INFORMATION TECHNOLOGY Department & Usage Policy

POLICY NAME: Mobile Device Usage Policy

This policy addresses the use of both organization-owned, Lincoln Intermediate Unit (LIU)-owned, and staff-owned mobile devices. It does NOT address the allowance of mobile devices by students. Allowance of mobile devices during program operating hours (St. Joseph School days, Religious Education sessions, Youth Ministry events, etc.) is determined by the individual Parish programs.

CONCERNING ORGANIZATION-SUPPLIED (PARISH-OWNED OR PARTNER-OWNED) DEVICES:  Connectivity Connectivity is provided by the IT Department and is connected to the SJY-Secure-Internal network.  Transference of Device Devices are assigned to primary users and/or purposes. When the primary user or purpose changes or if the classification of the user (such as from teacher-use to student-use), notification should be given to the IT Department before the change occurs and the device has been thoroughly cleaned/checked by the IT Department before the transfer occurs.  Maintenance Procedures Maintenance procedures will occur at the discretion of the IT Department, typically over the summer months for software updates, cleaning, and durability inspection. Should it be deemed necessary, the IT Department may collect the devices for necessary maintenance. Accommodations for the summer use may be made by submitting the request for approval in writing to the Information Technology Department. Accommodations may include usage of the device over a specified period over the summer months. Please note that accommodation requests may be modified or denied depending on the planned summer maintenance of the devices.  Accounts and Applications Accounts must be created using Parish SJY email accounts. No personal applications may be downloaded. Use of the devices should be primarily used to further the mission of St. Joseph Parish.  Jurisdiction All devices that are connected to the St. Joseph Parish wireless network are under the jurisdiction of the St. Joseph Parish I n f o r m a t i o n T e c h n o l o g y D e p a r t m e n t & U s a g e P o l i c y – P a g e | 2 of 3

Information Technology Acceptable Use Policy. All organization- supplied devices are under the custody of the Information Technology Department of St. Joseph Parish.

CONCERNING END-USER PROVIDED, OR “PERSONAL” DEVICES:  Connectivity Connectivity is the responsibility of the end-user and should be connected to either the SJ-Y-Fi network or the Employee-WiFi network.  Liability The end-user takes full responsibility for any damages incurred to personal devices. St. Joseph Parish is not held liable for any software, hardware, or any other damages including but not limited to financial damage, data integrity damage, etc.

CONCERNING ACCOUNTS AND APPS:  Parish Accounts, Services, and Applications for which the Parish pays such as iTunes, apps, Google Marketplace, etc. should be created and purchased using a Parish SJY email address. This account can be created without a credit card number and will allow for downloading free apps.  Accounts synced to devices should be separate than a personal account if the Parish is to pay for or provide IT support for any apps.  Purchasing Apps from the iTunes Store will need the acquisition of an iTunes Gift Card from Scrip that can be redeemed to the Parish iTunes account. Acquisition of an iTunes Gift Card is contingent upon the approval of the end-user’s supervisor.

CONCERNING PARTNER-DEVICES PROVIDED BY THE LINCOLN INTERMEDIATE UNIT:  Devices provided to St. Joseph Parish/School by the Lincoln Intermediate Unit #12 are placed in the custody of the St. Joseph Parish Information Technology Department.  The St. Joseph Parish Information Technology Department reserves the right to establish policies and standards that all devices must meet. Permission must be given by both the School Principal and the Director of Information Technology before any hardware, software, or other technology is accepted by an employee, volunteer, or other agent of St. Joseph Parish.  The St. Joseph Parish Information Technology Department reserves the right to collect these devices and implement changes to hardware, software, etc. as deemed necessary. DEFINITION OF TERMS app: an abbreviation for “application”; a piece of software that runs on the internet, a device, or both

connectivity: connecting to the internet and/or network

mobile device: a computing device that has the capability of easily moving from one location to another and is not a “traditional computer”. EXAMPLES: iPads, iPods, iPhones, Android tablets, Kindles, cell phones

organization-owned devices: devices that are provided to St. Joseph Parish employees, students, volunteers, or vendors that are owned by St. Joseph Parish or a partner organization. EXAMPLE: iPads or laptops owned by St. Joseph Parish or IU12.

parish SJY email accounts: network and email accounts provided by St. Joseph Parish, York. Email accounts typically end with the domain @sjy.org.

partner-owned devices: devices that are owned by another organization other that St. Joseph Parish, York but are used on the parish campus and in the custody of the IT Department. EXAMPLE: Intermediate Unit #12

personally-owned devices: devices supplied by employees, students, volunteers, vendors, or visitors and are neither supplied by St. Joseph Parish or a partner organization nor maintained by the Parish Information Technology Department.
