Job Title: Internal Communications Co-ordinator, St Barnabas House and Chestnut Tree House

Responsible to: HR Director with functional ‘dotted line’ to Head of Communications

Principal contacts: Internal All members of the Marketing, Fundraising & Communications team, Directors, Chief Executive, senior managers, care teams at Chestnut Tree House and all other staff and volunteers. Additionally, Trustees, Patrons, Chestnut Tree House President, Vice Presidents and members of the Association.

External External suppliers Sussex, including agencies, printers and mailing houses.

Base St Barnabas House

Job purpose Design and deliver processes and materials to ensure great internal communications to staff and volunteers at St Barnabas House, Chestnut Tree House and other sites.

HR and Voluntary Services Director

Internal Community Voluntary Services Communications Companions HR Manager Manager Co-ordinator Scheme Manager Principal duties and responsibilities 1. Work closely with the HR Director and Head of Communications to input into planning and take responsibility for the delivery of effective internal communications to staff and volunteers. 2. Compile, write and disseminate messages and information around the new St Barnabas and Chestnut Tree House strategies for an internal audience, including Special Bulletins. Work with the St Barnabas and Chestnut Tree House Marketing Co-ordinators to enable them to communicate the strategy to an external audience.

3. Provide marketing and PR support to Voluntary Services, including the recruitment of new volunteers and communications to current volunteers.

4. Provide marketing support to HR including the production of adverts – print and online – and the promotion of recruitment open days at the hospices.

5. Provide marketing and communications support to the Education team.

6. Oversee the compilation and distribution of the Staff & Volunteers Bulletin.

7. Co-ordinate the production and distribution of materials for all internal publications & materials (design and print).

8. Work with the Marketing Team and the IT Team to develop and launch the organisation’s intranet.

9. Manage internal communications around special projects, for example the organisation’s Space Review project.

Person Specification

Qualifications and/or Experience Good standard of general education to at least A-level or equivalent; degree preferred Proven experience of internal communications and marketing, including working to project budgets Experience of managing projects from start to finish Print and production management experience Experience of a range of marketing and communication techniques

Certificate in marketing or communications – desirable

Knowledge Specialist knowledge of content management systems, intranets, social media, web development and graphics solutions.

Skills Excellent project management skills Excellent written and presentational skills Excellent communication and negotiating skills Able to work across teams, solve problems and take initiative Strong organisational and administrative skills Able to interpret financial information accurately Able to reflect on and evaluate own work Able to plan and manage own time to meet goals and deadlines Good keyboard skills able to draft correspondence, documents and compile reports Excellent proof reading skills. Ability to write briefs. Design and artwork skills. To be able to monitor, control and evaluate projects to ensure successful outcomes.

OTHER DUTIES To undertake any other duty within your ability and within reason, as may be required from time to time, at the direction of your line manager.

ASSISTANCE The Hospice has the advantage of being supported by a number of volunteers. If a volunteer is assigned to assist you at any time, you will still retain responsibility for the requirements of this job in terms of accuracy, efficiency and standards of completion. You will also ensure good communication and be mindful of your responsibility towards that volunteer in terms of Health and Safety. CONFIDENTIALITY You should be aware of the confidential nature of the Hospice environment and/or your role. Any matters of a confidential nature, relating to patients, carers, relatives, staff or volunteers must not be divulged to any unauthorised person. DATA PROTECTION You should make yourself aware of the requirements of the Data Protection Act and follow local codes of practice to ensure appropriate action is taken to safeguard confidential information. HEALTH AND SAFETY You are required to take reasonable care for your own health and safety and that of others who may be affected by your acts or omissions and you should ensure that statutory regulations, policies, codes of practice and safety and good house-keeping rules are adhered to, attending safety and fire lectures as required.
