Dear Trader These are the terms and conditions for stallholders for this year’s Festival taking place from the 16th to 18th September 2016.

The booking fee for all three days is £400 inclusive, with a per stall supplement if electricity is required. (£35, £50 OR £95 Please see attached Annex A - C Guidance and Booking Form)

Separate stalls will be provided, covered and enclosable approximately 3m x 3m. Please see below the following terms and conditions:

 You will be able to set up you stalls from 4.00pm on Thursday 15th or alternatively as early as you wish on the morning of Friday 16th, however, we would point out that all vehicles MUST be clear of the harbour no later that 10.00am on Friday morning.  Organisers reserve the right to maintain a fair balance of participation between food and non-food trade.  All stalls must be vacated following close of the Festival on Sunday evening.  Throughout opening times (10.00am – 5.00pm) the Harbour and access road will be open to the Mini Bus Service and Emergency Vehicles only.  Security will be on site from Thursday pm to Monday am inclusive  If you are using electrical/gas equipment please make sure that it is covered by a current PAT Test/Gas Test Certificate and have this evidence with you. The electrical supply is being provided by a metered mains supply chargeable back to the Festival from Cornwall Council. Each stall will be equipped with the electrical distribution as per your application. You may also be asked to produce your on site Risk Assessment and evidence of Public Liability Insurance.  If you are involved in food handling, please also be aware that you will need to provide evidence of Food Safety Certification.  To comply with Food Safety requirements you MUST accommodate your own hand wash facilities within your trading pitch.  Traders are responsible for the removal of their own trade waste.  CAR PARKING - NO concessionary parking is available. Nearest all day Car Parks are as follows (all in Tower Road) Tower Road /Holy Trinity Church /Belmont – all pay and display  Upon closure of the event on Sunday evening, Festival operators will make every effort to facilitate your exit from the site as soon as possible, however, the Harbour is a confined area and we are required to ensure access for Emergency vehicles at all times. Your patience and co-operation in this matter will be greatly appreciated.

The Electricity supply is derived from temporary additional mains supply. Each stall will be fed from a dedicated fuse board with the option of a 5amp, 8amp or 16amp fuse rating. This will ensure power can be supplied to each stand if required. For this reason the maximum power requirement of each stand may not be in excess of 16amps (approx 3.5kva / 3000watts). The power will be presented in the form of a 2x standard UK 3 pin sockets.

No electric deep fat fryers or equipment with excessive current draw will be permitted.

It will be the stall holder’s responsibility to check their power requirements are within the permitted range. Changes can be made 1 month prior to the event, should the stall holder requirements change after this period we cannot guarantee any changes can be accommodated. Once the event has started and the site has been energised it will not be possible to make changes as this will affect other stall holders.

It is in the stall holder interest to check their power requirements. If they exceed their allocated power rating it will trip their circuit breakers and they will lose power.

The power distribution had been designed to be as fair as possible to all stall holders.

If you require power but are unsure of your power requirements please fill in the form attached listing all electrical equipment you will be using. And include the current rating and wattage (each electrical item will be marked with these values indicated as either A / amp / mA / Watt / W / VA / KVA) please include these markings when filling out the attached form.

If you are still unsure please contact us and we will assist where possible.

At all times Personal Safety and the safety of others will be treated as the priority during the construction, usage and removal of the Electricity Distribution Supply.

Sizing of cables and distribution equipment is based upon the power requirement stated on the electricity supply booking form submitted by each stall holder. For this reason, once each application has been accepted, no additional load shall be permitted on the installation without prior consent of the contractors and only when potential capacity is available.

All Stall owners must have a currant and valid Portable Appliance Test Certificate ( PAT ) that comply with BS7671, IEE regulations for each piece of electrical equipment to be connected, including any extension cables. Equipment without valid certification will not be connected. Each piece of equipment must be safe, in good condition and designed for the purpose intended.

There shall be no interference with the electrical installation once connected to each trade stand. Exhibitors may not share, with other trade stands, or make multiple connections. Only the approved contractor's electrical engineers will be authorised access to the installation.

Every effort will be made to provide an uninterrupted power supply. However, no liability will be accepted by the organiser or the contractor for consequential loss or damage due to power failure.

Anti - Surge Protection: Computer equipment, Computer programmed and electronically controlled equipment may be affected by voltage variations / fluctuations / spikes. Neither the organiser nor the contractor will be liable for any damage to electronic or computer equipment failures / damage. 2 Completion of electricity supply booking form does not bind the organiser or the contractor to offer a supply.

Payment for the supply of electricity will be required with the electricity supply booking form no later than the date stated on the booking form. Applications received late or without full payment will not guarantee connection of electricity and may be subject to the surcharge.

Failure to comply with the above conditions may, at the organiser's discretion, cause the supply of electricity to be withdrawn.

3 Annex B

The list below gives approximate values for some electrical equipment to aid in working out which fuse rating is required. This is not definitive and is to be used as an aid only. It will be the stall holder’s responsibility to check and document the actual power requirements of each item they whish to connect.

If more than one item is to be connected the ampere (A) value of each item should be added together to work out which fuse rating is required.

We recommend if the ampere value required is close or on the fuse rating a higher value fuse should be selected to prevent tripping.
