Assigning an Existing Work Order

Assigning an Existing Work Order If you have received a Work Order through the Service Response Center, it is necessary to assign a technician to the existing Work Order.

1. Once the Work Order is accessed, choose the EDIT icon. After choosing to EDIT, first verify the Type and Category assigned to the Work Order are correct.

a. If the Type and Category are not correct, select the VIEW dropdown box and go to the NOTES LOG.

b. Select the icon to ADD a note. c. Enter a description as to why the Work Order is being canceled and SAVE. Then choose the DONE (Green Flag) icon to return to the Work Order screen. d. Change the STATUS to CANCELED and SAVE.

e. Choose the COPY WORK ORDER icon. f. Place a check in the box by any of the extra data you want to copy to the new work order and select the GENERATE icon.

g. Choose the correct Type and Category on the new Work Order. Then continue on with the ordinary process outlined below.

2. After clicking the EDIT, select the Phase number that you are interested in assigning. 3. Select the VIEW dropdown box and select SHOP PERSON.

4. If there is already a default person assigned or if you want to change the default person assigned, select the checkbox to the left of the person’s name and then hit the MINUS icon. 5. After removing the person (if necessary), click the PLUS icon (next to the MINUS icon) to add a shop assignment. If you know the CWID of the technician, enter it in the Shop Person field. Otherwise, click the Zoom icon to the right of the Shop Person field and select the Shop Person from your list.

6. After selecting the person, choose whether the person is the primary assignment and select the Done (Green Flag) icon in the top right of the window. 7. Select the Done (Green Icon) again to take you back to the Phase screen. Once on the Phase screen, change the Status to ASSIGNED and choose the Done (Green Flag) icon to return to the Work Order screen. NOTE: Before leaving the PHASE screen, verify the FUNDING SOURCE is correct and adjust as necessary. 8. On the Work Order screen, select the SAVE icon.

9. To print the Work Order, choose the Printer icon in the upper right of the Work Order screen and select one of the Print options. Typically, the ’10-Work Order Print’.
