SCAVMA Board Meeting Minutes Tuesday, January 26, 2016 1. Meeting called to order at 17:02 2. ⅔ of voting members required to reach Quorum including Faculty advisors. Quorum established. 3. Call for Last minute additions to agenda (Please edit agenda below) 4. Prior meeting’s minutes approved. (Nov 12th, 2015) 5. Unfinished business Asclepian Ball - Success! So many thanks to everyone on the Asclepian Ball committee for their hard work. It was beautiful!! I can’t even. 6. New business Elections schedule: o position descriptions, nominations released after January meeting o Nominations sent to Secretary by 2/2/16 o Secretary emails nominees for position statements o Candidates attend February meeting (Feb 16 - 5 pm) o Elections 18-23, Results released Feb 26 o March meeting - first week? second week? - TRANSITION WOOP WOOP . doodle to go out as soon as we have new officers o SAVMA symposium Mar 17-20 (President, Pres-elect, SAVMA Sr. delegate, SAVMA Jr. delegate attend) Transitions o Exec board, 2 year position senior officers (Development officers, OOIA senior coordinator, CVMA rep) o Files to be passed down should include list of duties, calendar, contact list, forms, etc. o Presidents encourage each officer to “have a booklet” for the position for the next officer to refer to. This may include the Officer Reports you will be asked to complete during your transition. VOTE: Combined CVMA rep/Legislative Liaison o duties overlap → streamline it o Position description: “Must be a current first year This is a two-year position. You will be the Junior CVMA rep as a 2nd year and the Senior CVMA rep as a 3rd year. Interested in being a liaison between the student body and CVMA, the professional association of California veterinarians? Want to learn more about issues facing California veterinarians and how you can influence our future? Want to meet the current leaders of organized veterinary medicine and discuss these issues? Run for the CVMA Representative position and represent the students of UC Davis SVM to the House of Delegates and Board of Governors. During your first year as the rep you are the “Junior rep” and duties include attending two House of Delegates meetings per year, and as a second year rep you are the “Senior Rep” and duties include attending 4 Board of Governors meetings per year. Other duties for this position include preparing reports on the UC Davis students for these meetings, attending monthly SCAVMA Board meetings to provide the CVMA update, supporting the organization of CVMA events on campus, and increasing awareness of the CVMA among the student body which includes managing a quarterly student newsletter as an update to students concerning relevant legislative issues. Another important duty is facilitating participation in the AVMA Student Legislative fly-in by selecting attendees and obtaining funding for associated expenses.” o possible conflicts of interest - none disclosed. o motion to combine the positions passed. o VOTE: 2-year SCAVMA position - - motion passed . Roxie stays as Senior CVMA representative . Junior CVMA representative is a current first year student . CVMA board of governors supports this VOTE: SCAVMA Scholarships o 1 fourth year student for exemplary leadership, 1 first through third year student for exemplary leadership, each $500. . In the past, there has been only 1 award ($500) given to one student who could be from any class year. o Self-nomination vs No Self-nomination . In the past, one could nominate self, as well as others. Nominees write short essay for why they should receive award (500 word limit). . In the past, gave 4 wks for application submission. If no self-nomination → 1 week of nominations, 3 wks of essay requests from nominees? The third person writes the short assay? . Motion to restrict submissions to third-party nomination only - passed with majority. . Motion to restrict the submission statement (max 200 words) to be written by the third party who is nominating you - passed with majority. 7. Officer Reports a. Mackenzie Ruehl (President-Elect) Dr. Kendall Symposium Scholarship o Applicants received. o Secretary to send an e-mail with a doc with blinded applicant short-essays AND a google form to vote on. o Please VOTE BY: 1/27/16 midnight New Toilet Paper ready to go. b. Tereza Chylkova (Vice President)/ Monica Chen (Vice President-Elect) PDF - fall cycle processed, record applicant pool (78), low disbursement value ~$59 per person. May 13th deadline for next cycle. c. Crystal Lauw (Treasurer)/ Kaori Hora (Treasurer-elect) Checkings: $40,420.76 Savings: $35,026.35 $100,000 check written and invested! d. Briana Konigsberg (UDA Treasurer)/ Amanda Wong (UDA Treasurer-elect) UDA: $18,701.03 Educational sponsors: $ 7,785.38 2 applications ($200, $450) funded! February applications due 2/15/16 @ 5:00PM (as usual) e. Ceyda Bilgir (Secretary) Elections Scholarships: SCAVMA Leadership (discussed) and AVMA-PLIT o Both will close by Feb 28th, will vote by March meeting. Rebeca Gomez/Elizabeth Malcolm (SAVMA Sr./Jr. Delegates) SAVMA Symposium - Iowa State University March 17th-19th o http://www.savmasymposium2016.com/ o Early registration ends Feb 1st, Online registration ends March 1st o SAVMA Mental Health and Wellness Taskforce - “It’s OK” Project Scholarships o The SAVMA John Pitts Award for Distinguished Service: . Every year, the SAVMA President recognizes one veterinary student that has gone above and beyond in service and dedication to the veterinary profession. The Award is open to ANY veterinary student who is a member in good standing within the Student AVMA. The awardee will receive round-trip airfare as well as lodging and registration to SAVMA Symposium 2016 in Ames, Iowa March 17-20, 2016. The award will be presented to the student during the Saturday evening (March 19) closing Gala. . Due Friday, February 5, 2016 at 5:00pm CST . A well-written essay not more than 2 pages in length. The essay should address specific examples of the student's service and dedication, and demonstrate how those examples have contributed to the betterment of veterinary medicine. . LIST the name and contact information of the individual being nominated, the veterinary school of attendance, and the name(s) and contact information of the individual(s) submitting the nomination. . Submit the nomination to [email protected] with the subject line "John Pitts Award". . The awardee and nominating individuals will be notified in mid February. o Underserved Areas Externship Stipend $500 each. Abigail Fosdick (Mentor Program Chair) met with Janel and Tina Maher last week to discuss planning roll out even to faculty in February; cheese and wine event likely in VMTH goal is to get them into the system system is currently live but enrollment in it is limited can check it out here https://ucdavis-svm-csm.symplicity.com/ under Professional Network I will also be reaching out to people who participated in the mentor program in the past going to plan a rollout to students before spring break if we get enough faculty into the system Going to try and coordinate w/ Dean Lairmore and Dr. Owens to get them at the rollout events and getting people into system n. Faculty Advisor and Administration Representative Reports a. Dr. Karl Jandrey (Senior Faculty Advisor) CE Office that Dr. Jandrey runs has room for students. Get involved.
