JOB DESCRIPTION

Job Title: Secretary Department: Student Services

Supervisor: Office Manager Personnel Classification: Support/Non Exempt

Job Summary: Performs a wide variety of administrative and clerical tasks for the Assistant Superintendent of Instruction. Duties include answering telephone calls, preparing correspondence, typing letters and reports, and filing. Prioritizes and completes all essential functions efficiently, accurately, and timely. Regular attendance is expected.

Essential Processes: 1. Assist Assistant Superintendent with day-to-day operations:

 Prepare and maintain accreditation reports.

 Prepare and maintain the NCA report.

 Prepare and maintain the SDE report.

 Distribute yearly state follow-up reports. Receive complete reports, back-up, and return disks to ODVTE.

 Distribute and update Competency /Completion Certificates

 Schedule Faculty Meetings and rooms.

 Track B & I business visits.

 Track Professional Development of Student Service Staff and Faculty.

 Compile and update Advisory Committee Information (Members, Agenda, & Minutes).

 Assist with budget process and track program expenditures.

 Schedule special meetings, rooms and food.

 Maintain Bus Driver Files

 Compile and update student discipline files.

 Compile and update Teacher Check-Out list.

 Compile and update Students on OJT

 Compile and update Employee Address List.

 Compile and update Partner School Address and Phone List. Page 1 of 3  Compile and update Student Handbook.

 Compile and update Principals and Counselor Guide.

 Compile and update Substitute Handbook.

 Compile and update Teacher Handbook.

 Compile and update Supervisory list.

 Compile and update Safety Plan or Emergency Procedure.

2. General duties:  Maintain all office equipment and arrange for needed repairs.  Maintain sufficient supplies to operate all office equipment.  Answer telephone calls.  Prepare correspondence, type letters and reports, and file.

3. Maintain working knowledge of appropriate word processing and database software programs. Update skills as necessary.

4. Provide secretarial support for the Assistant Superintendent of Instruction and the other office personnel.

5. Perform additional duties as directed by the Assistant Superintendent of Instruction and / or Superintendent. Education: High School Diploma or GED required. Experience: Minimum of two years secretarial experience in a school or business setting or a combination of one year secretarial training and one year of secretarial experience. Must have microcomputer experience in word processing and database management with accurate typing skills. Must have organizational skills, be dependable, and complete work accurately, thoroughly, and according to specifications. Must demonstrate capability and willingness to assume added responsibilities.

Initiative: Must demonstrate self-starting ability, accept all jobs willingly, and have positive attitude. Must show willingness to assist other department members with work flow. Must take pride in work.

Page 2 of 3 Requirements: Moderate lifting and carrying required. Mobility on GCTC campus. Must be able to communicate effectively.

Mental Requirements: Capable of working in a fast-paced office with many duties being performed at one time.
