Winnebago County 4-H All County Meeting Minutes May 24, 2016 ------2016 4-H Goals: 1. Increase 4-H membership by 10% 2. Find a way for our fund raising goals to meet our projected needs. 3. Create a positive working partnership between the 4-H Leaders Board, the Fair Association Board, and the Meat Animal Board by meeting three times a year. ------1. Call to Order – 7:05 p.m.

4. Secretary’s Report – January 26, 2016 – Minutes were read. A motion by Carol Radloff was made to approve the minutes and seconded by Kay Marx. Motion was approved.

5. Treasurer’s Report – The balance sheet dated April 30th was reviewed. A motion was made by Mark Kunde to approve the report and seconded by Steve Eichman. Motion was approved.

6. County Fair Update – Julie Barthels

a. FairEntry System – An initial email went out with a premium book and and updated premium book will be emailed out within the next few days. Please make sure your youth are looking at the descriptions for projects in the premium book before signing up for the project on 4-H online. There are more detail listed in the premium book. It is best to pick out all of your projects from the premium book before you sign-up on 4-H online also. Sign-up codes used on 4-H Online are made up of the Department # - Division Letter – Project # from the premium book.

7. Approval of Winnebago County 4-H Leaders Association Budget – Discussion took place on how the budget process took place. A motion was made by Carol Janssen to approve the budget and seconded by Kay Marx. Motion was approved.

8. Approval of Winnebago County 4-H Leaders Association By-Laws – A handout of the proposed changes were given out with the updated language changes highlighted. Cindy Giddings made a motion to approve the changes and Mark Kunde seconded. Motion was approved.

9. Additional Agenda Items/Open Forum –

 Kay Lettau shared that Carol Kaufman’s name was submitted by Winnebago County as a nominee to the Wisconsin 4-H Hall of Fame. They will only be picking 10 names to be added this year and they will be named at the Fall Forum event in November at Green Lake Conference Center.  Fur & Feather project gave an update on their fundraising efforts. They are $477 short of their goal which replaces the rabbit, poultry and pigeon cages. There are 30 old cages left for sale.  A 4-H alumni reunion event is being planned for October 22nd after the annual banquet at Winneconne High School. There will be a dance and activities. Please spread the word to any alumni that you may know.  Darrell and Sarah Thompson presented a fundraising opportunity called Urban/Rural Education Experience, which is available through the Winnebago County Farm Bureau. Groups of youth would be teaching educational activities at Breakfast at the Farm and the county fair and would be eligible for up to a $500 donation.  Applications for summer camp are available on the extension website. Camp will be held from July 21-24.  Signs to promote Breakfast on the Farm are available for your yard.

10. Youth Report – National Conference – Ashlynn Numrich presented a powerpoint of her trip outlining her agenda and experiences. This trip is open to grades 9-12 and participants need to be chosen first on the county level and then the state picks the final participants.

11. Fundraiser Reports a. Pizza Committee – About 3400 pizzas were made in the Fall sale and about 3200 were made in the Spring sale. Pizzas average around $2.40 per pizza in profit. There are about 3 thin crusts sold to each thick crust on average. A suggestion was made to add a total column to the seller’s sheet for the next sale. Future dates for sales will be October 29, 2016 and April 1, 2017. b. Scrip – Both Fleet Farm and Culvers cards are available for sale. Please promote this fundraiser to your clubs and family/friends. c. Dipper – scheduling for clubs – Scott Richter will be sending out the sheet for clubs schedules during the fair. If anyone is interested in being a part of the Dipper Committee, please see Sarah Winkel.

12. 4-H Club Support a. Survey to all clubs – A handout of a club survey was available. Each club should return a copy of the survey to the office by June 10th. There are currently 515 youth club members and just over 200 adult volunteers.

13. 4-H Staff Report a. Kayla Oberstadt, 4-H Youth Development Educator  On March 30th a project meeting took place. Kayla handed out various materials that were shared that day along with a 4H Online Project Leader user guide to access project membership info and also a Project Meeting Plan sheet that is highly recommended to be used to help run an organized meeting and also so the extension office is aware of events from a liability standpoint.  Watch for updated dates on this year’s reenrollment time period.  An Expansion and Review Committee is being formed to distinguish what areas of our county are underrepresented and to address their needs. Kayla is looking for 4 adult volunteers (not currently serving on the Leaders Board) and also 2 youth volunteers. There will be two meetings for this committee between now and October.  A Food Smart Families grant was received for $3000. Kayla is looking for approximately 8-10 teens between 8th – 11th grades, along with adult mentors to offer some healthy living initiative events.  June 1st is final registration for youth that will be showing animals at State Fair.  New record book pages are available on the website that are able to be edited and saved to your computer. New Cloverbud record sheets are also available.  The Winnebago 4-H program promotional Resource Guide that was created by Michelle Peplow and Kayla Oberstadt was selected as the Wisconsin 4-H Communication Piece of the Year and has also won at the regional level.  Michelle Peplow has given her notice and her last day in the office will be on June 3rd. Her position will be posted as soon as possible.  This year at the county fair, in the carpeted wing of the Expo Center, there will be educational stations provided by the Winnebago Farm Bureau and our 4-H program. A stage will be available for youth to sign up to present their fair entries and demonstrations. Kayla will coordinate the time slots.  Alli Austin will be serving as an intern for Winnebago and Waupaca County 4-H offices. She will be working on the farm bureau project, horse and pony, and also some dairy promotions in June. Ally handed out information on the 2016 4-H Dairy Promotion Program. b. Sarah Thompson, 4-H Youth & Science Educator  Breakfast on the Farm will take place on June 11th.  Cloverbud Camp will take place on July 11-12th.  Lego Club will plan some dates for summer events.  Watch for info on some Science Day camps in August. 14. Adjourn – A motion was made by Carol Radloff and seconded by Kay Lettau to adjourn the meeting. The motion passed. Next Meeting Tuesday, August 23, 2016 7:00 pm JPCC (turn over for upcoming dates!)
