CUBOREE - Filling in the Application

Go to www.nswcuboree.com.au On the right click the orange "CUBOREE APPLICATIONS" There is a really useful Online Application Process Guide which will answer many of your questions - you open it from the "login" page. This guide is intended to answer more detailed questions, and explain some terminology.

Register New User.  Each person going to Cuboree needs to register as a separate "user" with their own "Preferred User Name". You cannot re-use one registration for a second person.  Once you register, an email is sent to the address you put in, you click on the link there and you can get started.  Please bookmark this login page in your favourites. You should come back and check it periodically, and definitely come back if any information changes - address, phone numbers, email address, medical and dietary information etc. Note your user name password for each person going to Cuboree.

"Preferred Email" address.  This is the email address we will use to send you all information.  It must be one that you will read often, including that period from Christmas right up to the day the bus picks you up. We will most likely send emails after Christmas, make sure it is not a school or work email that you will not read when you are on holidays.  If you change your email address, you must change it on the Cuboree system.  More than one person per family can use the same email address.

Scouting Details.  Branch or NSO = NSW  Role - Registered current members click their role, otherwise "Other Adult".  Membership No - Cubs/Scout/Venturers - your leader can tell you your number if you don't know it.  Membership No - Other Adults - type 999999 until you have your membership number.  Formation - this is your usual cub pack/troop eg 1st Hurstville, 2nd Panania etc

Click "SAVE" down the bottom, record your Registration Number and proceed to fill out the next tabs on the form. You can "save" at different times and come back and complete your registration later on.

ID Photo Tab.  You must load a digital photo into the application, as per information given here.

Medical Tab.  You must let us know all possible medical and dietary requirements. Please remember to include bedwetting, sleepwalking and all other things that the leaders will need to know to keep your child safe. This information is confidential, but if we do not know, then we cannot help. Please answer all medical and behavioural questions accurately and honestly. This applies equally to every person attending - adults, leaders, scouts, venturers.  Dietary requirements - o We understand the requirement for cultural and religious needs to do with diet, eg vegetarian, kosher, halal etc, and will provide such meals if we are informed. o All medically assessed dietary needs will require a doctors certificate, eg peanut allergy, gluten free etc. In the past some people have used this to list their child's likes and dislike, so now we need you to submit certification that there is a medical condition requiring a specialised diet.  Food allergies - please list these under BOTH medical conditions and dietary requirements. - this is SUPER important.  Leaders - leaders are notorious for not putting down all allergies, medical conditions etc. Please fill this in properly - or incorrect food/medical advice may be given.

Contingent Tab.  Almost everyone will travel to and from Cuboree by coach.  If you have an exceptional circumstance, you need to give reasons and request Independent Travel. There will be strict guidelines for anyone travelling independently, including the fact that NO cars will be on the Cuboree site until the last bus has left.  All and any leaders and helpers who will not be travelling by bus must fill out an Independent Travel Request. This includes people setting up Subcamps, Activity Bases, Cuboree Pack sites etc and not leaving the site and coming back on the bus.  These will be available from RC Cubs, please email to request one.

"Other" Tab.  Will be updated along the way regarding application status, payments and pack allocation.  You need to indicate the permissions at the bottom and swimming ability. There will be a water activity (waterslide) that requires we understand which children are less capable in the water.

IF YOU ARE APPLYING FOR A CUB - YOU ARE FINISHED!

"Submit" your application, print it off and sign it in all the correct places -  Medical Page  Cub to sign  Parents to sign - both parents if possible o If there is a Family Court issue, please submit copy of court orders in an envelope marked "Confidential". It will only be opened by the Cuboree Director, noone else. Give the signed form to your cub leader with payment to your Group (1st Wherever Scout Group) and they will collect all forms and forward one payment to Region Office by the payment date.

To fill in some of the next sections, you will need to understand some of the different roles for different people.

Job allocation and Camping arrangements.  Scouts and Venturers – o you are known as Junior Service Leaders. o You will sleep at a Junior Service Leader Subcamp, in separate Scout/Venturer and male/female camping areas. o You will eat across the road at the Service Leader Subcamp. o Most of you will work on your Region's activity base, see instructions for "Pre- allocated Job Details". There are some jobs in JNN, see your RC Cubs for details. o For other options, contact us to see what you would like to do and if we can help.  Leaders, Rovers and Other Adults – o Take note, you enter your preferences in the “Skills/Job“ tab, we need to sort through all of the applications to allocate people to tasks. o You do need to understand that not everyone will get their first preference, and we need you to accept that we will be allocating jobs on the basis of what is the best allocation to meet the Region’s needs. The options are – o Line leader – camping and going to activities with the Pack - 36 cubs, 7 line leaders. Line Leaders will preferably be trained leaders and can come from any section - cub leader, scout leader, group leader etc. One line leader will be designated "Cuboree Pack Coordinator" - this decision will be made by Region Commissioner Cubs. o Catering – part of the cooking team for a Pack. Sleeping in an “adult” tent on the Cuboree Pack site. This can be parent helpers or leaders (trained or untrained) or a mixture. o Activity Leader – Working on an Activity base – they are themed so you would need to dress appropriately and help to run our activities. You will be sleeping and eating in a Service Leader area, not with the Cub Packs. There will be some time to catch up with the cubs, but you will not be camping with them. o Service Leader – There are many behind the scenes jobs to be done. You will be sleeping and eating in a Service Leader area, not with the Cub Packs. Some options may be - if you have a trade or qualifications to offer, eg plumber, electrician, forklift driver licence; working on the Service Leaders subcamp - helping in the dining tent, Frat tent or other duties; photography and media job - to compile a daily newspaper at Cuboree; etc o First Aid at Cuboree will be provided at all sub camps and activity bases by Scouting people, so our leaders will provide first aid at the Pack level, then if necessary send the cub to the Subcamp first aid post. If there is a need to escalate treatment, the Subcamp or Activity Base will contact HQ to arrange. Staff Info Tab.  Absolutely all over-18 attendees will require current Working With Children Check.  Click on the appropriate label for your scouting role. For parent helpers and other non- leader adults - please click "Supporter".  Pre-allocated Job Details - options are - o Activity base helper - most scouts and venturers, some adults. o Sub Camp staff or other special role that you have been allocated. o Many of you have not yet been allocated a definite role, leave this blank.  Sub Camp/Activity/Service Area (if you have been allocated to a role) - o Activity Base Helper - type eg "South Met Activity Base" - scouts, venturers etc o Others - as you have been allocated.

Skills/Job Tab.  Click your preferences from the list. If you want to discuss other roles than those discussed above, please get in touch with us.  Look at the "Skills" list, if you have any of these skills, please let us know.

Qualifications Tab.  Please fill in any certificates or qualifications you have that might help us.

Experience Tab.  List the events you have been to - as a leader or as "Participant" if you were a youth member.

Scout Applications - to be signed by your Scout Leader if they are satisfied that you will be a responsible helper at Cuboree. Venturer Applications - to be signed by your Venturer Leader if they are satisfied that you will be a responsible helper at Cuboree.

All parent helpers, scouts and venturers - there will be a meeting later in the year that you must attend, to inform you regarding how the camp will run and your responsibilities as part of the team you will be in. All parent cooks must attend the Shakedown Camp as part of the team.
