Directors’ meeting and Synergy orientation: 4 April 2014

Roll Call: Tom Faw, Mandi Amaxopulos, Charlie Tyner, Steve Linkous, Bill Benjamin, Anthony Alford, Terry Bass, and Julie Brinkley.

The minutes from the March 11 meeting were reviewed and unanimously approved.

1. ARC tracking was discussed between Anthony Alford and Julie Brinkley. Anthony will continue to conduct inspections and violations will be forwarded to Synergy for proper tracking and documenting. Synergy will utilize their VMS center system and keep track of all violations. A monthly report of all violations will be forwarded to Anthony Alford from Synergy. A copy of any violation letters sent to residents will also be forwarded to Anthony Alford for record. Synergy will look into setting up an online ARC form that residents can fill out to expedite the approval process for fences, shed, etc. As of right now, the current ARC form needs to be updated as it does not have the current information on it. Anthony Alford will work on getting those corrections made.

2. The landscaping contract was briefly discussed and Steve Linkous will forward a copy of the contract and invoices to Synergy for their records. Synergy will also begin sending the invoices to Mr. Carl Croft on a monthly basis. Synergy will also send a cover letter to Thames Landscaping to address the issue of the tree removal bill.

3. The sign at the front entrance of the neighborhood was briefly touched on. Steve Linkous will be in charge of changing the sign to read “coveted” rather than “dues”, and will get the Synergy logo on the sign.

4. The topic of regime fees was heavily discussed. Steve Linkous and Synergy will work together to compile a list of those residents and lot owners that are not up-to-date on their regime fees. Those that have purchased property on Meadowcroft Inc. will be sent a regime fee bill to pay their dues. Properties that have been foreclosed on and are now bank owned will also need to pay regime fees. Bills need to be forwarded to the bank that currently owns the property. .

5. The property at #### Foxcroft Circle is currently foreclosed, but it out of compliance with their garage door. Anthony Alford will get in contact with the bank that owns that property to work on getting the garage door replaced.

6. The property at #### Foxcroft was briefly discussed. Synergy will review all email traffic between home owner and HOA to review what will happen next.

7. Mailboxes: Many mailboxes are out of compliance with ARC and city guidelines. The house number should be on both sides of the mailbox. Anthony Alford will contact the city to see if they will take over this matter.

8. Semi-annual meeting: The semi-annual meeting will be held in July, but as of right now, there isn’t a date. Tom Faw will review the directors’ work schedules to find a date that fits best for everyone.

9. Spring yard sale: The spring yard sale will be held Saturday, May 3rd. everyone agrees that a new yard sale sign needs to be made. Steve Linkous will work on getting a new sign made.

10. Social events: Terry Bass is in charge of heading up the summer social event for Foxcroft. The suggestion was made of combining the semi-annual meeting and the social together. This will be addressed in the future.
