JOB TITLE: Administration Apprentice

GRADE: Apprentice grade

RESPONSIBLE TO: Director of Corporate Services

JOB PURPOSE: To provide a full range of administrative support on rotation between various college departments

KEY TASKS AND RESPONSIBILITIES:

 To provide a full range of administrative support on an agreed rota to support teams around the college, including but not exclusively; CAST, Student Services, Quality, and Sales as directed by the Director of Corporate Services.

 To handle incoming telephone calls, ensuring that actions are taken and messages passed on effectively and in a timely manner

 To manage incoming mail, including e-mails as appropriate, ensuring that priority items are flagged with the individuals concerned

 To photocopy, print and collate a range of documents and materials

 To Receive visitors and ensure they are looked after as appropriate and provide support to College events

 Utilise and access College systems to provide information as required

 To type reports and other documents, as appropriate

 To raise purchase orders and liaise with Finance as appropriate

 To take minutes of meetings, as appropriate

 To liaise with other areas of the College to access services, as required

 Utilise Microsoft Office software (i.e. Outlook, Word, Excel and PowerPoint) to support the teams deployed with
