PROJECT STATUS REPORT INSTRUCTIONS

Introduction The Project Status Report communicates the status of a project. This report is a tool for project managers to inform on the progress of the project, raise issues, and request assistance if needed. Recipients of this report should read it immediately and take action as needed to keep the project on time and on budget.

The Project Status Report should be distributed to all team members, stakeholders, and sponsors on a regular basis. Project Status Reports are usually prepared on a weekly or biweekly basis.

The sections of the Project Status Report template and the information required in those sections are described below.

Fields on the Status Report Project Name – Enter the proper name used to identify this project.

Status Date/Time – Enter the date that this report was competed.

Report Period – Enter the “Period Beginning” and “Period End” dates in the format MM/DD/YYYY for the current reporting period.

Current Phase: Check the appropriate box. Definition: The Project Charter is in the process of being drafted. Planning: The Project Schedule is in the process of being drafted. Execution: The tasks listed in the Project Schedule are in progress. Closure: The Customer Acceptance Report is in the process of being approved.

Estimated Completion Date – Enter the date that the project is expected to be completed ( MM/dd/YYYY ).

Project Manager – Enter the name of the project manager

Schedule Status – Check the appropriate box to indicate the status of your project as it pertains to on-time completion. Green: The project will complete on time. Yellow: The project has incurred some delays but will finish. Red: The project has major issues and progress has stalled or stopped. Status Report Tuesday, January 09, 2018

Budget Status – Check the appropriate box to indicate the status of your project as it pertains to budgeted costs. Green: The project will not spend more than the approved budget. Yellow: The expected cost of the project exceeds the budget by less than 20 percent. Red: The project overrun will be greater than 20 percent of budget.

Total Budget – The total budget of the project;

Spent to Date – Enter the total costs attributed to the project to date.

Status Summary - Report on the status of individual, high-level activities that were listed on the Project Work Schedule for the reporting period. The level of activity should be at a level that enables effective management of the project; that allows the project manager and stakeholders to identify and manage issues that may impact the project progress. If an activity status is “yellow” or “red”, clearly define the actions being taken to bring the project to a “green” status.

Planned Tasks - List the tasks that were due to be completed during the status period

Completed Tasks – List the tasks that were completed during the status period

Emerging Issues/Risks - Provide a list of issues that present potential risk to the project. Indicate the probability of the risk and the impact if the risk should occur.

Probability: High: The probability that this will impact the project is more than 50 percent. Medium: The probability that this will impact the project is between 20 and 50 percent. Low: The probability that this will impact the project is less than 20 percent. Impact: High: The impact will stall or stop progress of the project. Medium: The impact will result in a delay of completion of the project. Low: The impact may cause some disruption, but progress on the project will continue as planned.

Identify who is responsible to manage the issue and a target resolution date. Note the risk mitigation plan or how the risk will be managed.

Open Change Requests - Provide a list of open change orders that require resolution
