Board Meeting March 12, 2015

7:00 PM – Staybridge Suites Montgomeryville

MEETING MINUTES

EXECUTIVE BOARD ATTENDANCE: Brian Ferko, Trevor O’Brien, Mike Simpson, Tony Lauerman, Joe Romanoski, Eric Pelletier

COMMISSIONER/DIRECTOR ATTENDANCE: Mike Dunlap, Kevin Donovan, Mike Pilewski, Paul Lupinacci, Mike Kuczborski, Bill Dudeck, Rob Smilowitz

Meeting Called to Order: 7:01 PM Call to Order: Brian Ferko call to order, Tony Lauerman second

Approval of Minutes from February 5, 2015 Motion to approve by Joe Romanoski Second by Tony Lauerman. Unanimous approval.

President Report  Rosetwig Shed Update o 2 weeks out – looking to clear space for the shed – will level a section behind cage at Rose Twig o Working out details of shed size, doors etc. 12 x 18 shed.

Vice President Admin Report  Registration Update

o Complete at this time. Numbers improved over last month

o 499 baseball . 89 Connie Mack – will accept new registrations in this division.

o 199 softball

o Some outstanding balances – will communicate with commissioners to contact coaches to contact families to take care of the balance before practicing.

o Drafts completed in all divisions – overall went well.

o Few additions in lower divisions  Uniform Update

o 28,000 dollars. Uniforms ordered. Connie Mack uniforms have not been ordered yet due to unknown numbers

o Majestic shirts with uniform logos tried to coordinate the division teams with the appropriate division. Monthly Board Meeting Minutes 2/5/2015 Page 2 o Pants with belts for baseball

o Better quality pants for the softball division  Field Scheduling

o Organized a matrix with VP of baseball and softball

o Want all teams to have 2 practices a week when open end of month.

o Then look at matrix for games and practices.

o RT3 – for majors and travel teams – mid June reverts solely to softball for travel teams. Need field cut back or plan does not materialize

o SV1 – shared b/t softball and baseball – will be pegged for flexibility. No Mound there.  Special Events – Meet the Coach Day Sat. March 14th

o Being Held at Sports Authority in Montgomeryville Airport Square (11AM-3PM)

o Tball, Rookie, Pony divisions, others who signed up.

o Contact at Sports Authority (Marty) has been quite helpful with the event

o Louis Cohen – Danielle Smith and Deb Goldman running the event. Every coach in these divisions will receive a bucket of balls with lid. . Raffles – Demarini Bat . Pretzels for the kids . Purchase two bat bags – to raffle off for the kids.

o Commissioners please talk this event up to coaches and families

o Sports Authority donating more money to MTBSA due to the success of the event

o Opening Day Events (April 18) – Sharon Tucker will run opening day events . What else does the committee need to get that up and running? . Event details are TBD . First day of games for all divisions that day . Would want event to include marching of all players . Maybe Todd Stephens to throw out first pitch etc.

o Comment – should plan the SA event before the Dicks event? If they are giving more money to us  Equipment Order

o Working with VP baseball/softball to order approp equipment and budget for that. Order the balls quickly then first aid kits.

o New L screens for batting cages.

o New Liners needed to reduce amount of lime used on each field.

o New Tees for T-ball teams Monthly Board Meeting Minutes 2/5/2015 Page 3 o Catchers equipment where needed – do not move equipment when placed in field boxes.

o Louis Cohen – ?helmets for tball? . Baseball not buying helmets for t-ball  Louis Cohen was put in place a few years ago as a good gesture. Board is trying to get a handle on cash flow before continuing this. . Softball will continue this practice for the girl’s t-ballers. Have helmets in shed will supplement where needed.

Vice President Baseball Report  Drafts Completed o Combined 9 an 10 year old division o Commissioners and coaches meetings o Rules changes – minor changes  Rookie/Tball Rosters Completed  Connie Mack Tryouts March 21,22,28 o On the website o Needs to be pushed back later in the day – Kev Don to get back with times – will be posted to website o Keith Heilveil - ?how long are tryouts? . Answer – about two hours each tryout  Fence Installation on WS4 o Park Board and BOS MT approved this installation – temporary fence to be installed – 2 foul poles and a forest green mesh fence at 220 feet.  Practice Times o To be out this week for teams  Spirit Wear o Posted to league this week – runs until March 15 (Sunday) o Some various items –script and new logo designs on shirts o New logo is out o Coaches shirts will have new logo on it.  Cal Ripken Meeting o March 9 – District 10 – discussed info will disseminate  Background Checks o Commissioners please remind coaches to send in  Umpire Training o Two dates at Bridle Path for training Monthly Board Meeting Minutes 2/5/2015 Page 4 o March 30 and April 15 7:30  Umpire Shirts o Ordered polo shirts for them umpires will pay for them. o Will have new logo on them  Baseball Tournaments o 11B – Mem day weekend o DJ Farrar Tournament o Cal Ripken 10 year - June 26 o 9 YO July 4th w/e Vice President Softball Report  Registration Numbers - 199 total (up 11%) o Credit to MTBSA  Coaches Clinic - March 21st - at Penndale Middle School Lower Gym - Run by Twisters – 1-3 PM o Rick Shoulberg running this o Tball on up o Looking to create consistency with the drills among all of the divisions  Clinic for Minors - April 11th o 10-12 o Then watch Twisters do infield work o Snack stand set up there as well o All participants will receive a t shirt for this event  Pony Division – limited home run derby April 11th  Tournament for Twisters - April 11th o First game at 1 PM  Twisters players umpires for MTBSA regular season o Report from Tom Kermis – need softball umpires – if interested please contact us.  CYO Softball needs 10-15 dates for field use.  RT1/2 – used b majors and minors teams  CYO will practice and have games at Fellowship  Pony Team at SV1 on Wednesdays (1 team) other teams at Whistlestop field  Met with NPV and NG – will team up with them for extra competition for their teams o Each Montgomery Team will play each other twice.  Select Level – 8U, 10U, 12U select teams will be formed – extra day of games – played on Sundays this season. Slightly more competitive Monthly Board Meeting Minutes 2/5/2015 Page 5 Vice President Finance Report  Treasurer's Report . Report distributed at the meeting to members interested. . Registration money mostly in . In comfortable position financially  Treasurer position still open – contact board if interested in this position.  Snack Stand Update . Vince Valenzuela in charge of this committee . Have one committee member assigned to each evening of the week to close . Will be able to accept credit/debit cards at the stand . Jim Cashley ?will parents be asked to be in stand  Board response – yes – have one rep from each designated home team at WS fields to be in the stand for 30 minute shifts  Sponsorship Update . 22 sponsors – up to 20 shirt sponsors – will be distributed b/t baseball and softball  8 minors (baseball) teams, 6 single A (baseball), 6 Pony (softball) teams  Insurance . Saved 9% on our insurance costs this season Vice President Fields Report  Working on refurbishing metal bins to reuse  Township out today looking at these  Field mix not put down yet due to weather and field conditions.  Two field days remain planned – watching the weather for these – will communicate with league about that  Cushman in for service at this time. Hoping for quick tune up.
