PAYROLL PROCEDURES (Payday Schedules)

All full time employees will be paid in twelve (12) installments. Checks or direct deposits will be distributed on the first working day of the month. All personnel will be given the option of a check or a direct deposit into a Lee County bank.

Time sheets for hourly or daily full time employees will run from the 16th of one month to the 15th of the following month and are due in the Central Office by the 17th of each month.

Time sheets for substitute personnel are due in the Central Office by the 5th of each month. Checks for substitute personnel will be issued on the 15th day of each month.

The payroll office at the Central Office should be notified in writing of any changes in name, marital status, address, payroll deductions, and termination of employment by the 10th of the month. For a name change, the payroll department must receive a copy of the new social security card and new federal and state tax forms must be completed.

SALARY ADJUSTMENT POLICY (DEGREE, LOCAL LICENSE, AND EXTENDED CONDITIONAL LICENSE)

DEGREE ADJUSTMENT

Employees who anticipate completing a degree or advanced degree by August 31st must provide written notification to the Lee County Public School’s business manager by April 1st . Failure to do so will result in forfeiture of any immediate salary adjustment as a result of the degree. Employees who receive degrees after August 31st will not receive any salary adjustment until the following school year, provided that written notice is provided by the April deadline.

LOCAL AND EXTENDED CONDITIONAL LICENSE ADJUSTMENT

A teacher with a local or extended conditional special education license will receive no credit for years of service in the Lee County School System Early Retirement Incentive Program (ERIP) or advancement on the salary scale as long as the teacher possess either of these licenses. However, a teacher will receive service credit in the Virginia Retirement System. The teacher’s salary will remain at the salary prior to teaching with such a license. Once a teacher obtains a collegiate or higher teaching license, he/she will be placed on the salary scale at the step that reflects the total years taught prior to teaching with a local or extended conditional license. Any salary adjustment will be made only at the beginning of a school year.

TRAVEL REIMBURSEMENT

The policies for travel reimbursement are as follows:

1. Mileage for the use of a personal car in the performance of one’s duties and/or assignments will be paid at the rate of $0.25/mile with an $800.00/year maximum, unless prior approval is given by the superintendent. Every attempt to obtain the use of a county car should be made first. If a county car is used, a gas credit card will be provided.

2. Expenditures for meals will be reimbursed up to $25.00/day maximum only if actual receipts or copies of receipts are provided.

3. Expenditures for lodging will be reimbursed only if actual receipts or copies of receipts are provided. Attempts to keep lodging expenses at a minimum should be made.

Reimbursements requests should be made on the county form unless extenuating circumstances prohibit. Reimbursements will be paid within two (2) weeks after the first Board meeting following receipt of the reimbursement request.
