could be solved in Service Pack 11 which could be in by end of the year 8 Rules & Classification  Govt (E) rule screenshot updating - AL still to do AL  Dementia classmark updating (from Jan 16) – 61 titles still to do; AL pursuing AL  Classmark query WF142 and WF975 - radiology of thorax – AB to clarify in classification schedules AB  Journals Group decision not to use square brackets for e-journal cataloguing (for filing purposes) accepted. AL to check rule is updated AL  Old BNFs to withdraw - AL to contact outstanding locations AL  Additional numbers to separate exam books in classification schedules XX18 – PLY have a system; AB to propose decimal numbers AB 9 MeSH updates  MeSH 2017 some added – also add Strategic Planning & Multiple Chronic Conditions AB [post meeting note: added]  Changed heading : Mental Disorders Diagnosed in Childhood changed to EB Neurodevelopmental Disorders. EB to ask advice from Helen Watts as may be too broad  Indexes being updated by AL (2016 & 17 changes) - hope to update on website soon AL 10 Training  SWIMS awareness raising session by JT in LA study day in TVW – to be repeated in SW  Personal reminders to individuals – headings on Imprint fields changed to be more informative (Pagination & Height) 11 Queries  Classmark for infant/child massage – all books seem to be aimed at parents/public rather than professionals so WS75 (Popular Works) considered sufficient as few books. Could also add WS245 (Bonding) or WS103 (Development). AL to inform AL 12 AOB  BASE cataloguing forum – invitation from this group to attend – AL and possibly CM to AL/CM accept  Ovid and other Discovery systems – RCH now purchased Ebsco DS; I01 soon to launch also – CM’s help and guidance much appreciated. Auto-upload of SWIMS output will be available in Service Pack 11, allowing daily upload rather than current monthly Date of next meeting - October 2017 tbc
