1. Conference Call May 26th, 12:00 noon Eastern time zone

 The SMAA will host a national conference call on May 26th to provide information and a chance for you to e-mail questions in to the call team on the topics in this e-mail.  Though the call will address items below, please still read this information to prepare your questions/feedback. You may e-mail questions ahead of time to Beth Senger: [email protected]  This call is meant to specifically address questions and concerns for small and mid-sized agencies -- including any that might arise for you on the BBBSA/NLC call.

2. Proxy Voting -- Assign by June 3rd! See Form Page 3

 There is NO "absentee" voting -- no on-line voting, no survey voting, no mail, e-mail, or faxed voting for agencies not attending the conference.  Your vote(s) can still count, even if you're not attending the conference -- but only if you assign a proxy by June 3rd. Many Small and Mid-sized agencies are not in a position to attend the National Conference, but those voices are critical to helping the Federation make the best possible decision. Remember, SMAA agencies comprise the majority of votes (of course, that's not to say we all think alike!). See p. 5 to look up the votes your agency holds.  51% of votes cast at the conference will decide the outcome. If you do not assign a proxy to cast your votes on your agency's behalf, only those present at the conference will make decisions on the proposed Standards. SMAA Steering Committee Reps are happy to act as your proxy, if you desire. Probably many CEOs/EDs attending the conference would be happy to fulfill this commitment on your behalf.  The proxy vote form is on page 3 below. 3. The NLC's Request to Change the Voting Procedure

 A "normal" voting procedure would address each proposed standard change, one at a time, at the conference. It would allow for limited comments and ask members present to cast their own votes and any Proxy votes that have been entrusted to them.  The NLC is requesting a change to this process and is requesting your feedback on currently proposed changes to standards.  The SMAA Steering Committee had a number of questions regarding this process that were addressed on our conference call by CAO and General Counsel Max Miller.  There are pros and cons to both methods. This will be discussed in greater detail during our conference call.

4. Make sure your Conference Registration is RIGHT  If you registered as an ED/CEO, the system would not have given you the option to attend the SMAA first Annual Dinner Meeting nor the breakfast with Karen Mathis.  Please double-check your registration and contact Amy Valentin ([email protected]) to change the registration to reflect that you are a Small or Mid-Sized agency interested in attending the SMAA meetings.  If your travel plans allow, please attend the meeting on June 13th. We want to represent you and look forward to hearing from you about what you need from the SMAA.

Reach out to one in your region, one you happen to know, one of the co-chairs -- whatever you feel comfortable with.
