HEYWARD ROAD SURGERY

HOURS: 30 hours per week

ACCOUNTABLE TO: GP Partners

REPORTING TO: Dr Sally Ross

THE POST The practice manager will undertake the management of  Staff  Accounts / resources  Practice Data  Future projects of practice development In the most economic, efficient and effective manner so that the standards and objectives of the Partners are achieved (in accordance with the contract of employment).

The Practice Manager is accountable to the Partners for the overall management of the Practice.

Key Duties & Responsibilities Practice manager to retain responsibility for overview of delegated tasks

6. Finance and IT . Dealing with accounts & budgets, paying wages and making sure the practice meets its financial targets (including QOF, PBC, LESs & DESs) . Liaising with accountant and reconciling bank statements . Using payroll and accountancy software to manage the practice accounts . Provide IT knowledge and support for all appropriate areas in the Practice

7. Staff . Recruitment of staff as required . To be involved in induction / training of new staff members as directed by the Partners . To organise annual appraisal of all staff members . To establish and then carry out annual review of all staff contracts and job descriptions . To be responsible for staff rotas, sick-leave & annual leave . To be responsible for locum cover when required . To be responsible for appointments . To maintain up to date knowledge of employment law & equal opportunities policy

8. Facilities management . Ensure building and equipment and utilities are kept in optimal working order (economic and timely) . To maintain security of the Practice and its personnel . Healthy and safety standards are preserved in accordance with statutory requirements and local health care policies . Equipment, stationery and supplies are available in a timely and economic manner

4. Organisation . To be the custodian of the Practice Business Plan (bringing to the attention of Partners any deficits and barriers to it’s implementation) . Practice & Partner meetings: organise, convene, minute & oversee achieving action points (in a timely manner) . Responsible for implementing clinical governance within the Practice (regular discussion and feedback from significant event analysis) . Regular review & update of Practice website and Practice leaflet . Responsible for information governance . Management of complaints . To represent the Practice at business meetings (eg Practice managers meetings, PCT meetings, PBC meetings) as appropriate

5. Development . It is expected that the Practice Manager will assume responsibility for the project management of any future Practice development which the Partners wish to introduce

6. Training . Responsible for staff training (including Target) . Responsible for implementation of the Training function of the Practice (with regards to medical students, F2s, registrars and other trainees attached to the practice) including: contracts, pay, timetabling, educational needs of trainees . Gathering and collating multi-source feedback as required by the Partners . Liaising with appropriate bodies (Deanery, Southampton University, educational supervisors, secondary care etc) . To be responsible for own continued professional development

To assume any responsibilities which the Partners deem necessary in order to achieve the primary aim of the post, in keeping with the Managers key skills & knowledge.

Conditions of Service The post is an appointment of 30 hours per week, with some flexibility required as necessary according to the needs of the practice and/or the practice manager.

Salary is paid monthly in arrears by direct credit transfer on the last working day of each month. The duties of this post will at times involve travel to other venues, eg practice managers’ meetings.

Medical Clearance Appointment to this post is subject to satisfactory medical clearance, which will be a signed self- declaration completed prior to interview, supported by an Occupational Health assessment if required. .

Confidentiality The post holder will be in possession of personal details of staff and clients and other confidential information. This must not be discussed or divulged to any unauthorised person. Any such instance would result in dismissal.

Rehabilitation of Offenders Act 1974 & CRB Check The practice is exempt from the Rehabilitation of Offenders Act 1974, and you are therefore required to disclose all convictions to the practice, whether or not those convictions are spent.

The successful applicant will be required to have a Criminal Records Bureau (CRB) check.

References Applicants will need to provide 2 referees, one of whom should be a current or most recent employer. It is preferable to provide at least one referee who can be contacted before the interview stage. This does not need to be a current employer.
