Executive Meeting
January 24, 2013
Members Present: Gerald Martin, Gord Rogers, Mike Webb, Corrine Rehmann, Sarah Stang, Leslie Carlson, Tracy Long, Faye Myshak, Diane Budzilka, Darin Stenhouse, Ryan Isley, Lori Wilhelm, Larry Eyben, Mark Protsch, Helen Millar, Dot Cleland, Leslie Johnston.
1. Call to Order: Larry Eyben called the meeting to order at 7:10pm.
2. Approval of Agenda: Gerald Martin approved the agenda. Mike Webb seconded it. All in favour. Carried.
3. Approval of minutes: Corrine Rehmann approved the minutes of the last meeting. Faye Myshak seconded it. All in favour. Carried
4. Treasurer’s Report: Helen Millar: There is currently $35,547 in the general account. Ice fees are approximately $13,000/month. The money that was held in the Bar-B-Que/rental account is being transferred to the Jersey Account. The $1574.62 that was in Plan 24 Jersey Account is being transferred to the New Jersey Account. The money from the silent auction at the November fundraiser is also being deposited into the New Jersey Account. A GIC of $20,961.98 is to be used to purchase New jerseys. MOTION: Helen Millar made a motion that Vermilion Minor Hockey has a refund policy in place so every refund request does not need to go to the executive. Mike Webb seconded it. All in Favour. Carried.
5. Team Accounts: Leslie Johnson: Tiger Pride has $19,251.05 and Team Accounts has $39,380.79. The request for Vermilion Minor Hockey to cover the mileage for a coach to take a coaching clinic was denied. Course registration fees for coaches will be covered by Vermilion Minor Hockey.
6. Directors Reports
Initiation: Sarah Stang. The Initiation tournament went well. The manager from the KFC team has stepped down and a new manager will finish off the hockey season. The original manager must fulfill one concession shift before the end of the hockey season. Parents are reminded that there is to be a 24 hour period after a game before you approach the coach with concerns/questions. Directors are to do a year in review report at the end of the year.
Novice: Leslie Carlson. The Dodge Caravan bars have been ordered for the Novice Jerseys. Vermilion Minor Hockey has a zero tolerance policy for coaches abusing officials.
Atoms: Ryan Isley: The Scotia Bank Money has arrived. No novice aged players are allowed to be affiliated with Atom teams this year.
Atom/Peewee Girls: Dot Cleland: The Peewee girls are at the top of their league. Their tournament on February 1-3, 2013 is full and they are participating in provincial play downs. The Atom girls currently have 5 teams in their tournament.
Peewee: Corrine Rehmann: The peewee tier I and peewee tier III won their first round of Provincial play downs. Corrine requested a clarification on affiliation rules for goalies. There was a suggestion that for minor hockey week next year that every team have a home game and then a special guest team play in Vermilion during a select weekend.
Bantam: Mark Protch: Tier I is in third place in the league and should make playoffs. They won the first round of provincial play downs. The tier III are in second place in the league and have a buy for the first round of provincial play downs. Kikinoo did not show for a league game in Vermilion. The league decides what to do if a team does not show or provide cancellation notice for a scheduled game.
Bantam/Midget Girls Tracy Long: The Bantam tournament of full on February 8-10, 2013. The Midget tournament has 6 teams and is hoping to fill the tournament with 8 teams. The midget girls are having a lot of practices cancelled and not rescheduled in Wainwright. Reminder that an adult should always be the last person in a dressing room.
Midget. Gord Rogers. Vegreville is no longer able to host the Midget A Provincial tournament on March 21-24; therefore, Vermilion has been approached to host the tournament. MOTION: Gerald Martin made a motion that Vermilion Minor Hockey hosts the Midget A Provincial tournament on March 21-24, 2013. Ryan Isley seconded it. All in Favour. Carried. Helen Millar made a motion that any profits made from the Midget A provincials will go toward the purchase of new jerseys for Vermilion Minor Hockey. Mark Protch seconded it. All in favour. Carried.
7. Operations:
a) Registrar/Provincials: Carolyn White: Many Vermilion Minor Hockey coaches/teams were deemed ineligible for provincial play downs because they did not have the proper qualifications; consequently, proper steps have been taken to ensure coaches/teams have proper qualifications. Hockey Alberta has all guidelines posted and if coaches’ qualifications are not showing up they need to call Hockey Alberta. It is the coaches’ responsibility to ensure the roster is accurate.
b) Year End Wind Up: There is $25/player available for yearend parties. This money is to be spent locally and the money must be available in team accounts. Submit receipts to Leslie Johnston for reimbursement.
c) Use of team accounts funds for Oil Kings game. A request was made to use team account money to pay for bussing to an Oil Kings game. This request was denied. Team account money may be used to pay for bussing to sanctioned games. If there is there is money left in team accounts it is returned to Tiger Pride and that money is used to benefit all Vermilion Minor Hockey players.
8. Business: Mike Webb: There was discussion on possible refund policies for Vermilion Minor Hockey.
9. Equipment: If Darin Stenhouse would like help with equipment return he may offer a volunteer bond position to individuals that assist him. Darin is still waiting for people to provide current jersey size lists to him. The new logo and jerseys will be unveiled next season. Discussion of whether we should get new socks as part of the new jerseys
10. Other Business a) Concession/Volunteer Bonds: Faye Myshak: There are still volunteer bond positions not fulfilled. The Midget A Provincials could provide an opportunity for people to fulfill their bond positions and complete concession shifts. Faye will call people to confirm if concession shifts have been completed. b) Awards: The Hartwell Award has been advertised in the newspaper and nominations are required for the award. Selections are required for the Farkash Award at the Midget level and the Gary Ferby Award at the Atom level. Discussion about where/when might be the best to present the awards.
