Dallas Children’s Advocacy Center Position Description

Position Title: Partner Operations Administrative Assistant Reports To: Chief of Partner Operations Exemption Status: Exempt FTE: 1 Effective: August 19, 2015

General Description

Under the direct supervision of the Chief of Partner Operations, this professional participates in the work of the Center and the collaborating agencies on behalf of child victims by providing designated administrative assistance for the Partner Operations Program. Duties include scheduling, data entry, managing all meeting logistics, translating, interacting with partner agencies, case tracking and follow up. Strong organizational skills and ability to work independently are critical for this position.

Essential Duties and Responsibilities

 Enter CPS referrals/police reports in program database and maintain accurate records following the completion of MDT meetings and special staffing and follow up on all assigned task  Support efforts to build relationships with DCAC Partners, including onsite interactions and specific follow up to ensure a positive customer service experience  Maintain and update system for tracking criminal and civil cases in program database and through prosecution and CPS disposition  Provide coordination and logistical support for training facility when facility is used for trainings/meetings coordinated by the Partner Operations Department. This includes coordination of needs with external parties, securing the venue, resource acquisition, food pick up, meeting set up, catering needs and on-site support  Schedule meetings, events and tours for Chief of Partner Relations with DCAC partners to promote the relationship building and reinforcement of the MDT process  Schedule forensic interviews when contacted by law enforcement partners, ensuring a positive customer service experience  Provides translation on Spanish speaking cases as requested  Coordinate with therapy administrative assistant on requests/subpoenas for forensic interview records  Run requested reports from program database to assist in grant reporting  Inventory, track, order and maintain all collateral materials (i.e. MDT handouts, directories, and training manuals)  Inventory, track, order and maintain all snacks, food and beverages for MDT meetings/events and coordinate with Education team to ensure proper stocking of catering facilities  Provide organizational support for executive level leader, requiring confidentiality  Special projects and activities, as requested

Qualifications and Skills

 High school diploma or GED  Administrative experience (Preferred)  Bilingual (Spanish/English) (Required)  1 to 2 year(s) experience working for Child Protective Services, Children Advocacy Centers, or law enforcement agency (Preferred)  Must possess good organizational skills and have the ability to simultaneously manage multiple projects and task  Advanced level proficiency with MS Windows, Word, Excel, Access, PowerPoint and Outlook knowledge  Advanced level proficiency in database entry and management  Excellent knowledge of office automation including email and internet usage  Must possess strong interpersonal and written communication skills  Dependable transportation and willingness for local travel  Individual should be resourceful, detail-oriented, and flexible, possessing a positive attitude, tact, good judgment, cultural sensitivity, and the ability to work well as a team member with staff, partners, community professionals, and volunteers  Individual should ensure accuracy and confidentiality in all work  Must demonstrate/live our organization’s core values: put the child first in all that we do, operate as a seamless team, work with a servant’s heart
